(UPDATE: Please note that my review was for the Version 5 of their apps. They have recently updated 2 of their main apps to V6 which show a lot of improvements. The sad thing however is that many of their 40+ apps never even made to V5 let alone V6. V5 to V6 has taken over a year and only the core apps are getting attention.)

As it stands Apptivo is only useful for one person or sole trader type entities. If your business wants to use all the apps and works internationally then Apptivo will create headaches and frustration rather than increasing productivity. They may solve many of the 100+ items we provided them with free of charge in an upcoming release, but we left with a bad taste in our mouth. Countless hours lost in our business while we acted as bug finders for Apptivo while paying for the product.

Planview Enterprise One (formerly Planview Enterprise and Troux)

A company should have a strong grasp on their planned use cases before purchasing a tool with as much capability as Planview Enterprise (PVE). This will help ensure that they are picking a tool that matches their enterprise roadmap. For example, if time reporting is the primary use case, then PVE would be a very expensive timesheet when there are many less expensive and less complex tools that would do a fine job in this area.

Pros

  • Built in support for new users.
  • Basic crm works...just dont expect it do anything well beyond the basic.
  • Price.
  • Google Apps integration is better than a lot of the competition who charge and anwful lot more.
  • They are open to and try adapt quickly based on customer feedback.

  • Planview Enterprise (PVE) provides end-to-end work management for the full spectrum of work types in one tool. Traditional project work can be fully implemented with detailed or summarized WBS, stage gates, workflow management and content management. Non-project work can be tracked in a variety of ways. There is even an option for "ticket" type work. PVE provides 4 types of resource assignments to attach people to work; each with flexible configuration options to meet the need of the organization.
  • Planview Enterprise provides robust Rating and Financial Planning capabilities, and they continue to grow in this area of the tool. Rates can be driven by attribute-based rate cards or by attaching the exact rate to the individual resource. Multiple override functions exist that allow work to be configured with the exact rates when the work is the exception to the rule. All effort data captured in the tool (both from manual entry and/or ported over from the work plans) is converted into financial data with just a few clicks. And, portfolio management of this data is easily delivered on screen.
  • The analytic options available in Planview Enterprise are broad and easily made available to the appropriate audience. They are graphic, but also drillable to the desired level of detail to facilitate analysis.

Cons

  • Homescreen claims to be the center of the application however the sub sections are mostly flawed or do not function as one would expect.
  • The built in email client kinda works but depending on which section of the app you are in the default font will be different from your signature. Also you cannot add a cell phone to staff signatures. I asked about this for months. It was never fixed. When will CRM companies learn that email is STILL the center of many business. It is unacceptable to have different fonts in the same mail and signatures that change from client to client.
  • They frequently messed up our contact data.
  • Multi currency exists on invoices but not on other apps.
  • Fragmentation with their apps....some apps are still on version 3 some on 4 and some on version 5. This means you are forced to deal with 2 or more different user interfaces within the same app.
  • No consistency between the apps.
  • Often there is little or no integration between the apps inside Apptivo.

  • Our PMs still struggle to use Planview to run their day to day schedule. We have trained them on the approach of using Resource Reservations at the project level coupled with Authorization to detail tasks to enable more accurate resource utilization coupled with meaningful dates on activities.
  • The PMs often complain that they cannot easily see how they originally planned the work and that base-lining did not meet that need. However, with the newly rolled out ability to see Expired Effort and Approved effort, I think this deficiency may be greatly improved.
  • The Request tab has not yet been improved the way the Work tab has. You cannot bring multi-select attributes into the column set nor update a structure in a column set, but must open the detail screen for both these tasks.
  • Currently it is very cumbersome, when working with programs in the Strategy tab, to remember to load the project budgets each time. These appears to be addressed however when you upgrade to version 12.
  • The Strategy tab is difficult to use when managing budgets that cross years. We have on-going "Programs" that represent our infrastructure and small enhancement work that continue to show completed projects from previous years unless we take the time to un-associate them. In addition, currently a column set must be create for each year that needs to be viewed.
  • Planview does need to improve their quality control. I think the challenge comes with the versatility of the tool and the need to test many different use cases. But if you move to a new version within a couple months of its release you need to plan extra time for testing and resolving incidents.

We have been a Planview customer since 1999 and have seen it grow and mature as a tool. We have looked at other tools and have found that PV continues to meet our needs and is easy for our resources to use. They work to stay up on the project management industry and the direction it is going, keep on on current technology so that we can work more effectively, provide excellent customer support and have great pricing for what they offer. We can purchase only the modules we need versus buying a tool where we would only use a portion of the functionality.

Our uses kept running into bugs that stopped them from doing simple things like creating a contact or selecting an item from a custom drop list which is required to save the contact or item. This of course is after time was spent filling out all the previous data which gets lost when you cannot complete the form. This is just one example of many.

The previous version didn't have as many rich features available on the web (right clicks, sub-menus, etc.) that would have sped up productivity on many screens.

We are long time Planview users and its availability is only limited to our internal SLAs for nightly backups. I have never experienced any unexpected or prolonged software downtime from Planview itself.

If you are starting a business and want a free app or nearly free app that can grow with you....then apptivo could be for you. However if you grow faster than them then you will be quickly seeking alternatives

Always have a pre-implementation meeting or conference call with Planview to ensure all are on the same page, disclosure of all and any customization (including reports) and plan for support after implementation of a specified amount of time with the assigned implementation resource. And document everything

Alternatives Considered

Sellsy is the app that comes closest in terms of feature set. It is a lot more expensive but even with its flaws and terrible Google integration is still is a measurably better product in terms of taking care of your business. Unfortunately for Apptivo it tries to do everything with its 40+ apps but not one of those apps succeed in being great when compared to the competition. The competition in all cases are much more expensive than Apptivo but it is a case of you get what you pay for.

Solve360 is probably the best Google integrated crm product on the market today however it is not a business management platform. Work[etc] is another great platform with excellent Google integration but doesn't do stock management or multi-currency. Also way over-priced!

It's also been designated a Leader in the Gartner Magic Quadrant for Integrated IT Portfolio Analysis Applications over the last couple of years.

Return on Investment

  • It cost us money.
  • We lost a few hundred man hours on this. We stuck with them for a while based upon the promises received and the excellent speed at which support would reply to concerns. However fixes to the big issues still have not arrived a year later.

  • Important priority calls are now easier to make for portfolio managers and senior management as the data is more visible and the impact of alternatives is now clearer enabling efficiency and faster time to market.
