Product Details

What is Xero?

Xero is an online accounting software platform for small businesses and their advisors, as well as for personal finance. Xero competes most often with QuickBooks Online. Its features, beyond the ubiquitous general ledger and double-entry bookkeeping support, include invoicing with quotes, bank reconciliation, purchase order and expense management, tax management, and it is mobile-accessible. Xero integrates with over 800 third-party applications, covering everything from inventory and logistics to cash flow, project management, customer relationship management, and e-commerce.

The product is sold by subscription (a distribution model commonly known as software as a service or SaaS) requiring the payment of a monthly fee. This charge is proportionate to the number (and type) of company entities managed by the subscriber. The lowest tiered pricing option is the $9 per month Starter pack, which supports unlimited users but a limited number of transactions. The $30 Standard pack breaks open usage limits and adds e-filing and payroll options. The $70 Premium package doubles the number of supported employees on payroll from 5 to 10, and supports multiple currencies.

Xero is used as main accounting system across [the] whole organization ; it is cloud based - can be access from any browser and any device; helps in remote log in. user friendly , bank feed and consequently bank reconciliation feature helps a lot.

We use Xero for normal accounting processes and procedures, as well as communicating with donors who receive their receipts as customized invoices. I still have to customize the statements. We still have to decide how of if we will use the inventory module.

Generally Xero is an excellent program. The inventory module, which I use for another company, in my opinion is not that good. The pay run module for salaries should also include staff leave tracking, i.e. leave due, leave taken and leave balance, categories of different leave.

Currently, we use Xero across the whole organization. At the department level, it's used to generate budget variance reports for various department heads to track and monitor the annual budget and actual spend to date. Organization-wide, it's our primary accounting system. We use it to create IS, BS, CF, etc., and to generate GL, JE, etc. for our auditors and tax preparers. The application is also synced with our bank accounts so we get real-time account balances. It's also integrated with other systems we use, including Expensify (used for employee reimbursement and corporate card purchases).
  • Easy to set up/use. It took me only 15-minutes for the initial setup.
  • Provide necessary integration with other applications we use. We integrate Xero with Expensify and JustWorks.
  • Cost-effective and therefore much cheaper than other plans out there.
  • Real-time link with our bank, which provides real-time account balances of what's in our bank account.
  • Standard reports already built-in.
  • Customized reports - allow more customization of reports to meet the specific needs of users.
  • Allow multiple journal entries at one time.
  • Create more free integrations with other software applications, like SAP Concur.
Xero is well suited for small companies/organizations that don't have very large transaction volumes and whose accounting is fairly simple and straightforward. It's also suited for entities that only require some basic/intermediate reporting needs. Xero is less appropriate for companies/organizations that require more advanced reports, have large transaction volumes, or if there are many accounting/finance professionals who will be using the platform at any given time.

Xero is used for all of the accounting needs across the organization. Xero allows us to keep track of all of our accounts, transactions, and invoices in one place, and we rely on Xero for budgeting and reporting purposes. Xero also connects seamlessly with our payroll service provider.
  • The user interface is very easy on the eyes and intuitive, even for people with little accounting background/experience.
  • Xero produces beautiful and easily customizable reports.
  • Having Xero connect seamlessly with our payroll service provider makes accounting so much easier for us.
  • Xero is not designed for nonprofits, but it still meets all of our needs.
As a nonprofit, we often need to create different reports for foundations, donors, grant applications, and Board members. The reports are easy to generate and easy to customize.

We use it primarily for inventory management for goods and services for our clients. It helps us to keep tabs on what we're using and what rates. We are also able to use it to draft invoices to bill to the government and 3rd parties for work we do on their behalf or at their behest. It makes a lot of our billing easier to process and account for.
  • Inventory Management - It's really easy to add goods/services and catalog them.
  • Invoicing - It provides detailed and customizable invoices for partner's organizations.
  • UI - It's a pretty easy to use software and very intuitive.
  • Auto-population - while this feature is useable there are always moments where something doesn't auto-populate the way I would expect it to.
  • Administrator controls - It would be nice to allow different users different levels of access.
  • Integration capacity - It would be really nice to integrate with the other inventory software we use.
  • Barcode scanning - we could use the ability to use a bar code scanner to speed up the inventory process.
Xero is great for inventory management and invoicing. It's pretty easy to use and lets you provide a lot of metadata for your items to its easier to search and catalog your inventory. Additionally, that translates to a well-produced invoicing system. Invoices are clean, easy to create, and easy to read. Combining inventory management with a good invoicing tool is a home run.

We are using Xero to manage our A/P and produce financial statements. We also record revenue and A/R transactions, but have a specific piece of software (Hy-Tek) to manage members' accounts for our swim club. As the product is able to pull a feed from our bank, we also use it to track our banking information and cut cheques.
  • Excellent support - whenever I have a question, the answer is fast and understandable.
  • Extremely easy to figure out - anyone with a bit of sense can figure out how to successfully get from point A to point B.
  • Tracking cash is simple - together with the bank feed, keeping the bank reconciled and up to date is extremely straightforward.
  • Reporting is okay, but the customization options are a bit clunky. I believe they are trying to address this.
  • The cost at $22.50 US (discounted NFP rate) is a bit on the high side for a small organization like ours. Does it make more sense to drop a few hundred bucks on an accounting package like Quickbooks or pay $270 US for Xero? I'm not totally sure.
  • The connection between payroll and cheque-writing isn't terribly straightforward and I don't understand why.
Xero is an excellent choice for a small business. I'm not sure how well it would handle more complex, larger organizations - but admittedly I haven't done the research to determine either way how well it would adapt. Sign up for the free trial and tinker with it, that should give you sufficient information to determine if it's right for you.

Xero is used to manage all the financial transactions and reporting for a non-profit in Hong Kong. Multi-user, cloud-based access allows all stakeholders to understand the financial situation at any point in time without requesting reports or data from the limited resources. Most actions are intuitive and users require very little training to be able to effectively use Xero.

I am now also using Xero for my own startup. It is a great tool to allow the co-founders to enter their own expenses, and for me to have up to the minute cashflow information - especially because my bank finally allows Xero to automatically upload transactions - bank reconciliations are continuous and so easy.
  • Billing and collections
  • The automatic bank upload makes bank account management simple. Xero has an almost realtime picture of the bank statement, which makes reconciliations a thing of the past, and makes it a great tool to support tactical decision making.
  • Budgeting and forecasting - especially if you are using tracking categories - uploading budgets is very time-consuming, budget versus actual requires a download to Excel and lots of manipulation.
  • Additional user types - allow "Tracking category" managers to access budget versus actual reports for their category.
  • Customise Receipts - create a different document type that can contain customisable content; receipt can be addressed to someone other than the original customer.
I have used Xero in several different organisations - a small business, a charity and a startup. I have recommended it to anyone who is looking for a simple but professional accounting and billing system. I am inspired by them as a company and the vision they have for their product and their knowledge of the customers' needs.
