Workzone

WorkZone would be a great tool for a company that develops content/ideas and has to share them with multiple people/clients. It allows for easy sharing and commenting. For a company that creates content for web, radio or television and would like to store them for presentation purposes- then you might want to look elsewhere.WorkZone was everything we needed and wanted until we started to expand. We've recommended WorkZone to a few companies and two of them are using it today. One of those clients does construction. They use WorkZone to share building schematics and ideas throughout their company and on the job site. We are working with them on a job that they are constructing and they've added us as a 'client user' to access items that are beneficial towards the ads we're creating.

  • Allows you to create tasks
  • Keeping track of notes made is easy

  • Allows for client reviews and sharing. WorkZone allows you to create a customizable interface for each of your clients.
  • Review process and note taking. WorkZone's review process on work is, in a word, amazing! For everyone that is included in a piece of work that is sent out, both internally and to your clients, an email chain is created. This pops up in everyone's email whenever a new response is added but it also is stored within the file/video you're commenting on. That comment log/discussion will be stored with that file until you delete it.
  • Ease of Use. WorkZone clearly marks 'parent folders' or main categories. One is called "client uploads" and that is where anything your client uploads for you to use or review will be stored. Also, as mentioned earlier, the private/hidden directory for internal use only is called "holding tank." This allows for peace of mind when it comes to having interns or junior employees upload a rough. You can rest easy knowing that anything in that folder cannot be accessed by anyone who is not marked as an employee/internal by an admin.

Cons

  • Difficult to upload targets
  • Not easy to modify a target
  • When uploading targets you can not attach them to tags until after they are uploaded.
  • When listing opportunities in the system, you are limited with what stage the opportunity is in and the star system is not very helpful. The status' are very vague and not always accurate.

  • I researched numerous project management software programs before deciding on WorkZone. WorkZone had all of the capabilities that we needed, ie web based, ease of use, reporting, resource allocation, cost effective. I felt that this was the best off-the-shelf software on the market. Unless you can create your project management software in-house, you will not have every thing that would like from the software. Off the shelf --- they are designing for the masses and every company is unique in their processes and procedures.

I was very impressed with how easy the WorkZone software is to use, and would very likely recommend the software to a colleague. I do see room for small improvements, however. I do not currently use WorkZone in my company, but if there is ever a need to implement a project management program, I would be happy to recommend WorkZone. The system is easy to learn (a plus when implementing from scratch in a new company) and the WorkZone team provides unlimited training and support.

Throughout the use of the WorkZone software, we never had a issue with it being unavailable. This is important, considering we wanted to access our projects and see our progress at any moment. WorkZone was always available and made constant supervision of tasks and goals easy; no excuses for not checking in on the status of a project.

I have zero complaints about the performance of WorkZone; for our organization's needs, it was a perfect tool for keeping track of various responsibilities and tasks. We never experienced a lag or down-time when using the software, and the simple interface made things exactly that from our end...simple. WorkZone is a fantastic tool for work management that never fails to perform, in my experience.

The team at WorkZone is incredibly helpful and very willing to lend support when they can. Our team was constantly growing, and our new team members needed training every time someone cam on board. The WorkZone support staff was more than willing to ensure our new team members were completely comfortable using the software and set up for success.

The WorkZone trainers are wonderful! They offered us unlimited over-the-phone and online support, and the trainings were always informative. The WorkZone support team was willing to answer multiple questions and review sections of the training if need be. They were always accommodating, and trainings were scheduled very quickly for when our team needed them!

Implementation of WorkZone was very easy. We simply log into a portal online and begin to set up our projects. Access codes were sent very quickly to our team, so there was practically no delay once we signed the contract for our subscription. Training was scheduled quickly and was very helpful, especially as new team members joined our organization.

Workzone fills a need and so does ArchiOffice. I would like a hybrid program between the two or a link between the two programs. Workzone and ArchiOffice have a lot to offer our company, but don't currently hold the full package. What about linking to the Outlook calendar with notifications? Still, Workzone had helped me by managing the projects and the team members that work on them.

We are a small organization, so the need to expand our use of WorkZone was limited. I only rate it below a 10 simply because I do not have much experience with the scaleability of the product. From the previews and training sessions, it does seem that the software can easily be adjusted to accommodate a growing workload; something we may use in future, just not at this point in our organization's development.

Return on Investment

  • Helps with tracking prospects through the sales/marketing funnel
  • Has led some employees to stop using the tool and going back to spreadsheets. When trying to attach targets to tags you need to do so individually and if you upload a large list you need to do this manually, one by one, and requires a lot of time. So people have gone back to spreadsheets where they could simply just cut and paste new people in.
