Overall Satisfaction with Ziflow

We use Ziflow as a tool for reviewing both print and online media. In our custom first stage, the account manager can review the document before starting the next stage. In the second stage, the customer is added and can start reviewing. This way we don't need a lot of mails and all kinds of pdf documents without knowing what the last version is.

  • Let you create custom stages for different approval flows.
  • Keeps all comments in one version/document.
  • The custom message/subject could be using a bit of styling.
  • Quicker access to option for archiving proofs.
  • Perhaps make some activities clickable for quick access to specific activities.
  • Enormous time saving when collection all comments/corrections.
  • Eliminate unnecessary extra versions.
  • Helps making the deadline.
Before Ziflow we need to read through a long mail conversation with all kinds of unnecessary info. Somewhere at the bottom of that mail could be some info that is relevant, but you have to look in different mails for the file that is talked about. All that is now eliminated by using Ziflow.
Before using Ziflow a pdf was printed and checked by different team members. Corrections were added with a pen, a marker or even a sticky note. Then the complete package was carried to another desk and the next person added his/her comments and so on. Last, someone had to type over all the written comments and send them to us to make the changes. Almost always someone had some forgotten comments which had to be added after the deadline. This is no issue anymore for the most part thanks to Ziflow. Team members don't have to wait for the printed package on their desk and thanks to the set deadlines everyone knows what is expected of them.

If I have to compare, then Workfront feels like Flash and Ziflow like html5. It's so much more lightweight while offering a better user experience and tools than Workfront did. Adding stages and working with different permissions works so easy with Ziflow while working with Workfront feels a bit heavy and bloated.
Ziflow is great when a document has to be reviewed by multiple customers and/or departments. With stages, it's possible to set deadlines and let supervisors keep control over the flow. All comments will always be collected in one document instead of different printed pdfs and hundreds of sticky notes. It's great for brochures and multiple-page documents, but for a simple business card, it's probably a bit too much.
