Apptivo

(UPDATE: Please note that my review was for the Version 5 of their apps. They have recently updated 2 of their main apps to V6 which show a lot of improvements. The sad thing however is that many of their 40+ apps never even made to V5 let alone V6. V5 to V6 has taken over a year and only the core apps are getting attention.)

As it stands Apptivo is only useful for one person or sole trader type entities. If your business wants to use all the apps and works internationally then Apptivo will create headaches and frustration rather than increasing productivity. They may solve many of the 100+ items we provided them with free of charge in an upcoming release, but we left with a bad taste in our mouth. Countless hours lost in our business while we acted as bug finders for Apptivo while paying for the product.

I don't know if this is exactly what you are asking but the challenge I have had at ASU is overcoming the perception that Planview is only good for managing IT projects. Project management is project management whether it is an IT project or managing capital projects.

Pros

Apptivo

  • Built in support for new users.
  • Basic crm works...just dont expect it do anything well beyond the basic.
  • Price.
  • Google Apps integration is better than a lot of the competition who charge and anwful lot more.
  • They are open to and try adapt quickly based on customer feedback.

Planview Enterprise One (formerly Planview Enterprise and Troux)

  • Planview is an excellent tool for managing project plans and resources (resource capacity). We are able to clearly see what stage work is at, forecast remaining effort and manage work with the view into resource capacity and availablity
  • ARP is an excellent platform for reporting. We are able to pull valuable project and resource data and view it many different ways (by division, by PL, by project sponsor/owner, etc. ) Reports can be scheduled and sent via email to customers, create custom dashboards that are role specific and with Work Builder custom reports are easy to develop
  • Planview Enterprise is flexible and intuitive for the end user and the use of work and resource grants and the different license types helps control access to project data and who has the ability to view specific work/resources and edit/make updates.
  • Planview has developed a culture of customer service and consults customers in regard to enhancements as new versions are being developed. Inner Circles are comprised of a broad array of customers who meet and discuss proposed changes to the tool and provide insight and feedback as to what is working well or not as well as making suggestions to improve the user experience. Not only is Planview listening to their customer but much of this feedback is implemented.
  • Planview Customer Care provides excellent customer support and are responsive to reported incidents in a very timely manner. The support staff is very knowledgeable and the escalation process if needed is very easy.
  • Planview CRM's are a great resource to customers and provide a layer of support and assistance when trying to determine which path to take when an issue occure or even following up and making calls to get an outstanding issue resolved more quickly. They also work to ensure that the tool is working for their customer and that they have what they need to use the tool to the fullest.

Cons

Apptivo

  • Homescreen claims to be the center of the application however the sub sections are mostly flawed or do not function as one would expect.
  • The built in email client kinda works but depending on which section of the app you are in the default font will be different from your signature. Also you cannot add a cell phone to staff signatures. I asked about this for months. It was never fixed. When will CRM companies learn that email is STILL the center of many business. It is unacceptable to have different fonts in the same mail and signatures that change from client to client.
  • They frequently messed up our contact data.
  • Multi currency exists on invoices but not on other apps.
  • Fragmentation with their apps....some apps are still on version 3 some on 4 and some on version 5. This means you are forced to deal with 2 or more different user interfaces within the same app.
  • No consistency between the apps.
  • Often there is little or no integration between the apps inside Apptivo.

Planview Enterprise One (formerly Planview Enterprise and Troux)

  • Managing a work breakdown structure with predecessors, etc., is a lot of work. Too many clicks and not intuitive.
  • My biggest complaint is that you cannot update resource attributes in a resource portfolio (column set) like you can in work. The administration of resources and users is very time-consuming.
  • Along those same lines, you have to set up resources and users separately and cannot copy or anything, this would be a nice feature as many resources/users mimic others.

We have been a Planview customer since 1999 and have seen it grow and mature as a tool. We have looked at other tools and have found that PV continues to meet our needs and is easy for our resources to use. They work to stay up on the project management industry and the direction it is going, keep on on current technology so that we can work more effectively, provide excellent customer support and have great pricing for what they offer. We can purchase only the modules we need versus buying a tool where we would only use a portion of the functionality.

Usability

Apptivo

Apptivo 2.7

Our uses kept running into bugs that stopped them from doing simple things like creating a contact or selecting an item from a custom drop list which is required to save the contact or item. This of course is after time was spent filling out all the previous data which gets lost when you cannot complete the form. This is just one example of many.

The previous version didn't have as many rich features available on the web (right clicks, sub-menus, etc.) that would have sped up productivity on many screens.

We are long time Planview users and its availability is only limited to our internal SLAs for nightly backups. I have never experienced any unexpected or prolonged software downtime from Planview itself.

Always have a pre-implementation meeting or conference call with Planview to ensure all are on the same page, disclosure of all and any customization (including reports) and plan for support after implementation of a specified amount of time with the assigned implementation resource. And document everything

Alternatives Considered

Apptivo

Sellsy is the app that comes closest in terms of feature set. It is a lot more expensive but even with its flaws and terrible Google integration is still is a measurably better product in terms of taking care of your business. Unfortunately for Apptivo it tries to do everything with its 40+ apps but not one of those apps succeed in being great when compared to the competition. The competition in all cases are much more expensive than Apptivo but it is a case of you get what you pay for.

Solve360 is probably the best Google integrated crm product on the market today however it is not a business management platform. Work[etc] is another great platform with excellent Google integration but doesn't do stock management or multi-currency. Also way over-priced!

Planview Enterprise One (formerly Planview Enterprise and Troux)

Troux has the most complete and up-to-date feature set, which also includes the ADM cycle of Togaf. It's designed for Strategic and Tactical IT planning and managing IT portfolios. In certain cases other products only cover one aspect while Troux covers all the aspects in a holistic view and integrated repository.

Return on Investment

Apptivo

  • It cost us money.
  • We lost a few hundred man hours on this. We stuck with them for a while based upon the promises received and the excellent speed at which support would reply to concerns. However fixes to the big issues still have not arrived a year later.

  • Transparency and into the work and performance of the entire IT organization.
  • Visibility of support costs that go into keeping the lights on and also the impact to resource demand.
  • Control of internal processes.
