Overall Satisfaction with UltiPro

We are using UltiPro to house demographic, job and compensation information for 2,800 domestic and 11 international employees. We are rolling out employee and manager self-service in the near future. The whole organization is using UltiPro. We are able to manage the approval processes electronically to comply with internal and external audit controls. We have also customized the system to automate the tuition reimbursement process. UltiPro feeds our Payroll system. We are currently looking at implementing UltiPro Payroll, Compensation and Timekeeping modules.
  • Ease of system use and ability to make data accessible the way management needs to see it.
  • Automates processes such as electronic approvals to remain compliant without internal and external controls.
  • UltiPro provides support and recommendations to ensure we are utilizing the system in a way that satisfies organizational needs.
  • The BI reporting feature could be updated to be more user-friendly. There are a lot of features and not enough quick access to clear information to understand the features.
  • I would like ability to add more document categories and select from a pre-populated drop-down of document types. Without better control of documents we are not able to open up the folders to the employees.
  • Within the recruiting module, we'd like the ability to select multiple resumes and forward them all at once to a manager via eMail.
  • I'd like to see the EEOC report in the format that is accepted by the Department of Labor.
  • I'd like functionality around automation of communication for login credentials to employees and managers and auto-assigning roles and security based on selections made by the administrator or routing to security administrator during the onboarding process.
Previously, we used the HR Module within the Microsoft Dynamics A/X ERP as our HRIS solution. The structure was cumbersome to manage. Tables were tied to each company. If you added data to one table, you had to add it to each table for each company. This made system maintenance tedious and time consuming. Reporting was not robust and data extraction and mass data imports were limited.

We recently evaluated Ceridian's cloud solution. I thought Ceridian looked really sharp and ready to take the lead when I had an opportunity to demo their site a few years back when we were not ready to change systems. After evaluating them a few weeks ago, I realize they did not go much further than where they had been a few years back and everyone else caught up and has now passed them.

We also looked at the ADP solution as we have grown and are looking for a consolidated HRIS, Payroll and Timekeeping solution. I believe ADP can meet organizational needs, however they are not open to customization of their solution. While the solution is SAAS based, I think there is a room to allow more flexibility so that organizations do not have to change long-standing processes that work and they'd like to keep.
I believe UltiPro is a great product that can accommodate organizational needs. We expect to add 1,700 new employees brought on through acquisition. We hope this is a smooth transition to the UltiPro system for our new employees. This will be a true test if UltiPro is well suited for growth.

I believe an organization that has a robust or complex performance, goal and compensation process may run into some roadblocks. This is definitely an area for future improvement. There should be more configurability to accommodate varied rating structures and advanced routing features. (Iterative steps between employee and manager as well as manager and next level manager when completing reviews and performance evaluations.) Also there isn't a clear way to manage off cycle, one-off compensation increases.

Standard core HRIS reports run by administrators are not readily usable in Excel.

Electronic document storage for employees has a limited folder structure.

Job Codes cannot be filtered to secure down table by location on web.

Using UltiPro

I gave a 5 rating because we are currently going through the RFP process to find a consolidated HRIS, payroll and timekeeping system due to our recent growth. We acquired 1,700 additional employees who are on a JD Edwards system. We use UltiPro for our HRIS and Recruiting and Onboarding Solution, but ADP for Payroll and Kronos for Timekeeping. This has added complexity with several export and import files in place to feed data. This has caused inefficiencies and duplicated efforts for data control and processes. I would like to stay with UltiPro and would recommend it, but because we are looking at a consolidated solution there are other factors and departments that must be considered.
