Overall Satisfaction with Webexpenses

Webexpenses is the primary system used for all expenses within the company, including managing corporate cards; personal spend and business mileage. It has streamlined the expenses process which prior to implementation was paper based and very manual. The process is very simple to use and all users quickly adapt to using the system. It as also enable us to put controls in place for authorising expenses, which under the old manual system was missing from our expenses process.

  • No further requirement to maintain paper records including receipts as all maintained digitally.
  • Electronic approval by managers gives good control of expenses.
  • Reporting could be better - especially when reporting at transaction date.
  • Better integration with Accounting System. We use Navision multiple dimensions and Webexpenses is quite basic, so we still require to manipulate reports before loading information into Accounting System.
  • Speeded up process for month end expenses.
  • Gave greater control over spend.
  • Removed tedious paperwork and checking by accounts department.
Webexpenses is very easy to use and users have adapted to submitting claims monthly with no major issues. Support is good including the training videos and reading material/instruction guides. It is very quick to add new users and link to credit cards. The approval process is very good and gives us greater visibility of expenses which has resulted in reducing spend in the company.
The support is very good, whether by email or live support. Very prompt and quick responses to any issues we have had before, which have been more user specific rather than system generated issues. It has a good library of training videos and instruction manuals which make it very easy for users to learn.
We have a number of staff based throughout the UK and Ireland, and prior to implementing Webexpenses, manual paper returns were completed, receipts attached and posted to Head Office, which resulted in some claims frequently getting lost in post. With Webexpenses, all records are now digital, and with the approval process now get checked and approved by Managers before reaching the Accounts Office, this gives greater control over spend and has seen a reduction in spend in certain cost areas.
Key requirements were easy to use system which low maintenance and good authorisation processes. Reporting and integration with accounting systems are important, and this is where Webexpenses maybe more basic compared to other expenses management systems.
Webexpenses looked better and more easy to use.
Microsoft Dynamics 365 Business Central (formerly Dynamics NAV)
Webexpenses was best suited to our company as we never used an electronic system before for managing expenses, and we didn't want to overcomplicate the process, especially with some of our employees who are not fully confident on computers. However, employees transitioned very well from manual expenses forms to Webexpenses because it is easy to use compared to other electronic systems.
We would prefer greater functionality with reporting and integrations with our accounting system.
