Overall Satisfaction with Procore

We use Procore across our whole company to manage all our construction projects. We use it on the operations and accounting sides; through the entire workflow. It has helped us manage a ton of jobs as we are growing quickly. It helps us communicate tons of information we have to gather throughout the project and report to our customer. It has streamlined so many of our processes. I use it for accounting-things like tracking change orders and issuing pay apps—and it has helped us capture dollars from change orders and has helped our bill accurately and timely. I save a ton of time by using custom forms Procore helped me create too. We use most tools. Our field people are getting really good with the mobile app and report things daily to the office staff through the program.
  • Customer service is the best. I work with a lot of companies and softwares and Procore has always been the best at being professional and responsive.
  • Constant improvement. They are always gathering our opinion on improvements and then actually implementing it. In 2 years I have seen great improvements
  • Mobile app. Though not perfect, the mobile app puts the tools in the hands of the field people so that they do their job well and get us, office people, the data daily. Most field people use tablets or phones. We use the desktop/web format in the office to manage the program with more detail.
  • Integration. There are a couple of little things that their integrations don't always do requiring some manual entry to our accounting software. It is still a very good integration and always improving but can be limiting at times. We use QuickBooks Desktop.
  • Vendor manager permission. Currently, in order to manage vendors in Procore, you have to have complete access to the entire system as an admin. We really don't like this. I want a vendor manager ability for people to add vendors with being an admin so that my AP department can manage vendors without seeing everything on the project or company. This has really been the only major complaint we have had. Otherwise, their permission structure is amazing and helpful. They are constantly making granular permissions which has helped in other areas but not this one.
I think Procore is the best out there. I helped research other software before going with Procore and I am glad we chose this one.
The ability to enter data one time and then produce reports is amazing. I would like to see a few other features with reporting, but overall their customer reporting tool is great and I have made a ton of reports. The more we grow the more reports I make to keep us effective. Each tool has reporting features as well to drill down. It helps us have very efficient communication and decision making meetings. So, overall, Procore has helped us be organized and very efficient. We use a few office staff to manage a lot going on in the field. However, the approval flow in Procore is not that good. I have recommended there be a way for Project managers to approve a bid (in bidding tool) so that it can be made a PO and that a PM can approve a CE for a CO or PCO. I have created my own statuses in Change events so we can discuss the workflow. Overall change events is a great tool. I think there are some other approval flows for pay apps and invoices but I have not started using them. I want to look into these soon.
  • change Orders. The Change Event tool captures all possible changes on the project. We use this to organize, communicate and decide. We have been able to capture a lot of dollars by using this process.
  • Efficiency. We have been able to have fewer office staff to manage the amount of project/$ we run through Procore. We use custom forms too to produce all the various documents our customers require for payment and it has cut our billing time down greatly.

Field people enter data daily in the daily log capturing basic information on subs, work completed, etc. They take photos and send updates about the schedule, they enter change events for any potential cost impact in the field. We use submittals, RFIs, drawings, etc to make sure everyone has the information they need and it is up to date. We produce reports for our teams, our CEO, CFO, and customers right out of Procore saving a ton of time. On the accounting side, we use the budget tool to forecast and track our budget. We bill through the pay app tool and use commitments and change orders to keep track of our costs to subs. In accounting, we are able to look at the schedule and such to see what to bill and we gather the various information to send important docs to our customer. We attached documents with every tool. We use the email tool to keep a history on the project so if a new superintendent steps on site they can get all the information they need. We use inspections a ton to ensure we are finishing all of our tasks (super, PM, coordinator, accounting) with excellence. It keeps us all on track and accountable.
We use QuickBooks to integrate Procore with our accounting software and then from QB we integrate with a number of other apps. The basic information integrates and flows well between QB and Procore. There are a few additional features I would want to see but overall it works well.
I think it is the best out there.
