Use Cases and Deployment Scope

We use Paylocity for our Time Clock and Payroll processing. It's a smooth transition to move employees' time to the payroll system. Paylocity also processes our quarter-end and year-end reporting. There is a self-service feature for our employees to enter changes and view their paystubs and W-2s. Paylocity offers a mobile app for employees for the self-service features.

Pros and Cons

Pros

Quarter-end reports are grouped together and so simple to pull and print out.
Their Time & Labor time clock is extremely simple to use.
Super quick response time to emailed questions.
There is a nice Org Chart to see all employees and who they report up to.

Cons

Starting a payroll batch is complicated especially the Merge function.
The Pay Entry screen puts asterisks and you have to go to the details page to view.
Too many different screens to go to, when adding a new employee to make sure they have the proper access.

Return on Investment

The system reduces errors because the employee enters a change, and then the manager approves the change.
The Org Chart is great for a view of all employees and where they fit into the company.
Paylocity's fees are fair and consistent with what we were paying prior vendors.
The transfer of time sheets from the Time&Labor module to the HR&Payroll module is simple and definitely a time saver when processing payroll.
The Audit feature is great at catching any possible errors before the submit payroll step i.e. multiple checks for one employee.

Paylocity Automated Processes

Paylocity's Scheduling feature is great.
Their automation for the most part is good.

Paylocity Employee Engagement

These are great tools! But our employees don't engage in these tools as much as they should.

Alternatives Considered

ADP Workforce Now

Being we are a small company, Paylocity is a lot better than ADP. Paylocity is a much simpler system and the customer service is a lot better.

The time clock system (Time & Labor module) is great for clocking employee's time and Time Off. There is a time off calendar to view who is off which is really nice. Adjustments to time sheets are simple to enter. Schedules are easy to view. It's an easy system to learn for new employees.

The Implementation took a little longer than I would have liked. Allow yourself extra time. But once we were up and running, things went really smoothly. The self training videos are really helpful. And if you do need to contact them with a question, the response time from their reps is super quick.
