It is very helpful for budgeting and reporting. I love how easy it is to automate reports and presentations. It can be more difficult to plan specific activities. It feels more high-level than activity-level. It shows totals rather than individual transactions (either past or future transactions).

It works very well for multi-user environments where users are in different physical locations. Also it has a very good API that allows for robust integrations with external systems. These 2 areas where our key criteria when choosing a new accounting system a few years ago. Our specific accounting needs are very basic so really any accounting system would handle our accounting needs. Ease of use, multi-user access from different locations and a good API where what we needed and xero delivers.

Pros

  • Infinite ability to group accounts and departments for reporting. The only limitation is the number of ways that you think of in terms of consolidating the information.
  • Being able to build scalable, complex, distributed, budget models. With the data we can bring into the system and the formulas we can use we have all the functionality of the spreadsheet, but with the flexibility to allow leaders across the organization to participate and update their section.
  • The platform allows multiple forecast/budget versions which allows for version control and sensitivity analysis. I can lock versions from changes while quickly creating a new version to see the impact of a +or- scenario to the company’s profitability.
  • With the OfficeConnect tool we can leverage Excel to provide repeatable reports for the board and other business leaders that are repeatable from month to month. While the platform provides more flexibility than an accounting package it still has limitations. Using OfficeConnect I can leverage the power of the Microsoft suite of Excel/Word/PowerPoint directly.

Cons

  • When we purchased the software, there was no template model for SaaS companies. Given Adaptive itself is a SaaS company, we had hoped that we would receive a template that would have saved us some time upfront in building our models. And we probably would have to build some out differently. But I understand this may be an option for new customers.
  • Some basic functionality like YTD calculations are not built into the formula functionality. You have to manually build this into the formula yourself. But it is an easy fix. It just would be nice to have that, as most companies would be interested in a YTD calc.
  • Being able to format reports/dashboards a bit better with +/- variance differentiators

  • Using an accounting system in a web browser versus a standalone app can be a little clunky when it comes to navigation or having multiple windows open at once. This is more a function of using a web browser then a knock against xero itself. For us this is just a minor annoyance having come from a desktop based system before.

It simply is incredibly usable with excellent drill down features. The dashboard is highly configurable. Transactions are now even easier to find with the new Global Search feature. Documents can be attached to transactions. We use Bills Entryless to transfer documents to Xero without keying the data. Visibility to reports (the old style takes seconds). The newer reports are more RAM hungry so there can be a 10 second or so lag while the report is compiled. Usually old style reports deliver what our clients need in a flash

We have been actively using and 100% Xero based for our ecommerce accounting practice for over 4 years. There has on been one real outage for more than 5 minutes. Xero was open and transparent about the outage, what they were doing to resolve the issue, and provided 15 minute updates. Showing how they care about their customers and partners. Plus, showing that their customers care too, were understanding, and went surfing or in our case took a nap. Couldn't run our business without Xero as a partner.

Breadth of Deployment

It is used throughout the company in different divisions and at our corporate level. When used in a division recently the personnel from different departments directly inputted data and monitored their budget against actual. It is very user friendly and flexible.

Alternatives Considered

I have used Hyperion and TM1 solutions in the past.
Hyperion was expensive and difficult to implement, requires more technical knowledge to set up the business rules for more more hands on IT support.
TM1 was a great tool for FP&A users. However TM1 lacked a report writer and was not a cloud based solution so access for international offices and those who traveled frequently had challenges. Adaptive offers a well-rounded solution cost effective solution with easy access, user friendly interface, built in report writer and dashboard capabilities.

Four years ago, Xero was the market leader. I had written an article on cloud accounting and compared all of the offerings. I had concerns as Xero was from New Zealand and preferred to use a UK company. However, Xero had more flexibility via its APIs and was, at that time, better than all other products on the market. Our first implementation required a full stock control system. At the time no other web based system had that kind of technology for SMEs.Xero was designed from the ground up as a web based solution. It has no desktop version that it tries to keep synergies with.Many new features have been added over the four years. As Silver partners we have what I would call a very good relationship. Xero has kept pace with the chasing pack.

I have considerable experience over the last 35 years with software. Solutions like Xero would have been unaffordable to SMEs. There are always new features being added although my only concern is a rushed through payroll system for 2015-16. In reality Xero was not ready and our practice suffered as a result. we trusted Xero that it was really tested. That trust was based on our involvement with the payroll development. That said, it is saving our practice time in processing payroll. There are some glitches still and reporting such as P11's are still not available.Occasional Payroll glitches and the slow development of the new more flexible reporting is the only reason this is not a 10.
