I think it is well suited as long as the locations where an employee is allowed to clock in and out are tightly monitored by job title to prevent persons from clocking in/out while on their commute or when they are absent

Intuit Payroll

I believe the ideal scenario is when you are already using the Intuit family of products and the payroll bolts on to your existing QuickBooks infrastructure. Payroll software products have been around a long time, and this is a very competitive niche. Most of the companies do a good job of filing taxes promptly, reporting W-2 items properly, providing good reports, etc. Where you might really get some extra efficiency and benefit is the fact that the payroll is woven into the accounting system, creating one seamless enterprise solution. Also, where it might be less appropriate is in a really simple use case such as a one person company where there aren't complex fringe benefits to deal with. In that scenario, you can set up the ACH debits directly with the state agency and the IRS and possibly file your own 941, 940, W-2/W-3 and state equivalent forms. Of course, if you're willing to do this and are good with details, you can save yourself some money.

Pros

  • I am impressed with the layout of mobile solutions. It is very simple to read and use.
  • I am looking forward to giving our techs access to clock in and out as they complete jobs on their routes to give a more accurate view of time spent driving and time spent at a customer's location.
  • Giving employees mobile access to their own pay statements, W2's allows them to deal directly with loan-mortgage companies when applying for a loan or doing their taxes.

Cons

  • Since our company would like to use this tool for their techs, it would be nice if there was bar code reader (or something similar) so they tie their time card with our serv suite pest management technology.
  • I would like for the mobile app to give the individual the ability to send in address / phone number changes.

  • My biggest issue is that they do continue to raise their prices on a regular basis and it makes people feel stuck when there are so many clients already using the system.
  • They do not support roaming employees, so employees that cross over into various tax jurisdictions in one pay period pose a challenge for calculating taxes and pay.
  • The setup can be a bit daunting still if you are not familiar with the system or the various taxes and requirements for reporting.

Alternatives Considered

I have not used another mobile solution...But I am impressed with this one. At age 52 if I find it easy to use then it must be very intuitive.

This is a different product in my eyes. Most of the "outsourcers" really take over the entire payroll function, which divorces it from your accounting records --- and then later they try to stuff the results back into accounting through a GJE entry.If the circumstances are right (small company, few employees, low transaction volume), then QB is just what you need -- without being too much. If you've got WAY more complexity, then start looking around.WARNING -- if you are familiar with "The Baseball Player Problem" which is known as a ROAMING EMPLOYEE, you'll have to look elsewhere. I'm told by Intuit that there are NO intuit products that can do multi-state income tax withholding (and I'm an Intuit certified Pro Advisor, so I've spoken to everyone who should know). If you don't know what that issue is, then don't worry about it --- plow forward.

  • TIME -- good ROI on the time invested. Setup required some documents / signatures, but maintenance is absolutely zero and effort to process payroll is very very low.
  • MONEY -- since we do most of the heavy lifting internally, the costs to use IP are low.
  • COMPLIANCE -- they do all the tax calculations and submissions, so I never have to worry about a late fee or a calculation error.
