Planview LeanKit

Planview LeanKit excels in any scenario where you need to visualize and organize work to be done. You can feasible even use it as a personal to-do application. We use it as a way to keep track of our current topics in management meetings as well as a Scrumban implementation of project management. However, when processes and work is very file- and data-heavy, using Planview LeanKit is less appropriate as there's just not way of doing a sensible file management.

Pivotal Tracker

Pivotal Tracker is a great value for the money. If you're strapped for cash and have to work with smaller budgets, this is the right app for you. The support team is great and responsive and the product is easy to pick up and use for your team. It's great to have visibility on your product backlog.

Pros

Planview LeanKit

  • Okta Integration: We love using SSO for all our SaaS apps, and as new team members join, they can be automatically joined to the appropriate LeanKit boards.
  • Filtering and viewing: Can filter and refine by several fields as well as custom fields. Assigned Users, Tagged, Card Type, Date, etc
  • Their analytics and reporting can be helpful for PMs, especially if they have several teams they oversee.

Pivotal Tracker

  • Pivotal Tracker helps our team visualize our projects in the form of stories (virtual cards) moving through our workflow. This encourages us to break down projects into manageable chunks and have important conversations about deliverables and scope.
  • The forced-prioritization allows our team to have a shared understanding about what is most important and make collective decisions about what our team will work on next.
  • By dividing future iterations by our team's velocity, Pivotal Tracker accurately predicts when we will complete future work.

Cons

Planview LeanKit

  • The formatting of what they call "cards" could be better. They can be clunky if you have a lot of text in just one.
  • Needs better support for media, attachments.
  • Not the most pretty interface in my opinion, though it works.

Pivotal Tracker

  • Categorization of Stories. It would be nice to have the ability to create our own custom categories on top of the backlog, ice box and my work sections.
  • Time lines; although we can put in stars for level of difficulty; it would be more beneficial if we can add in due dates, benchmarks and time lines into the system. This would allow us to easily calculate projects and the resource allocation.
  • Reports; although we can export and review our history, it would be nice to have the ability to pull reports on progress, % of story completion, and success rate.

I love the simplicity, non-configurability, and price/performance of this tool. Hands down my favorite project management tool for agile.

LeanKit isn't the best designed Kanban system I've seen, but overall it's pretty usable. The boards I've used are pretty complex, so it can be difficult to find things. I found that searching and filtering for specific cards was somewhat of a challenge. Dragging a card from one lane to another is kind of a fun way to get things done though.

It works good enough. I didn't have many problems with that. The user interface is a bit confusing though. The team took some time to understand where some configurations were.

We've never had to request support in the 5 years I have been using it. A solid solution! Everything I have had questions about is on the website. New features are in their newsletter with more details on their website. Often I am using the new features within a few minutes of reading the article.

Alternatives Considered

Planview LeanKit

I think that LeanKit is very similar to Asana's Kanban feature and Trello, but is much less sleek looking than Asana. Asana's clean and sleek UI makes me enjoy project management much more than LeanKit. It might sound silly that the UI makes so much of a difference to me, but it really does. Trello is also sleeker than LeanKit, but I still prefer Asana because it has more customization options and a better interface. We are actually going to look into switching to ClickUp because we wanted something with a better UI. ClickUp seems to have a great UI with a lot of customization options.

Pivotal Tracker

Compared to other task management tools, Pivotal Tracker has the best blend of functionality and cost. When you need something simpler than JIRA, and not solely focused on code or UI related tasks like BugHerd, and have a more direct approach to completing tasks than Trello - I would recommend Pivotal Tracker.

  • Time is money with development and a lot of things can fall through the cracks. Having a good system for making sure you're building the most relevant product for customers is really important so it was well worth it for us.
  • The process we used worked for us and it helped us streamline our development which reduced a lot of things falling through the cracks and headaches. I'm sure there are other products that can do the same job just as effectively but Pivotal Tracker worked well for us.
