Our nonprofit dental clinic uses DonorPerfect to track donors and volunteers, including gifts, communications, and event attendance. We're pretty small and have about 500 constituents total, and DonorPerfect makes it very easy to keep track of all the ways we're connecting with donors, volunteers, and supporters.
  • Easy to export and import data. There will always be things that are easier to do in other programs, so getting information in and out of a database is key. It's very straightfoward to set up filters, export templates, etc, so that I'm getting exactly the information I need in the format that's most useful.
  • Can track both donors and volunteers. As a volunteer-based dental clinic, it's important to us to make sure our volunteer licenses are up to date, track volunteer hours, and see which donors are also volunteers. Although DonorPerfect doesn't have separate volunteer tracking options, it does make it very easy to integrate donor and volunteer information.
  • Customer support has been very responsive every time I've used them, by phone or online chat.
  • No options for scheduling volunteers. This would improve functionality immensely for us.
  • Tracking donations from multiple household members could be simpler. If donations are recorded under multiple household members, there's no way to set that the whole household gets a thank you letter. Whenever I do a large mailing, I have to go through manually and merge multiple household members.
I was surprised at how useful DonorPerfect has been for tracking both donors and volunteers. If an organization is interested in looking at increasing the number of volunteers who donate, or donors who volunteer, DonorPerfect is a good choice.

Donor Perfect is used by our Development Department (both Individual and Corporate Support) to raise funds, track campaigns, manage contacts and moves management, and documenting donor relations in general. We have also used DPO to track Board and Committee information as well as volunteer projects and hours. Some work has begun to use the grants tracking tool as well. We are a fairly small organization, but incredibly busy managing thousands of relationships. Tracking those interactions in DPO has been a huge help, since it centralizes all information pertinent to our donors. It's also helped with analyzing campaigns/tactics and reporting out quickly and accurately to our board or donors.
  • Tracking Campaigns - the built in reporting makes it very easy to analyze ROI with the click of a button.
  • Moves Management - the ability to use existing info fields and create new ones specific to our organization makes it easy to track donor advancement up the giving ladder. This makes it so much easier to know when they are ready for an ask and how much to ask for.
  • Analyzing revenue trends over multiple years - the built in reports are great for easy comparisons, but the ability to build custom reports and save them is such a time saver.
  • Better reporting on volunteer projects - more built in reports.
  • Tracking Membership renewal rates year over year and month to month, based on a July to June fiscal year.
  • DPO tracks whether or not people have opened an email in Constant Contact - knowing if they then clicked a link to our website and resulted in a donation would be very valuable for tracking e-campaign success.
What are you hoping to track? The main and best function of DonorPerfect is tracking donor information and campaigns through financials. If you are needing a tool to manage large scale events or something less donor based and specific to your organization, DonorPerfect Online (DPO) may work, but you need to problem solve with their development staff to be sure they can help you modify it to your needs. The software is very malleable, but you need to think critically about the specific processes you need carried out.

There are various uses that the organization I currently work with uses DonorPerfect; primary to track down donors and their contributions. However, I use it for contact management, tracking down new candidates to the vocations department, and updating personal information for each inquirer.

DonorPerfect is our donor accounting platform being used by our development department. We currently manage several thousand accounts and conduct our marketing and communication utilizing the active data on the platform. A team of four are responsible for the processing and maintenance of these accounts, while other colleagues have access to the donor data via the mobile version of the software.
  • Strong accounting and tracking of individual donor activity.
  • Strong detailed report capabilities.
  • Strong mobile capabilities for portability during development activities.
  • The reporting requires many filters and the ability to save those filters for repetitive reporting is difficult.

DonorPerfect is used by all the employees of our foundation, but not by the employees of the school with which we are associated.
  • Flexibility of adapting the contents of the screen pages to suit the organization's specific needs.
  • You are forced to save changes when toggling from tab to tab, which is a great way of ensuring that you don't lose data along the way.
  • Being cloud-based makes it easy to access the database.
  • The data contained in each of the tabs is not always intuitive.
  • Organization records come listed with a Spouse field. This can be customized out, but cannot be done by the client.
  • The Links tab, which should link the record to other records, always links the record to itself - this is confusing.
DonorPerfect is much more affordable than some of the alternatives. Being cloud-based, it provides a lot of flexibility.

We use DonorPerfect across our organization. It allows us to not only track incoming donations and in-kind donations, but it helps keep track of finances, our volunteers, events, and more. We also use it to create end of month, YTD, and end of year reports.
  • The stock reports programmed into DonorPerfect are great. They think of everything...and a few things you didn't think about.
  • The custom report creator is nice because we can create reports that fit our needs.
  • The mobile access is excellent and allows our development team to look up information in real time.
  • The migration process isn't very smooth. We had seven years of data from a File Maker Pro system and they weren't able to integrate it cleanly.
  • The base license is very restrictive. Only allowing one user at a time is a real problem when you have a handful of people needing simultaneous access. Non-profits are on tight budgets and having to add more licenses is a pain.
  • The mobile app can be buggy at times,
DonorPerfect is not suited to track all your income. This is specifically for donors and volunteers only. Some non-profits try to use this as a one-stop shop for book keeping and this isn't the right software for that.

  • Reports - There needs to be a better way to create reports when it comes to filters. There are so many filters you don't know what to do. It is very confusing if you want a specific report (multi year trend analysis). Your filters need to be precise or your reports will be skewed. There should be a catalog or example of reports with a brief summary. QuickBooks Online for example, has this kind of feature where it tells you the name of the report, then a description of what that report will tell you and a preview of what you will see once you launch the report. I think even a high level report that you can then drill down would be helpful. This is my biggest issue with DonorPerfect. Perhaps send a user survey and ask for what reports are the most popular ?
DonorPerfect is the only software I know and I am not 100% sure about it. The reports need a lot of help. A big question is what do you want the software to do? DO you want a one stop shop - then sure. Do you need daily and consistent reports that are accurate and don't drive you nuts because of all the filters you must check......then no....

My organization uses DonorPerfect to track both donors and volunteers. It was tough for us to find a program that encompasses both resources and we are extremely thankful to be able to configure the program to meet our needs.

  • The ability to create reports using multiple pages, rather than only one option.
The key question for us was to ask about customization. There really is no "one size fits all" as all organizations are different. The most important aspect of DonorPerfect is having that ability.

DonorPerfect is used by Volunteers in Medicine to track all incoming funds. Our donors and vendors are managed in one location.
  • Reports are excellent, especially when you can effectively utilize filters.
  • Works well with accounting software, email, and online donations.
  • Easy to update.
  • Custom reports are only available if you pay additional. I've managed a couple of workarounds, but need expanded capabilities to maximize usage included in my annual rates.
  • I would prefer to see the new dashboard as my home page, as I nearly missed a deadline because I wasn't clicking to see the graphs and charts on a daily basis - but that's where Open Contacts are located now.
I really enjoy the web version of DonorPerfect; it's much easier to maneuver around and I can access a record on my phone if I need to. Key question to ask: Do you ever need information about donors on the go?

We switched over to DonorPerfect (DP) 12 years ago and haven't looked back! We use DP on a regular basis for all our fundraising, donor tracking and contacting needs. DP can be used "right off the shelf" as is and it can also be customized to the organization using it. It works with so many of the tools we use for fundraising including QuickBooks, Constant Contact and Mailers Plus not to mention Word, Excel, e-mail etc. We are able to get so many useful reports that help us with our day to day operations as well as special reports for our board of directors. It helps us with analyzing our approaches to fundraising for our organization. DP has helped us grow our organization to better need the needs of those we serve.
  • It can be customized to meet some pretty specific needs.
  • Emailing donors using Constant Contact is a breeze and works well with DonorPerfect
  • Their support is the best! I've never been disappointed with the support I receive from the tech staff at DonorPerfect. They are very knowledgeable and go out of their way to help with designing reports, filters and anything else I need help with.
  • They are open to suggestions...they have regular two way conversations with their users and are willing to implement changes when necessary.
  • There have been a few times when I've called support and they've just said that "We can't do that" but for the most part I've been very satisfied.
If you send out mailings in house and receive the "Bulk mailing Non-profit discount" you will have to purchase a separate mailing program. We use Melissa Data's Mailers Plus 4. It is an extra cost so you have to know that going in.

DonorPerfect is mainly used only by our Development Department at the Savannah Music Festival. Occasionally, other departments in our organization will ask for information that we store in DonorPerfect, such as donation and contact history. For the most part the database is maintained and updated by me and two other individuals at the organization.
  • Maintain contact information, gift and pledge history, and event management.
  • Very easy to use and navigate.
  • The reports are very useful and easy to customize using filters.
  • More functionality could be added for event management.
  • Custom reporting could be more user-friendly.
Donor Perfect is very well suited for an organization our size. It is affordable and very functional. I do not have any complaints. Other similar products tend to be much more expensive or they have a lot less features. DonorPerfect is the best of both worlds and I highly recommend it.

  • They are constantly upgrading and improving the features of their software.
  • It is simple to pull reports and manage data.
  • If you don't remember to keep saving as you input data, you can lose your work if you lose [your] internet connection.
  • Lots of add-on fees for different features. It's especially difficult to track all the charges and fees from the weblink.
  • It's not simple to pull reports with multiple email addresses, even though contacting our donors via ALL their available email addresses is a big priority.

DonorPerfect is being used as an integrated database for membership, development and events. We are using it in conjunction with our commerce system, accesso. DonorPerfect allows us to keep multiple addresses, emails and more details on donors and offers excellent reporting, using user defined criteria and filters.
  • Reporting - offering the ability to custom build an export based on the fields and criteria needed that moment versus having to wait for a developer to design a report.
  • User defined content - the ability to add additional fields as needed to support your organization's needs.
  • User defined screen fields - the ability to design each tab with desired fields in the positions most efficient for internal data entry use.
  • Duplicate removal can be time consuming when dealing with large batches, the Possible Dups report does not allow you to select the ones you definitely want to combine [one by one process].
  • Would love to see Global Update or "replace" available for some additional fields such as MAILING TYPE or FLAG to help clean up lists, for example when an acquisition list needs to be pared from 5,000 to 1,000 without manually updating each record.
  • In order to overwrite existing data during imports we have to enter a symbol [in our case a period] into all blank fields on the spreadsheet. Otherwise a renewal may fail to eliminate Janet's former husband from her member record.
DonorPerfect has served us very well, the support team has been very responsive to our needs. I think it is very helpful if the person considering the product actually understands how a relational database works [e.g. use of solicitation codes, flags, etc.] in order to avoid frustration down the road when they can't tell which donor gave to XX campaign vs YY campaign.

Because DonorPerfect is driven primarily by parent records, it would be best suited in an organization that does not depend strongly on student data as a school would be. It would be more appropriate in other areas of non-profit management.

DonorPerfect is used in our development and PR department. We mainly use it to track donors and potential donors, but also for event management and financial reporting of our donations to our accounting department.
  • Flags such as relationships or donor types (linking residents of our retirement community to their children or grandchildren).
  • Linking donors to other donors or to businesses (such as linking a donor to the company he works for or owns).
  • Tracking memorial donations.
  • Event Management! It is very very basic and could definitely be expanded and improved.
I don't know where it would be less appropriate, but DonorPerfect works very well for our non-profit retirement community.
