Asana

Asana is great for organization across a team or across a project since its UI is much better and easier to use than more complicated project planning interfaces and project management software. It’s less well suited to manage projects across an organization since it doesn’t handle budgets or integrate with things like Microsoft project as well so it’s strength are more towards project vs portfolio management.

Lucidchart

[Lucidchart is well suited] for brainstorming or documenting algorithms and application architectures, Lucidchart is the perfect solution. I can easily collaborate on the same document with multiple teammates, and share with my whole organization with a single link. However, I would not use Lucidchart when getting more into the fine details of a program, such as writing pseudocode or writing pages of documentation.

Pros

Asana

  • Task Management - Being able to assign resources and time lines to specific activities
  • Project Management - Being able to plan, execute and track project process using this tool
  • Customizability - Being able to customize a solution that meets your needs or activity.

Lucidchart

  • Clear and easy to understand - can easily zoom in or click certain sections for adding information
  • Great for collaboration - you can see the other user's mouse if they are working on the same sheet
  • Personalized - you can easily add additional sections/notes within the flowcharts

Cons

Asana

  • I think there could be improved clarity around the different levels of Asana. For example, the resources available to paid accounts are not visible from the more basic accounts, so you're not aware that there are expanded options until you look in their knowledge base and see that they have additional features.
  • Exporting projects - you can export a project into a csv, but it isn't pretty. This can be challenging if you'd like to have an archived project folder for open records requests.

Lucidchart

  • Hard to put in a legend - at least I haven't found an easy way and it can get frustrating. This is especially frustrating when I pass lots of time in doing a nice map with different colours representing different things and then I have to improvise something for the Legend.
  • Free version is very limited - it really just gives you a teaser of what the platform can offer.
  • Hard to add in lines that don't connect automatically to the shapes already on the map. Sometimes I would like to add in plain lines on my process maps and not have them connect to the shapes I already have on the map.

Usability

It is very user-friendly. Takes a new employee an hour to start figuring out how the system works. That's an important factor. You don't want to encounter the issue where employees need a week to understand how the system works. For example, JIRA, I tried using it for a week and I still don't understand the complicated layout. Asana has a simple interface. Once you see it, you get it type of program.

I've used Microsoft Visio for years. While I'm extremely comfortable using it, that's not always the case with my team members and those I coach. What I love about Lucidchart is I can take a new user and we can collectively use it in real-time, in which I'm able to teach some of the functionality to the learner while building out process maps.

I haven't had to use their support so I can't rate it. The fact that I haven't needed them reflects the ease of use of the product. I would recommend that any new users schedule a complete demo of the product to ensure that they are using it to it's fullest (there's a lot of useful features).

Have not had many issues thus far that required escalation which is a good sign. I believe there are also forums and FAQs available if we have specific questions and need to look them up. Generally as [Lucidchart] is more for visuals and less for dynamic logic or animations it is pretty straightforward to use.

Alternatives Considered

Asana

I like Nifty as this has time sheets, however we preferred the clean interface of Asana. Nifty was a bit overwhelming when we tried it. Their app on Android wasn't anywhere near as mature as Asana's app.Plutio is great and has many features, but we preferred the look of Asana.

I've tried many heavy applications that are great at a lot of things. I needed something specific to build out charts that were easy to dive in and out of. Lucidchart delivered on this need exceptionally well.

Lucidchart

  • We quickly developed 7 journey maps. This would have taken much more time in PowerPoint!
  • I am a new user to Lucidchart but am already working my way around very easily.
  • We can quickly see the holes in our thinking by process-mapping using Lucidchart.
