Quickbooks Desktop Pro is accounting software from Intuit, Inc. It allows a user to create invoices and track sales, enter and pay bills from vendors, and download bank and credit card transactions directly into QuickBooks. It contains analytic features, and its reports can be exported into Excel. Its home page conveys an overview of business activity at a glance, providing insight into business processes. Quickbooks Desktop Pro for Windows Desktop can be obtained presently for a one-time purchase fee of $230, while Quickbooks Desktop Pro Plus is available for $200 annually as a cloud-based service with the support, data backup, and free updating typical of cloud-based services.

We use QuickBooks Desktop Pro to manage our financial records including accounts payable, accounts receivable, budgeting, and financial reports.
  • QuickBooks Desktop Pro is user-friendly. It is easy to reverse the journey entry and fix the errors.
  • Accountants can fix errors without letting the manager review and approve. It will be better to have a function that the accountants have some restrictions for internal control purposes.
The program runs WAY TOO SLOW! Every click takes too long to connect with the server.

Dearborn YMCA uses QuickBooks Desktop Pro for [its] accounting purposes. It is used to process deposits, payroll, and run financial reports. The majority of the work is completed by few users and the reporting function is easy enough that department managers can run reports on demand. The users are secure with strong passwords.
  • QuickBooks Desktop Pro is very good at providing an audit copy while allowing continued use[.]
  • Quickbooks Desktop Pro has very good customer service if there is ever an issue.
  • Quickbooks Desktop Pro is very easy to learn and is easy to support.

Most large companies may find that QuickBooks Desktop Pro does not have drill-down type interfaces for reporting that may hinder the reporting necessary for larger organizations.

QuickBooks Desktop Pro is our main accounting interface. All fiscal reports, payroll, taxes[,] and donations are run through this software. Between the Treasurer, Secretary[, and] myself[, ...] utilize it to ensure we are all on the same page financially for our NPO. DonorPerfect feeds data into QuickBooks Desktop Pro and makes [double-entry] a thing of the past.

Within the nonprofit organization I currently manage, it is used systemwide. I've also used it with a real estate and land development company where there were multiple LLCs under the umbrella. QuickBooks Desktop Pro was the software of choice.

For the nonprofit sector, it provides an affordable way to handle grant management and various projects. For the real estate company, it could be so granular to track from land acquisition to end-customer sales.
  • Managing complex project accounting
  • Grant accounting and reporting
  • Payroll--especially with multi-project accounting
  • The limited number of simultaneous users--licenses can be cost prohibitive
  • Was too firewalled, requiring a VPN to use (may have been our IT)
  • Cost. Cost. Cost.
  • While they say nonprofit, it isn't really well designed (just branded) for nonprofits
QuickBooks Desktop Pro client is incredible for running multiple cost centers, companies, or projects. It can be as complex as your accounting needs to be. Where I saw its massive goodness was while auditing a development firm that builds apartments, homes, and commercial buildings. The company was able to track from land acquisition to end-buyer (individuals as well as corporate) with all the complex costs, fees, and reporting needed for construction and sales. It is a beast for this kind of use.

QuickBook Pro is currently our G/L system. It is used for our G/L activity and reporting by a few individuals in the organization.
  • Bank reconciliations: good tool to quickly reconcile bank statements to bank register.
  • Chart of accounts: generally easy to set-up and manage.
  • Bank load: accurately load bank and credit card transactions.
  • Limited non-profit functionality (fund accounting).
  • Limited number of dimensions.
  • Reporting tool is difficult to make custom reports.
QuickBooks Pro is well suited for very basic accounting needs. It also has a payroll and accounts payable feature which my organization does not use. It is generally easy to navigate and perform the accounting tasks. The biggest drawback is not having a non-profit feature within the Pro software.

It is not suited for those with complex organizations that would need multiple dimensions such as project and region.

We use QuickBooks in our accounting department only. We use it for the AP, AR, bank reconciliation, and payroll functions. We print checks and send invoices with it. It meets all of our needs.
  • Accounts Payable - pay bills and print checks
  • Accounts Receivable - create professional invoices to print or email them
  • Bank Reconciliation - easily check mark which ones appear in your bank statement
  • Payroll - not able to customize for accrued vacation/sick time not to include holiday hours
It is well-suited for small businesses and non-profit organizations. It is not as well suited for companies with customized payroll.

I use QuickBooks to maintain the books and records of the Wareham Middle School and Wareham High School PTA as the Treasurer. I am a CPA (sole-proprietor) and have many of my clients using QB for years to maintain their business books and records. Some clients I maintain the books and others I train and they maintain the books and direct questions to me and send me their QB file at year end.
  • Accurate at maintaining double entry accounting (even when the client does not know what that means)
  • There are many ways to find a transaction, which is helpful when trying to determine how a client posted a transaction in QB.
  • Payroll is streamlined and easy to understand and enter
  • The ability to design forms or the design layout could be more user friendly.
  • Need an easier way to change a group of transactions at once (such as if all transactions to one payee were entered under the wrong category - to group and re-assign the whole group)
  • Easier customer support to answer questions on how to get QB to perform a task that you are trying to enter.
Clients that must maintain an inventory -- it can be tedious to set up but it is still the best program available.

I am also CFO for a not-for- profit. It is easy to use, and reports are easy to customize.

QuickBooks Pro is currently being used in an altered state by our organization. Instead of using one account, we use multiple accounts to track individual grant funds. Each grant has its own account. We do not use the time tracking/payroll feature within it. We strictly use it for the reports and to track expenses. It functions very well for this, however there was a lot of report customization that needed to be done to get it to match our needs.

  • Report customization is an awesome feature, however it is very cumbersome to use at times.
  • Entering data into the budget is not the smoothest. It takes some time to learn how to navigate the entering functionality.
I believe QuickBooks Pro offers a good foundation in order to customize it to match the functionality of most businesses or non-profits. Even if using a very small portion of the software's functionality, it is worth the purchase. However, prior knowledge of the software is beneficial if purchasing the software to use other than for the intended purpose.

  • Provides all accounting needs, including revenues (donations and fees) and expenses tracking, financial reporting, scheduled project donation tracking, and interfaces to support functions, such as Simpleport which interfaces Paypal (donations) to Quickbooks.
  • Set up could be easier, especially for non-financial folks. Report views could also be more intuitive.
Quickbook's class system (providing the ability to create classes for each project that our non-profit funds) is ideal for our needs. Partnered with Simpleport for Paypal, automates this otherwise highly manual process. Reporting by Class is also highly valuable, as we track how much each of our projects is owed at any point in time.
