I use Miro in my role as Communication Department Lead to help with a variety of tasks! I've created personas, mapped customer journeys, used SWOT analysis templates, and used it as a brainstorming space with teams. As I'm juggling supporting multiple sites and internal and external communication, ranging from practicalities to production briefs, any tool that can help wrangle it all is a huge help! And Miro has been a great tool.

Cons

  • Limitations on Free version (but this makes sense!)

Return on Investment

  • Reduced production time of a project by making prep more efficient.

I use Miro for myself, my team and also in meeting with other teams for the following:

- Brainstorming - Before we tackle a project or a complicated task, we first map it out in Miro.

- Project management - We can have a whole project, along with its tasks and subtasks, briefs, goals and other resources all on one Miro board.

- Diagrams - Miro is our prime tool for diagramming, whether its mapping out a process or the map of our network.

Pros

  • Clustering scattered sticky notes into groups using AI
  • Creating complex diagrams
  • Organizing multiple types of content on one board
  • Importing content from 3rd party sources

Cons

  • Better handwriting and diagramming on mobile - I have a Galaxy S25 Ultra and expect to use its pen seamlessly
  • AI features are limited on the education plan
  • No option to save text styles (font, size, color, etc.) for reuse across frames or boards

Return on Investment

  • Streamlining cross functional workflows - for example, for project management: project ideation > brief > planning > tasks and subtasks + resources. All of these items can live on the same board.
  • Tool consolidation - many collaboration, design, and productivity tools can be replaced by Miro
  • Significant meeting reduction - teams can add deliverables, mark off completed tasks and access resources without meeting face-to-face on a schedule

Miro allows us to achieve several different objectives, both internally and externally. We use it often for meeting notes, especially for project roadmaps and brainstorming. We also use it with clients to brainstorm, collect feedback, and prioritize components of their projects based on their goals and what's most important to them. We love the collaborative component to Miro. It makes it fun, engaging, and easy for both team members and clients to use, even if they're unfamiliar with the platform.

Pros

  • One of Miro's greatest strengths is its collaborative features.
  • The interface looks beautiful, and the UX/UI is well designed.
  • The features and tools are very intuitive and easy to learn and use.

Cons

  • In the past, it has been somewhat unclear about how access points work and what requires paid versus free access.
  • Organization of different boards is somewhat challenging, and as we create more boards, sometimes our dashboard feels a bit overwhelming.
  • I'd love to see how we might create some automations and integrations with platforms like CRMs.

Return on Investment

  • This is one of those platforms where the entire team needs to be bought into it, or it doesn't function as intended. Once we achieved that, it's been a wonderful tool for brainstorming and project management internally.
  • Surprisingly, Miro has not allowed us to reduce software; however, it's a worthwhile addition to our tech stack.
  • Our team has Miro boards bookmarked, and we know exactly where to go when we have ideas or things that we want to add. It's great to know that we will receive notifications when that happens.

I regularly use Miro to help with sprint planning, workflow demonstrations, retros, feedback sessions, and presentations. Miro is a good way for me to visualize ideas and sprint vision, whether it is just for my manager in a one-on-one or a full group of stakeholders and team leads.

  • Make it easier to have one to many connection between boxes.
  • Make it easier to connect and reconnect boxes.
  • Easier color options for multi selection.

Return on Investment

  • Miro allows me to plan work for the future without having to reference tedious spreadsheets. This gives me better insight into workload forecasting.
  • Just today, I was able to quickly put together a Miro to show a team member who was confused the workflow for a problem. The easy 'on-the-fly' tools let me create something quickly in real time.
  • Flowcharts often get a bad rap because people think they are too complicated, but Miro lets me get more work done quickly than just using a doc or sheet.

I am a product manager, we use Miro as a shared collaborative workspace for a lot of different use cases, such as product planning, discovery, brainstorm, cross-functional alignment, workshop facilitation, user interview, roadmap discussions, prioritization, retrospectives, etc. The main business problem Miro addresses is alignment challenges across product, design, engineering and business stakeholders by providing teams a visual and interactive way that can map ideas and workflows, especially for any complex problems-solving, which is more effective than static docs or slide decks.

Pros

  • Works well as a live collaboration environment, effective for structuring ambiguous conversations
  • Its AI capabilities are useful for organizing ideas, summarizing inputs, and reducing manual effort after collaborative sessions
  • It integrates well with tools like Azure DevOps, which helps connect workshop outputs to execution and delivery

Cons

  • Large boards can become difficult to organize and maintain over time
  • Long loading time
  • Integration can be deeper and more seamless
