Workfront is not used company-wide in my organization; it's only used by the Marketing department. Up until this year, our marketing team has only consisted of about 5 people with an external marketing agency. As we began to grow the department, Workfront has helped us to centralize project communication instead of conducting through email, which was how project communication occurred in the past and details would quickly become lost. The centralization of communication and the ease of use with digital proofs and approvals has helped us maintain project information and workflows.
Pros
- The visibility of resource management has greatly improved in Workfront in the past year. This has helped us understand where are resources are overloaded and has helped prioritize effectively.
- Digital reviews and approvals are hard to beat in Workfront. Having the review information centralized and housed on a document helps us move through our review processes more quickly with fewer questions about why certain edits have been made.
- Project templates and timeline generation help streamline the project building process and helps us remain consistent with our processes.
Cons
- The aesthetic and functionalities of the reports is one thing I'd like to see improve, since it can also affect the quality of Workfront dashboards. I've received negative feedback on multiple occasions about Workfront reports from a functionality and aesthetic standpoint.
- The portfolio system in Workfront is very lack-luster and complex. I would like to see them move to more of a foldering system.
- Overall, I think Workfront could start eliminating certain capabilities to make the system more user friendly and less complicated to set up. It's a lot to take in for team members and to onboard project managers.
- Resource allocation and management has had a very positive impact on our department.
- Document hosting and digital reviews have allowed for easier and more relevant conversations during reviews.
- Project visibility for the average user is somewhat lost without the generation of a manual report (negative feedback on reports) or hosting a campaign calendar.
- Basecamp and Smartsheet
Workfronts document hosting and timeline generation are two of the biggest reasons we have stuck with Workfront for so long. The visibility of project updates and communication tracking with each project is also has allowed for more effective collaboration. Workfront also has a sophisticated interface with a lot of add on capabilities and features if you're able to effectively implement them. Very expandable system.
Our department has definitely benefited from Workfronts tools for collaboration. The updates and comments functionality have been a useful way for us to communicate more effectively about relevant project information. This has also cut down time from projects since the updates are tracked project by project instead of the details being lost in email. Because of the robustness of the system, we have not given access to other departments for document reviews and project collaboration.
I often attend the live trainings for Workfront, and they have been a great resource for exploring functionalities I was not previously aware of. The instructors are responsive and very well versed on answering questions about customizations. I was also able to attend the LEAP conference in 2016, and it was a great conference. I was able to collaborate with many companies and discover how they have used the tool for their own organizations. The sessions were very user-based and customer-centric, which was great to see after struggling with implementing the product.
