It is much better to prospect brands and find appropriate contacts at a parent account, and not such a strong suit for agencies.

This software is very well-suited to companies who find themselves expanding their footprint, the number of their Sales representatives, their territories, and/or their products and services and need to maximize their ability to both keep up with those demands whilst streamlining their proposal resources.Further, this is a very powerful tool with a lot of features and functionality including CRM plug-in and reporting. Thus, it may be less appropriate for a very small organization with only one product and that is also blessed with lengthy cradle-to-grave turnaround windows.In addition, to better the odds for success an investment in upfront personnel training and either a dedicated periodic window of time and/or dedicated person(s) for content upkeep are prudent.Finally, working with the vendor is a delight as they make every effort to maintain and deliver a product that both meets your needs and on which you can rely.

  • Provides email addresses - essential when doing cold email outreach.
  • Provides agencies for each brand/company.
  • Provides media spend for parent company and brand.

  • The search function ranks information based upon usage and is adaptive, learning/improving rankings with every search. This makes finding the right piece of information quick and easy.
  • The tool offers flexibility to build various types of sales documents (proposals, presentations, case studies). This drastically reduces the time it takes to put together a client-facing document.
  • The content management functionality allows for various content formats and related content can be connected. This simplifies tracking content updates by knowing which other pieces of information may also need review and update when a change is made outside the normal update cycle.

  • Qvidian could improve their reporting functionality. Currently, it requires special coding to pull data points into a spreadsheet format and there are no intrinsic analysis (dashboard) views for the user or management.
  • The question highlight then search functionality has not worked for me or my team in MS Excel. We have to actively type key words into the search function to find content. It works but slows the process a bit. Would love to see them remedy this issue as this is a very common format for our commercial opportunities especially with the increased use of online procurement portals.

I can't imagine doing the job that I do and creating proposals and updating information without the use of Qvdian. The amount of the time that is saved being able to store and update information in a location where everyone in our department is able to access it is such a benefit. It enables our department to create the best, most accurate proposals as well as focus on other tasks that need to be completed. Without the 'Q' we would spend three or four times the amount of time trying to locate or recreate information each time we were working on a proposal.

Qvidian system maintenance is performed on weekends, usually at odd hours, and advanced notice is given so that teams can plan accordingly.

Remote or VPN employees seem to have somewhat slower access time. Server maintenance has improved performance.

Having an installed version (versus SAAS) means it is harder to re-create errors. We have had to “copy” our data before to send to support which takes time.

They could be better at offering a timeframe for solution.

On a positive note they seem to have very little turnover in support, so familiar voices on the phone who are eager to jump into a screen-share.

Follow up from support cases asking for feedback is consistent

Live instructor training is expensive, though we have had instructors come to our offices for a ‘refresher’ before. The refresher was more of a “let us fix that for you” than a training on how to do it ourselves.

Started with a content structure prescribed by Dr. Sant (the N.O.S.E. Structure) which allowed for an easier implementation. The building out of content, which is an internal task, took the most time. We lack regular review cycles of content

Alternatives Considered

Winmo allows more dynamic and functional searches, and puts agency and brand contacts in one place. It also allows exports based on spend and in general, is much more dynamic of a software.
