I think Apttus is a great versioning tracking tool. If you want to sub-set its function i.e., not use all the functions simultaneously, then I don't think this is the best product. Make sure to ask about creating record types and loading legacy data. The file sizes of your data needs to be compressed and that is not something that we were told prior to signing an agreement with Apttus. You'll then need to provide active hyperlinks for each mater to be loaded and list the applicable Salesforce account number next to the hyperlink in order for the data load to work. If you do not have this data in a system like SharePoint, which can create an Excel doc that all you'll need to add is the SF account info to, then this can be a very long and manual process. Have a clear idea of your exact use for the RM, there are a lot of functions it cannot do and you shouldn't assume that it will suit your needs down the road. Ask about user licenses. They were very high in my case and we had to limit use to 10 people.Understand what will be included in your implementation process. It requires quite a bit of involvement from the client and you may or may not have the man power to support this

Clari

Clari is an excellent tool for any sales organization that needs better structure around funnel management. Even if your sales organization is great with managing pipelines, it will provide an additional level of transparency and efficiency. It's not as helpful for high level executives or sales directors that have many deals rolling up to them, because you can get lost in the weeds with so many things going on at once; however Clari is making strides to improve the product there. Clari is not a place for reps to update product or pricing, but the other administrative aspects of the deal. Clari does make it easy to link back to your CRM to do this though.Overall sales teams are the ideal user, everyone else in the organization uses it from a slightly different perspective.

Pros

  • Tracks contract status. It's basically a time stamping function and hard to mess up.

  • Seeing all deals in once place - This lets us quickly edit and update deals with insights from a single page.
  • Reporting - The reports give a good overview of what's happening, insights on how things are going, and what deals we need to focus on
  • Forecasting - The trending reports and Clari's forecasting let us plan our month/quarter in the proper way to hit the numbers we need.

Cons

  • I think Apttus is to heavily reliant on Salesforce and that you should have the option to create an account without a SF number
  • Considering that it's a CRM, I think the interface could stand to be a bit more reader friendly and geared towards legal users as opposed to Sales
  • Configurations and data loads are very cumbersome and I wish that you didn't need a Salesforce administrator to create customizations.
  • When creating new contract clauses for an account, many were duplicative because that function is very sensitive and would duplicate at the slightest unintentional flinch of the mouse.

  • Beefing up the opportunity module to add certain features like predictive scoring, pacing, etc., to be added in the view for easier pipeline management.
  • Forecasting module can be more robust and allow for more flexibility in terms of the configuration of the module in terms of layout.

Implementation is hard no matter what software you use, so depending on the employee bandwidth at the time of renewal, I would consider transitioning if another software that was drastically better came along.

Tier1/tier 2 support can only handle native functionality. Customizations have to be escalated to developers which aren’t included in the support program.

I go ahead and copy the people I directly worked with on implementation for assistance. I would rate them an 8 for support assistance.

Be iterative. Take the opportunity to build a catalog based on how Apttus works well. Learn the tool yourself or use an SI. Take the time to build a configuration / pricing migration tool with X-Author for Excel or roll your own. Stick with OOTB Apttus as any customization will cost you every time a new version is released

Alternatives Considered

I cannot recall the names of one other CRM that we reviewed. Apttus won because Upside went to an enterprise model and we no longer met their standards. Selectica was priced high if I can recall correctly and I think they did not have the Salesforce component at the time.

Clari is MUCH better for reps to use/consume than the other products we've attempted. While the other tools we've used have been a bit better from a Sales Ops perspective, if they don't get used by the sales team, they are not nearly as powerful. Adoption of the tool really matters from a data entry & forecasting perspective.
