People who are editing documents frequently, especially PDF documents, will really benefit from Adobe Acrobat DC. Also, people are creating simple graphics for distribution to their consumers will benefit from using Adobe Acrobat DC. People who are not frequently editing PDFs, or who do not need to edit PDFs at all will do fine with the free version of Adobe Acrobat Reader.

I think this software is great to organize documents for mid-sized companies. We primarily use this system to keep track of legal and regulatory documents that have dates we need to be aware of. It is easy to use, but does have some frustrating features. The workflows can be somewhat difficult to set up. In addition, I wish that the documents were automatically uploaded with pdf search capabilities. However, the ease of searching for documents and the emails that are sent to warn employees of dates they should be aware of, are extremely helpful in managing our company's contractual obligations

Pros

Adobe Acrobat DC

  • Adobe Acrobat DC is very easy to use to edit already created PDF documents. I work with multiple agreement documents in our organization, and with Adobe Acrobat DC, I can modify the individual agreement forms to personalize to each document.
  • Adobe Acrobat DC is a great tool to create documents, such as flyers or graphics, to distribute on digital marketing platforms. It is very easy to edit the document as you work on it and allows for great creative work.
  • Adobe Acrobat DC allows me to convert formats easily. I am able to move things that are PDFs to Word Documents or PDFs to JPEG images so I can post the created content on our digital marketing platforms.

  • It allows managers to simply drop documents into the inboxes for Legal to permanently archive.

  • Is set up in an organized manner that is appropriate for the documents that are contained in the archives.

  • We have an on-going subscription to Adobe Acrobat DC, which isn't inexpensive. Not the most cost-effective of the PDF software available.
  • Software updates fairly regularly, which can be a little annoying. On the flip side, many times it's to stay up-to-date on security features.
  • Conversion to Microsoft Word back and forth is easy and almost error-free; however, we do spot small issues often. Therefore, we have to carefully comb through all docs that have been converted to make certain that they're error-free.
  • Adobe has some proprietary features so someone else using another PDF editing software periodically seems to have trouble with certain features embedded in an Adobe-created PDF. Obviously this exactly what the supposedly standardized PDF format is supposed to prevent...

  • There was some difficulty initially setting up the workflows for the email notifications to work. This was frustrating to get worked out and involved multiple test attempts.
  • The system can be slow at loading long documents, which for a legal department is not ideal.
  • The documents do not automatically get uploaded with search pdf capability, a workflow must be set up in order to enble this feature.

We are definitely renewing our SmartSearch. This is the only place all of our companies contracts and regulatory filings are kept. Our company would lose track of all expiring contracts if we did not renew. We would also need to spend many hours figuring out a new organizational system for all of our files, as well as savings the documents from SmartSearch onto the computer.

With the PDF projected viewer, the document retrieval-to-display can drag for a second more than some systems, and the capture workflow if you overload a server array can also drag, but those are the only two issues we've ever seen with this product, and they are not serious issues at all.

It would have been higher, but the training is a bit muted for the lesser qualified office equipment vendors who signed up as partners to sell and support it. The more experienced ECM vendors and customer end-users will find the training very good, but a bit slow.

We actually had Nitro before Adobe. While it made claims to offer more features and be intuitive, most staffers felt the opposite. And some of the Nitro extra features were completely unnecessary and we never used them such as the ability to customize certain tabs or create large numbers of PDFs at one time. The Nitro floating toolbar was actually really difficult for us to use unless we were on a larger, external monitor. We found Adobe's compatibility with MS Word much better than Nitro's, fewer errors post-conversion. We use separate image editing software in conjunction with Adobe; Nitro seemed to try to offer more image editing options but they weren't robust enough anyway so we ended up using separate image editing software anyway. So, as I said before, Nitro was less expensive on the front end but ultimately wasn't cost effective once we started using it.

A similar product I have used was Time Matters. For a Law Firm, I think Time Matters is more useful as it keeps track of everything for a client, including billing. However, since I now work for a legal department of a corporation, SmartSearch is definitley more useful. It is not possible to seperate the documents we have internally in neat client files. We have various miscellaneous documents for many different services and customers or vendors. SmartSearch allows us to organize in broad categories that make sense to internal employees using it and to make sure security is set on specific documents. Time Matters would not have been sufficient for our managers to have access to, since it uploads all documents to the file - some of which are confidential.

The scale-ability is quite good actually, but you need competent sales/support folks providing it to you, so the scale is set right for the demands of your system use. Some resellers are not good at doing this, some are fantastic. If you are scaled correctly at first implementation, you'll be very happy with this system.
