8x8 Virtual Office

Any business that has workers in multiple locations or workers who are based out for the office for significant periods of time will really benefit from the 8x8 cloud-based system. Your direct line follows you around, but because of the Virtual Attendant, office hours and out of hours can be configured so that you only receive calls when you're "at work."

Freshcaller

If you have a very small group of representatives that are strictly using FreshDesk as their ticket management system that needs to have call integration, I can see this solution working - but from a cost perspective, there are better options, even if they lack the tight integration between FreshWorks products. I am struggling to find scenarios other than above that Freshcaller is well suited.

Pros

8x8 Virtual Office

  • Remote access to my phone system to make changes or to use its many features.
  • The ability to view voice mail transcripts - very helpful during meetings when listening is not an option.
  • The new contacts search feature allows you type in partial names and all that apply pop up.

Freshcaller

  • Phone system integrates with FreshDesk easily
  • VoIP service was fairly clear
  • Setup and configuration of call features was fairly easy to figure out, and documentation was available for areas that were not easy to understand

Cons

8x8 Virtual Office

  • The mobile app is good but can be too much at times, almost taking over the phone.
  • It would be nice if there was a way that when a voicemail is sent via email that it could mark it as listened to once the email has been opened.
  • The setup for the auto attendant is very intuitive, granted it works well once set up.
  • It would be nice if a call placed on hold could be picked up by another extension

Freshcaller

  • Cost - the system was felt to be way overpriced for the feature-set it provided. For the cost of 10 support agents, I could engage with a full-blown VoIP UCaaS provider to support 20-30 users.
  • The system was dependent on the Amazon Web Services system, which was prone to outages, and as it was outsourced by Freshworks to Amazon, resolution time did not have clear SLAs.
  • Non-US support - any issues encountered with the system would go through international channels which decreased resolution time depending on when the development team was available.
  • Call reliability was questionable - sometimes agents would have ringing devices that would have no one on the other end - other times calls would be dropped without explanation.

It's a really simple and affordable software solution if you're looking to upgrade your system or processes to a softphone. The service has been fantastic for both our outbound sales team and our inbound customer service team. As a manager, I'm really grateful I found FreshCaller early on in the process of evaluating companies to go to for a softphone.

Reliability and Availability

In the time I have used 8x8 Virtual Office, the core system has been up and running almost flawlessly though we do have a slight performance degradation from time to time as is expected of cloud software. The one recurring issue for us is that the fax connection is not always functional for outbound messages. We usually have to retry three or four times to get the fax to connect reliably to the destination machine. Once connected, it's smooth sailing.

None of the features that are available slow down the application. The reports (even the ones with hundreds of records) complete very quickly and the web interface as well as the mobile application never struggle to load or complete a task. The analytics will sometimes take some time to reflect the online status of users but it is to be expected due to connection speeds.

Support is chat and email-based - the support team is available during the workday, but anything that is outside of the knowledge base or common knowledge of the system is taken down and forwarded along to the development team, which doesn't hold the same hours. Responses regarding bugs and problems with the system can take hours and days for a response - which is not useful if you're experiencing a problem with your customer support team's primary communications channel.

Alternatives Considered

8x8 Virtual Office

In a previous business I consulted for they used a different VOIP service. It was such a pain in the ass. Always failed and always had connection problems. I think the problem was they were getting a free product from a start-up VOIP company. It was a cheap decision and not worth it.

Both Fuze and Jive were vastly cheaper than what Freshcaller provided. The feature set was also much more involved than Freshcaller. For the same cost I was paying for 10 users for Freshcaller, I've been able to provide a full UCaaS with Fuze for about 25-30 users. Fuze has also offered to provide integrations with our ticketing system that is still cheaper than what we would be continuing to pay Freshcaller if we were still a subscriber.

Scalability

We've had periods where our organization has grown a considerable amount and we have had no issues in scaling our communications with 8x8. The number of possible extensions that we can use is far more than we expect to go through in a very long time. The only complaint that I have is a very minor inconvenience for me where I have to download activation codes for each phone. I would prefer to have the phones automatically activated as soon as they are plugged in.

Return on Investment

8x8 Virtual Office

  • Saved monthly costs by removing POTS lines.
  • Saved on purchasing on-prem PBX systems.
  • Ability to purchase phones and not lease.

Freshcaller

  • Overpriced for what it offered - we paid nearly $600/month for 10 users. Could not drop them fast enough for this reason alone.
