Diligent One Platform Boards.... wow a great way to work

Use Cases and Deployment Scope

I use Diligent One Platform for dealing with my Board duties, I get my Board pack through Diligent One Platform and am able to read and make notes in preparation for my Board meetings. Diligent One Platform also allows me to search backdated documents for reference. This helps make my work in the Board much easier without needing to spend a lot of time paging through documents and making notes on the side. The platform enables Management to provide the needed information, minutes, graphs, reports and other items required for preparing for meetings. The only setback is not being able to upload excel files

  • Allows versatility moving from Board to Sub Committees
  • Provides ability to get old board packs for reference
  • Allows management to provide information required by Board and shared to everyoine simultaneously

We previously used Diligent One Platform products for facilitating Board reporting and Board meetings, but we no longer use Diligent One Platform products because, in my opinion, the feature set is outdated, unintuitive, and frankly very poor. On top of that, in my experience, customer service is terrible.

Pros

  • Nothing really. I think SharePoint is significantly better from a feature set.
  • I think Customer service is terrible and very unreasonable.
  • I suggest that you Be very careful about the contract renewal process. If you don't cancel early enough, they'll force you to renew for another year.

Cons

  • I found that Diligent One Platform is incredible hard to use, and you have to use their training manual to figure out things that should be intuitive. I feel it is One of the worst software platforms I've ever used.
  • In my opinion, Customer service is frankly terrible. I'll never work with this organization again.
  • In my experience, They include an unethical contract renewal provision in their contract that forces renewals if you don't cancel 90 days before the end of your agreement.

Return on Investment

  • For us, Diligent One Platform was a total waste of time and money. It required more time to administer than it was worth, and, in my experience, their customer support was even worse.

Use Cases and Deployment Scope

We use Diligent through a customized Control Self Assessment solution. The aim with this is to empower employees to manage risks and evaluate the effectiveness of internal controls. Through a CSA tool we drive ownership of internal controls and at a company level these assessments help in achieving business objectives.

Pros

  • Unifies GRC activities into a single, easy to use platform, eliminating the need for various systems and various vendors
  • For the CSA tool we use it provides a dashboard that provides ease of use of the administrators to extract data for reporting purposes

Cons

  • While the storyboard and dashboard features are appreciated for providing overviews, the design requires improvement and can only handle smaller dataset effectively
  • More in app guidance will be appreciated. The learning curve can be steep for new users
  • While the platform provides customization, it is not as flexible and can limit the ability for us to tailor the platform precisely to our unique workflow

Return on Investment

  • We have used ACL analytics to automate control checks in relation to ethical controls across the business and had specific success in finance. For instance where previously we had to ask people to perform a check we can now through the link with ERPC automatically extract and analyse data to determine if controls are being performed, to indicate to us where there are concerns. This has helped the GRC department become significantly more efficient and effective.
  • We have used control self assessments through the Control Performance App and this has helped us to manage accountability and ownership of processes at risk, has helped us to raise awareness in that internal control is not just for the GRC department but rests with everyone's role and has helped us to manage riskl through quantifiable actions. In addition based on the feedback received we are able to determine where we should focus more and it helps us build our audit plan.
  • Another area that has helped us is the overall availability of reporting and dashboards which helps our internal 'speed to market' for lack of a better term. We are able to generate analysis and reporting faster, deliver visuals quicker and as a result we are able to provide faster and more effective feedback to the Exco team. This in turn means that risk based decision making is now operating at the speed of the business' operations.

Good Product that has huge upside and future

Currently, we are only utilizing ACL/Diligent One Platform for Audit purposes. We have begun extending functionality beyond with python. We use it to pull populations and selections for the auditors. We are rapidly evolving our usage and creating more and more complex scripts for both IT and Financial Audits. Currently, we have API's to 3 systems with intentions to expand within the next year.

Cons

  • Inclusion of Python within ACL
  • Speed and Error Trapping and Correction of Diligent One Platform (Highbond) Site. We experience large numbers of 404 errors and delays
  • Some actions require repeating actions and it can become cumbersome

Great for documenting/organizing overall risk and control environment. Time saver for audit planning in a small audit shop. Document upload feature for use during audits/projects is a time saver.
