JIRA

JIRA is a perfect fit for any organization where they have a large "in-flow" of projects, tasks, requests, etc. It helps to visualize who and where the majority of the projects are and how much time is being allotted or can be allotted to a particular task. It is particularly helpful in making sure that each team member is given an equal amount of work (if that is the goal) and seeing where each project stands.

  • The biggest impact from experience with JIRA is the transformation it took from when I first started using it, until now. It seemed like the good folks at JIRA really practiced what they preached and I reaped the benefits. When I first started using the agile boards, it was at a time when they had just come out with a new version if you will and were sunsetting the old version (I can't remember the names). Anyhow, the agile board worked enough for me to check the box that I had a backlog. It did the basics. As time went on however, I was thoroughly impressed at the features that they added. It was as if they had been sitting at my desk alongside me and noticing my frustrations and then fixing them.
  • Other favorite features, dashboards, saved searches, workflow, labels, advanced search query, linked issues, follow issue, history, batch updates, view in issue navigator. All these features seriously make life easier when working in JIRA. The administrative headaches of product management are out the window.
  • I also dig the administrative features like find my field. This makes it so easy for an administrator to identify the cause of a configuration error and fix/test quickly.

  • Two layers of depth. Currently there are only issues, and sub issues. This causes problems when importing project schedules. We have found a creative solution, but the functionality of having multiple layers of issues is missed.
  • Programmed in Java. One of JIRA's strengths is also its greatest weakness in my mind. The fact that it is written in Java means it is tricky to deploy in cloud based solutions. Java requires multiple threads and a large chunk of memory, making it expensive to deploy in the cloud. Personally I would love to see a compiled version of Atlassian projects that have been optimized for different architectures. This will greatly improve performance and decrease the impact on CPU and memory resources.
  • More effective scheduled backup system. Atlassian recommends creating your own backup solution for Jira and other projects. While this does encourage people to tailor their solution to their needs, it does burn smaller companies and Admins that are less familiar with the system.

JIRA is quickly becoming an integral part of our workflow. It will take some time to train non IT personnel how to work in a ticket-based system, but it will be worth it in the long run. As our company expands, so does our need for structure and organization. On top of this, the Atlassian team is incredibly helpful and very friendly in person. I have been able to get questions answered face to face and they even followed up to make sure the solution they recommended worked.

I used to get immediate support from the Jira helpdesk; also most of my issues are already explained in the user manual which is really helpful.

Take your time implementing Jira. Make sure you understand how you want to handle your projects and workflows. Investing more time in the implementation can pay off in a long run. It basically took us 5 days to define and implement correctly, but that meant smooth sailing later on.

Alternatives Considered

I've only used Salesforce before and am now using Conga ActionGrid. Although Salesforce is great, it is only used to log candidate information and then log actions that have been performed. With Conga ActionGrid, we are able to log more specific details about candidates, activities and follow up items. Conga ActionGrid provides more tools that would benefit many departments

JIRA blows Sharepoint out of the water. I've been a heavy user of both and the JIRA implementation we have now has reduced so many headaches within our organization. At one time, we had physical cards to track Sharepoint issues and were forced to stand around a board for 15 minutes, twice a week, fighting for urgency. JIRA has made it easier to enter tickets, prioritize them, watch them through the entire process and sign off upon completion

  • A lot of accountability.
  • Every developer can see their progress and how they did. No one needs to be told.
  • Excellent communication - don't email etc, just add a comment in JIRA.
