Good for replacing administrative spreadsheets, creating resource assignment and calendars, planning activities, creating on the fly data stores, outputting simple mobile data entry forms. Dealing with mobile staff needing to enter simple data quickly or with managers and officers who need to see real-time snapshots of information. When dealing with smaller data sets and not requiring blocks, then for a non-profit it is useful to have the free workspaces where everyone can fully collaborate and update records.Less good for complex financial work you should stick with Excel or your finance system. If you have a very large number of records and need many people to be able to update records then you need to consider the costs (however most off the shelf products you will be looking at to do your specific tasks will probably cost more when you evaluate them).

Pros: Workflows are a functionality in OCM making sure that the approval is given by the right person in the right job before it's on its way to the next step and in the end, publishing!Cons: I don't feel like I'm noticing any updates that feel like Oracle is making progress. I'm not sure if it's the level of account we have/pay for. It seems like we installed/bought this one version years ago and have never updated. The interface feels dated, and I've never noticed any updates to change that feeling.

Pros

  • You can see events in many different views (i.e. groups, calendar, table) without having to manually format each view. I can add/edit event data in any view, and have it populate to other views. This helps conceptualize program content and see any gaps or conflicts.
  • It's very easy to link data from one table into another table. It means that I can adapt Airtable as I build in information. I don't have to worry that making changes or additions as needed will fundamentally mess up my database.
  • The calendaring features are amazing. Our whole team loves being able to color code and filter our events. This will allow us to print calendars customized to each audience (i.e. staff vs program participants).

  • Permission levels are also nice so a random user cannot just post without a certain level of access.
  • I also like being able to update the code if necessary.
  • It's easy for users to access and write, and there's a nice workflow to review any content before it gets published.

Cons

  • Airtable is a great project management tool, which is my primary use for it, but it does lack on particular feature, that I know will be addressed at some point. I am in great need of a way to nest tasks within a task line item. It has become very difficult to create a large scale project plan and be able to see the grand large picture of the project, but also drill down into the details. Creating a field option for subtasks would help pull related tasks, or steps within a task, to allow for this.
  • Airtable is great when it comes to integration, but the problem we run into as a non-profit, is that most of the automation comes from another service, which is another cost. I would love to see them develop some sort of integration in-house, or work with Zapier to offer a discounted plan when you sign-up for both of their services.
  • Airtable handles linking of records well, but another problem we run into, is the inability to link items within a separate base. An example of the goal for us here, would be to have the ability to create a centralized database of contacts, that can be linked to several other processes, like a separate on-boarding base, or a project or event plan. Without this, we end up with redundant data in several bases with no centralized place to look for what is needed at any given time.

  • I believe it would be a great asset if many more layout functionalities were made drag and drop, just like in the email editor of Eloqua, allowing the ease of use and diminishing the need of html/css/javascript knowledge!

Easy to use, and supporting several permutations, the CM suite is an excellent solution for a mid to large size business. It's meant to be used by a team, and the functionality can work across websites and landing pages. There's also the high benefit of translation management, providing support for localized products.

Sometimes, I have to wait a bit longer but I'm on a low priced option so I understand why. Generally, they're able to provide me solutions to my problems as long as I'm not in a rush.

To be perfectly honest, every one of my concerns and problems has been handled by the support team in a very timely manner. If they could not fix my issue they assured me it be addressed in future updates.

Don't forget about customer service once you have a closed the sale with a customer. Oracle seemed to not care about our needs/timeline after we gave them our Purchase Order

Alternatives Considered

Airtable is much easier to use than any of these applications. The only features that give it competition are nesting tasks within a project, which Asana does well, as well as Trello and Flow. Airtable is also very flexible in terms of capability. The only completion there is Google Sheets, which is must more difficult to use overall, and not very user friendly or visually appealing. Airtable has endless uses, while these other applications are generally found only in the project and task management world.

While OCM was a lot more money, they were able to prove to us that they are a much better solution to use and worth the extra cost. The reporting, capabilities along with the analytics that was easy to download was a big discussion factor for us.

Return on Investment

  • I'm not sure this is really applicable for our uses, but I would say that it has been very helpful in clarifying the makeup of our archival collections, from description to scope. This helps with our internal research for performance reconstruction, promotion, and education. Externally, this allows us to more easily assist research requests and inquiries.
