Overall Satisfaction with Jobvite

We use Jobvite as our Applicant Tracking System. We use it throughout the organization to manage hiring for all levels of positions, from part-time staff to VP level positions. When we started using Jobvite, I was new to the organization and there was no ATS in place (resumes were sent via email). We began using the system to address the need to better track and manage our hiring process. We train all hiring managers on utilization, and the HR function manages the platform.
  • Social recruiting is one of Jobvite's strengths. We are able to manually or automatically broadcast jobs on social media, like Twitter, Facebook, and Linkedin. Our employees are also able to do the same, and we love the ability to engage with applicants in a variety of mediums.
  • The communication tools in Jobvite are fantastic. They use coding to allow responses from candidates to be automatically captured in the file, so we retain all email communication in one place for reference. We have the ability to send emails to the candidate directly (including customizable templates), and also to make notes in the file that can automatically be emailed to various constituents.
  • I love the tabbed format that allows us to see relevant information for candidates without being overwhelmed by data. The printing and viewing functions are great, and allow us to effectively see the candidate's original documents as well as text versions.
  • There is a tab to allows you to see the history of all views and actions taken by people who have access to the file, so it's easy to identify and actor if a mistake is made, or to check the original intention of the person who made the change in the file. This allows us to give more ownership to Hiring Managers, as we can check their work.
  • Jobvite can be a bit glitchy in different web browsers. We have a more detailed online application that we require applicants to complete before an in-person interview, and 10-20% of our applicants have challenges with completing it and need help. There are challenges with firefox and safari, so we usually recommend people use IE or Chrome. There is a registration process candidates need to complete by clicking and email and setting up a password after submitting their resume in order to access the site in the future, and many people miss completing this, which causes frustration in the future.
  • The system has challenges with multiple browser tabs being open at once, and occasionally gives error messages when something is submitted due to conflicts.
  • We have improved our compliance in terms of tracking candidate applications dramatically, as all of our history is stored in one place. This also allows us to reduce time spent on candidates who apply for multiple jobs, as we are able to review notes from previous interviews and use the context to help determine next steps.
  • We have significantly improved our time to hire, as we are able to track candidate communication and communicate easily with managers regarding next steps. It is easy to see which candidates have not been edited recently, so we can look into the reasons for this and drive efficiency.
  • Jobvite offers free broadcasting to online job boards like Indeed.com and SimplyHired.com. This brings in hundreds of applicants per month sometimes for our open jobs, and requires no effort on our part.
I used iCIMS in the past, and considered them when I selected Jobvite for this organization. I found at the time that the customizability and social recruiting tools were just better with Jobvite, and ended up feeling that they were the better solution for our needs.
The system is great if you want to do social recruiting, and have multiple people involved in your hiring process (we have about 20 potential hiring managers who use the system regularly, and it works really well in that type of complex environment). If it were just HR using the system, there might be simpler and less expensive solutions to consider. The key other selling points for me were the ability to customize almost everything to meet our needs, set up templates, automate emails and calendaring, and ask custom questions after a resume is submitted related to the job.

Using Jobvite

22 - We have two people in HR who use the product extensively, plus about 20 hiring managers who use it on an intermittent basis when they have open requisitions. The hiring managers run from our Executive Director and VPs to line staff hiring part-time employees in their functions. The system is user-friendly and easy to train all constituents on.
2 - I am the HR Director, and I am the primary person trained to manage Jobvite. My HR assistant uses the system most extensively, as she uses it to manage candidate communication, scheduling interviews, and generating offer letters. I attended a training on Jobvite when we first did our implementation that was very helpful, and I enjoy being able to manage creating custom templates and modifying our workflows myself. I rarely contact support, as I'm able to do most things myself.
  • Hiring process management--we manage full cycle hiring, from application review to generating offer letters (from a custom template) for candidates.
  • Sourcing candidates--we have a hosted careers page embedded seamlessly on our company website that shows real-time jobs open. The job broadcasting, social media links, and easy online application allow us to effectively source candidates and track metrics. I especially like that we can create custom job urls to track candidate source.
We like the systems, they constantly make updates that improve functionality, and we are able to really take advantage of our database of prior applicants. We have no interest in changing systems and having to invest the time to re-train our managers and have HR learn to manage a new system.

We felt that the email chain storage functionality would allow us to have better storage of details related to the candidate's interview process. We liked the ease of tracking all steps a candidate has gone through, as our managers are very slow to write notes or make changes on their own. I also like that I can see anyone who makes edits to a candidate's status, in order to track why someone might be in an unexpected status.
We might try to talk with more people who use the system to get tips about implementation. We would have like to learn more about potential hiccups and try to anticipate, vs. having to solve for them after the fact. We might have designed our follow-up application form differently, as we now have lots of challenges with technical glitches cropping up when someone tries to go back in and fill out the form, due to browser issues, them not completing the setup of their account, or other browser issues.

Jobvite Support

I like that I can choose between live phone support and online case submission. In both cases, I get quick solutions to problems and support people who are trained to address my concerns.

Yes - When I was in implementation, we came across several bugs. It was two years ago, so I don't really remember the exact situation, but the issues were resolved in a timely way, and the support was great.
