Apricot by Social Solutions

Apricot is well suited to help with output reporting. However, I don't believe it offers a narrative function. Apricot is well suited for capturing client intake, especially with is secure web form feature. However, it is not like GoogleForms where it can be used to either capture RSVP information or sign-in information for events or trainings.Apricot is well-suited for comparison reporting and discovering effort. However, I don't believe it has predictive features that can be leveraged.

Salesforce for Nonprofits

Salesforce for Nonprofits is well suited for nonprofits who want to have the ability to deeply customize how their data is entered and how it is used. Because it's Salesforce, you have a ton of native functionality to work off of, but also can connect with a vast network of developers who can help customize it. Salesforce for Nonprofits wouldn't be ideal for a small nonprofit that wants a turnkey database / fundraising solution, as it requires other applications to be installed and some customization.

Pros

  • The support staff does an incredible job when things get off track. Their ability to problem solve, backtrack and fix errors was exceptional when I needed assistance with a problem. One particular complex instance required going back several days into history, making changes and recreating subsequent changes was met with patience, thoughtful consideration and follow through.
  • Social Solutions provides users with many easily available forms of self help for both users and program administrators as well as formal training options.
  • I have found that Social Solutions listens to their clients. They provide forums where users can ask questions to their staff and share issues with other companies using their software. Many times answers are shared among users and problems are solved
  • The staff is well informed and knowledgeable about the system and have always worked well with me when I have an issue. They have also collaborated among themselves on more complex issues.

  • Stores contact information. It's a CRM tool so it's great at keeping track of your customers.
  • The reports functionality is pretty good. You can easily build reports yourself.
  • It also connects seamlessly to Pardot which manages our communications with our network.

Cons

  • While the ability to create reports is great, often times users have to know very specific information on building a report that may not be explicitly stated in the instructions. Sometimes one or two wrong steps in report or form building can greatly impact the accuracy of what you pull.
  • It would be great to have more help where Apricot staff are actually able to implement some of the changes you need made instead of just providing instruction on how to do them. Some things are pretty simple to change or create on our own, while others are more complex and require someone to be dedicated to knowing the ins and outs of the program.

  • Dashboards- although I've figured them out, only 1 or 2 people on the team actually know how to build and use them. I'm sure that I could use some more help on this.
  • Note taking- we are on a lot of calls with grantees. Logging a call or adding a note can be tedious. Currently, there are no functions to help organize, bullet-point or bold certain sections.
  • Tasks/Notes- they've been pretty much useless to the team. I can see the benefit of them, but they're really clunky to use.

I went to the Summit a few weeks ago to learn about the future expansion and vision of Social Solutions. I already been with Apricot for 5 years and researched other products I still come back to Apricot and where it can grow with us.

Take the time to learn apricot and all the functions before implementation. Know what the end results are before designing forms

Alternatives Considered

We looked at several out-of-the-box solutions as well as large vendors like Salesforce. We selected Apricot due to their focus on non-profit grant management and ability to customize forms and data points

Salesforce is not as robust as Blackbaud, but the price point makes up for it in the end. When my company transitioned to Blackbaud, we had to take over a year of implementation and still have issues to this day. Salesforce was easy and worked like a charm in the first few months.

Return on Investment

  • Data for grant writing resulting in more funding.
  • Outcome-based reporting has benefited the lives of clients.
  • Ease of data entry & reporting has saved labor cost.

  • Streamlining things in terms of communication. We use Chatter to communicate with folks in the field and because it's build-in we aren't paying for another program.
  • Our support services team uses it to field data requests and problems so this allows for real-time tracking on issues.
  • Making connections between folks in the database--individuals to companies (potential funders). Trying to make various entities relate to one another is advantageous for us in finding new relationships and prospective funders
