As mentioned previously, I currently developing an Airtable base to track student data and other teaching resource inventory. The children create year group databases. All of which work very well. I haven't encountered any issues or unsuitability thus far.

Mavenlink

I love Mavenlink and personally did a lot of research on similar tools to find the one that fit our organization's needs. This tool is really comprehensive and can be scaled up and down depending on your organization's needs. I can easily see this working for both a small or large organization and we have even considered recommending this to clients! Also, they have a really great R&D team and roll out new features and updates regularly

  • very intuitive and simple to use
  • bug-free
  • we are able to formulate it for our needs instead of fitting into someone else's idea of what we need
  • usable across multiple platforms and devices--desktops, laptops, iphones.
  • editing in real time, and several viewers viewing screens from remote locations

  • Track time- We use the timecard feature to match the hours and minutes of our day to a specific client or project.
  • Track projects- As an agency, we have a lot of projects going on most of the time. Maven helps us keep a pulse on the projects as they happen. Even if one person is not on a project, he or she has insight and visibility into it.

Cons

  • entering a single record seems to have to be done across several screens. Perhaps just the way we did it, but would be easier if it were all done on one screen
  • can't figure out how to "hide" a record once one of the people we are visiting dies. We don't want to delete the record, just hide it from the primary view.
  • eventually, it would be great to be able to integrate into Gmail--eg to hit the email address and have that transfer to an email...but perhaps not possible without permission from google...

  • Timesheets - cannot push previous week's projects/tasks to current for easier entry. You have to manually select the projects/tasks each week, every other time tracking software has a push previous week feature
  • Bulk editing - cannot bulk assign users to tasks. Makes it extremely tedious to do each project
  • Rate Card Issues - you cannot choose which roles are active/inactive on rate cards. Causes several duplicates/zeros for unused roles on rate cards.
  • Timesheets - there's no accountability for having people track their time. No option to lock accounts or notifications that they're behind on time tracking
  • Too robust in areas - there are several areas in Mavenlink that I would likely want to take advantage of but just don't know how to operate. Did not get adequate training on newer features. Maybe webinars?
  • Tasks - no hours tasks vs. expense tasks. Hard to prevent user error from tracking hours to expense tasks which causes the budget to burn.

Although the company I currently work for does not use the product I have recommended that we do switch to Mavenlink. We will be opening some new sites internationally this year and I can see that Mavenlink would be a great product for us to use

Mavenlink gives advance notice for system upgrades, and they're not during our business day. Mavenlink has always been available when we needed it.

There were less than a handful of times where we saw any issues with Mavenlink performance. Pages load quickly. Sometimes a search seems to take more than few seconds, but it's never been a huge deal.

Alternatives Considered

We do use Social Studio and Sharepoint for other tasks, but for project planning across a wide variety of deliverables, there wasn't enough flexibility all the time. Asana was harder to use and get into and didn't provide an easy way to adjust views/sorts.

Mavenlink is much more robust than other project management platforms that we have used in the past. The ability to match each task to a preset time, budget and invoice objective is better than their competitors. It is also worth noting that Mavenlink has the built-in time tracker for employees to use, a nice and convenient feature

It's very easy to add users and contractors into Mavenlink. There's also an option that let's you manage access for teams in multiple locations.

Return on Investment

  • Airtable has definitely had a positive impact on our organization. It's helped up organize and manage our client information, keeping it current, accurate, and accessible to everyone on our team, no matter where they are. We are able to be more efficient and client-responsive because of this.
  • It's automated some of the tasks we were performing manually - capturing data that our systems like MailChimp and SurveyMonkey house - and importing it directly into our database through the use of Zapier, thus saving us time and potential data input error.
  • My only "negative impact" comment I'll put out there is that it is just really fun to use - and because of that I've personally "lost" a lot of time spent exploring and being inspired by so many new ways to house other business data!
  • All-in-all, it is keeping us in front of our data, freeing up time and resources, and giving us a better view into running our nonprofit more efficiently and effectively.
