Overall Satisfaction with Paylocity

We use Paylocity for payroll, learning management, benefits enrollment, and onboarding. It helps move a lot of forms that were previously physical into one electronic version. This saves time and allows for easy enrollment and access across multiple states. It creates a place for employees to view and update their information electronically.
  • provides a wide range of tools that integrate together for one system.
  • ability to build custom reports
  • Employee portal is not easy to navigate for employees. It's repetitive in fields and not clear on how to find what you need and update.
  • Customer service follows scripts rather than critically thinking. Even when the issue is clearly lined out. Causing a delay in solutions and multiple emails. The more difficult the problem, the more likely you are to get "lost" in the queue.
  • Their contract and onboarding was not clear on the package and products you receive. We thought our pricing included features that it didn't and then other features we thought we were getting were only free trials and we would have to pay additional costs to continue (which we didn't find out until we received a notice our trial was ending).
  • There are three different views (HR, Payroll, general search) that are confusing to understand. This is used I assume to be able to separate payroll and HR users. There is a lot of duplicate information across the different views and they are used on the employee level as well which is confusing for the employee. It would be nice if duplicate fields were under one umbrella and titled the same across.
  • User settings are hard to update and you have to fill out a form every time. Half the time the user setting updates aren't accurate and we have to submit another form. It's time consuming and not clear.
  • reduced time expenditures when things are running smoothly
  • better workforce visibility
  • reduced paperwork
It helps move everything electronical to decrease carbon footprint and increase accessibility but it is timely to get access and download the information. It allows employees the ability to update information electronically but requires time for us to train employees as it's not intuitive.
Surveys does not have an easy way to access and review the survey responses so it is not often utilized. We do not utilize community as we use other software for those features. Since employees have difficulty with the Paylocity website and it requires a log in, these tools have not received much use.
We selected Paylocity based on false information. We thought the pricing was competitive only to find out later that we didn't receive everything we were promised and some things were only free trials. We liked that they had a learning management system, that was a big decider for us. Going back having had all the information, we likely would not have gone with Paylocity.

Do you think Paylocity delivers good value for the price?

No

Are you happy with Paylocity's feature set?

Yes

Did Paylocity live up to sales and marketing promises?

No

Did implementation of Paylocity go as expected?

No

Would you buy Paylocity again?

No

The onboarding and first year was very painful. There were a lot of issues and we felt that as a smaller company we didn't receive the attention needed. It took a long and costly time to resolve everything. Information wasn't clarified with us and it was imported inaccurately. Some items never got set-up and then it took months of follow up before getting it fixed. Since then it's a 50/50 on if an issue will be resolved. Half the time they are great and respond back, but on the more difficult tickets I typically have to put a reminder to follow up otherwise I may never hear back. It is really nice to have benefits and onboarding tied with the payroll system so we can do all those things electronically and employees can complete them from any where. They don't really help make sure you are optimizing your use, so it is up to you to learn everything as they often just send you a link to an article. I feel like there are features to the modules that we don't know about and aren't using fully.

Using Paylocity

150 - payroll, recruiting, benefits admin, and general employee.
1 - Time to learn the features, ability to understand how the features tie into the company, ability to train others and communicate instructions in verbal and written formats, patience.
  • onboarding and form completion for new hires
  • benefit enrollment for employee and carrier updates via EDI
  • accurate and timely payroll processing
  • custom tracking fields
  • recruiting
  • expanding the LMS offerings
Difficulty of changing vendors

Evaluating Paylocity and Competitors

Yes - BenefitMall payroll provider - they were are prior payroll company but went out of business so we had three months to find a new provider. EaseCentral was our online benefit enrollment. We moved that to Paylocity so it was integrated and there were less places to update and employees would have to access one less website.
  • Integration with Other Systems
  • Other
We liked the different modules available under the one umbrella (LMS, onboarding, benefit enrollment, payroll) and the ability for employees to access them all. This would ideally save time in entering data across sites to allow for less errors. We also hoped it would be more beneficial to employees to have electronic access to everything under one site.
We would be more clear about what was included in the pricing and product details, including long term price increases, with our initial contract.

Paylocity Support

The nicest thing I can say about Paylocity's support is I run into the same support issues with every payroll company. Paylocity's support is no better or worse. With high turnover rates and employees being stretched across multiple company's it is hard to get good responses. I can usually get responses back to simple questions quickly but when you get to intermediate to difficult questions the support is lacking.
ProsCons
Immediate help available
Slow Resolution
Problems left unsolved
Not kept informed
Escalation required
Need to explain problems multiple times
Support doesn't seem to care
Slow Initial Response
Yes - no, I was often asked repetitive questions and had to repeat my question or information I had already provided. I found the service representative wouldn't fully read my email but likely autogenerated a response that did not answer the question requiring me to respond back repeating myself.
No. I have received support and often it can solve the problem, but I wouldn't state that I have received "exceptional support" as that requires listening, understanding, and going beyond.

Using Paylocity

There are a lot of modules and repetitive data locations with different names. It is not always clear where you find or need to update information.
ProsCons
None
Unnecessarily complex
Difficult to use
Requires technical support
Slow to learn
Cumbersome
Feel nervous using
  • searching and finding general information about an employee
  • knowing which view to pull up and which tab under each view may have the same information but titled differently
  • Pulling reports, especially with the newest update making template and save reports so they all show up twice and there are extra steps to finding them.
  • Updating user access and visibility, requires Paylocity involvement

Integrating Paylocity

Setting up integration was handled well but it is expensive. We still have bugs with a couple integrations that I have to manually fix every time. Sending over the wrong numbers/information.
  • benefit carriers
EDI feed that sends employee benefit enrollments and changes to the benefit carrier.
  • HealthEquity
  • The Standard
they do but Paylocity doesn't
  • File import/export
It works well for simple feeds but struggles with more complex fields with calculations.
