iCIMS

iCIMS is worth the investment for a large corporation. I wouldn't necessarily recommend it for smaller companies. It does well if you expect a high applicant flow for every role. It may not be worth the money if you only hire one or two people per year. Definitely consider the ROI when you consider this product.

Pros

  • AkkenCloud has great customer service. When we have a problem, they are quick to take the steps to solve it. Also, if an issue is beyond their control, they will inform us and make recommendations on how to solve the issue.
  • The home screen contains very useful information and can be customized to each individuals preferences. This allows quick access to tasks performed daily.
  • Overall, the tool is very user friendly. It requires minimal ramp up time in order to get comfortable with the tool.

  • Configurability; they give a great deal of control to the company. Having this flexibility means you can be more agile in your approach and don't have to pay a fee every time you want to make a small update.
  • Training Resources; iCIMS has a robust knowledge base on their help site and I rarely find an article or video that's out of date (how they manage to create new content and keep all the existing content up to date is beyond me!). Their training team is fantastic and they regularly host pieces of training for both Recruiter Users and User Admins at their offices which are free of charge to their clients - if you can secure a spot, that is- they tend to fill up quickly!
  • Searching/Reporting; I provide this 'pro' of the iCIMS platform somewhat cautiously for two reasons. First, I don't have much experience in this area outside of iCIMS. And secondly, I've gotten feedback from end users that it's confusing. But, I'm still listing this as a 'pro' because as I've become adept at building queries, I can see a ton of capability. A User Admin or Super User who is comfortable navigating the system and with a good awareness of their platform can build quite detailed and sophisticated searches that provide hugely valuable information. Recruiting Users, who have a more narrow scope in the system may need some training to get what they need. I do know that iCIMS is working on the interface to make searching more intuitive for recruiters - similar to other search forms they may use to look for passive candidates online.

Cons

  • I would like the ability to color coordinate my calendar. Currently the only option is blue (and red if I have not accepted the invite).
  • There are times when the system crashes for seemingly no reason. This can be frustrating.
  • It's not always easy to identify when there are multiple entries made into the system.

  • Conditional Logic; This is the biggest opportunity for improvement for iCIMS. Not having this functionality becomes an issue when we want to prevent users from doing something based on a set of other - sometimes unrelated - conditions. Conditional logic would allow us to set up a more prescriptive process which would reduce user error and help maintain compliance. They have JUST released some promising new functionality in this area and I hope to see similar types of improvements around conditional logic elsewhere in the platform soon.
  • Onboarding; Okay, we all know the purpose of an Applicant Tracking Systems is (at least historically) to track APPLICANTS. But if you've been involved in attempting to design a streamlined onboarding process, you know it's a beast all it's own. The capabilities of the Onboard module in iCIMS are . . . acceptable. It's functional, but it's not great. For the company with less complexity, I think the Onboard module would be a wholly sufficient. However, for more complex organizations, what's lacking becomes a bit more obvious (conditional logic would also be a huge win if applied to the onboarding module!)
  • As with almost everything in iCIMS, you do have the ability to configure the content of the onboarding portal(s) to your liking. However, the user-interface itself leaves a lot to be desired and isn't nearly as sleek as the rest of the platform. They've recently released an update with some improved functionality and it seems like they are beginning to dedicate more resources to this area, so that's exciting. We've had over 15k new hires funnel through our onboarding process in iCIMS this year so by no means is this a deal breaker but I do hope for some functional and aesthetic improvements in the coming year.

There is no reason for us to make a switch. Everybody in the office is familiar with it and it allows us to get our work done faster. There are no pressing issues that would warrant a change at this point

I would say that we are very likely to renew with iCIMS. They seem to continuously be improving their product based on the feedback from their clients. In addition, the thought have having to go through another implementation of this level is daunting and as long as the software continues to meet the business needs of the company and provides the appropriate level of support we will most likely stay. Costs regarding future renewals will also impact this decision and if necessary we will go to market to evaluate other options.

I don't use every function so I don't know what I don't know. Perhaps, the fact that I don't use every function is a veiled way of saying that it seems a bit overwhelming to master.

We never experience outages that impact our usage. I also can't remember any recent time where there has been an error within the system that has prevented us from using the application as needed on a regular basis. If there are ever any issues, iCIMS has a customer service department that is very easy to reach.

It's an average tool. The calendar function isn't great, email is slow, and there always seem to be day-to-day issues. The functionality is mostly there for a staffing firm, but there are plenty of areas of improvement still needed

Alternatives Considered

We preferred the ability to go with Mac computers. That was the number one selling point for us. Besides that we liked the ease of the product. The email interface looked exactly like Outlook. The calendar the same. The price was also a big selling point. It came in slightly cheaper than Bullhorn and other systems and in our opinion a better product.

iCIMs is better in terms of reporting and tracking data. They also have great built-in reports that you can use to track progress. However, Greenhouse excels in every other way: better user experience, integrates with calendar invites for interviews, tracks feedback for every interview that goes down. There are also interview templates you can bake into the role. I also love that you can add prospects to a job for people you meet that are great but aren't the right fit at the moment. Greenhouse has fantastic tools you can integrate with e.g. coderpad where engineers can tech out other engineers in interviews.

Return on Investment

  • Better applicant tracking. Works extremely well to keep our candidates organized and easily submit and track our candidates through the interviewing process.
  • Employees and on point quicker. They have a task bar to accomplish every day.
  • The increase in resumes coming from our website has been unbelievable since we added the ability to publish our job orders from Akken to our site.

  • Because we did not have an existing ATS, iCIMs had a wonderful and positive impact on our business objectives. We had a sense of where the organization stood from a recruitment standpoint. It gave us a view of the high performers, low performers. It outlined positive incomes that were achieved in terms of hiring/headcount. It also gave hiring managers a view of their pipeline and process.
  • The only negative would be that the system was cumbersome to recruiters who didn't want to spend a lot of time managing their roles. It did create work in that you had to do a lot of clicking to get a single task accomplished. You couldn't have several windows open to do different things. In that way, it was tedious work so the data was not always accurate.
  • iCIMs did a great job of tracking our referral program. Everything before was done manually before so we did a better job of paying people out on a timely, consistent basis. This led to more employees making referrals.
