eTouches seems to be well positioned to serve those needing event registration for small groups up to large conventions. Events with multiple sessions are very well organized and allows the planners to monitor registration and attendance with ease. One issue we have run into is the ability to give a discount to a specific registrant who signs up a group of individuals. We continue to work for a solution to this.

Cvent Event Management

In my field, Cvent in very important to track and keep up with attendees. We have to do a lot of reporting, so Cvent tracks all of this and allows for a much smoother process. It also allows for everything to be stored in one spot. There is no digging through emails to see who you sent invitations to because that is all in Cvent and you can see all emails that were sent from Cvent to each attendee.

  • Request for Proposals - our third-party sourcing agent gathers the information that we provide in a Meeting Request Form so they know exactly what we need in a property. We are able to see the top properties based on our criteria in real-time through their portal. No more sending Excel sheets back and forth!
  • The invitation process is streamlined, and in conjunction with dynamic reporting, offers key stakeholders the information they need. The automation of reporting and metrics is more accurate than doing it manually and is also much faster.
  • Integration - we currently use the CrowdCompass mobile app which offers seamless integration with Cvent.
  • Budget - all key stakeholders are able to view our budget categories for each event and at the end of the event, have access to the actual expenses.

  • The transition to the new platform has taken some time to get everything functional, but they are working on it and update us regularly.
  • Reporting has vastly improved!
  • eSeating uses Flash which doesn't work on iPads... this can be a problem.

  • The badge designer is a little clunky and difficult to use.
  • I’d love to see their add-on modules priced differently (flat fees vs. per registration)
  • They’re membership module is only for individual memberships, we have organization based memberships, so we’re not able to use it.

There are a lot of different ways to do one task within Cvent which can be confusing. Additionally, there are a few things that you can only do at set up of an event and if you forget to do them your event registration will not run as well.

I had a few issues while onsite (over the weekend). The support information given to me was incorrect and I had a hard time tracking down how to get assistance while onsite (on a weekend). When you are onsite, issues are usually heightened and need an immediate response, and I didn't get that.

I've had nothing but positive interactions with the Cvent support team. In particular I've found they can be "over-helpful" and I have to ask them to walk me through vs doing so I can learn. They are always happy to do so. They are also very proactive on responding, following up and emailing instructions on things they assist with so we have the knowledge for the future.

Ffrankly we did not evaluate any other software before getting e-touches and I was not involved in that process, it was before my time. But there are alternatives available. They have improved their interface lately and that is a big positive change. But I recommend evaluating multiple options and selecting what best fits your needs.

Below is a listing of other event management products that I reviewed. There are a LOT of them. What I found was that each had a niche audience or market that they were focused on. While this is helpful and each works very well for that market, Cvent offers a flexibility in event creation, look, and general offerings to be a suitable management tool for a MUCH wider variety of events. All of the products below were also more expensive once all the bells and whistles were added in to the proposals. And while Cvent often seems like the big green monster eating up all the competition, the fact that I can log in to one location and do every part of the event as I need when I need and not remember a host of separate event tool names and log ins is a HUGE help.Products reviewed: -Swoogo-Bizzabo-Eventbrite-Hubilo-EventsAir-Whova-EventBase (just for event apps)

  • I am able to provide comprehensive reporting on open rates and CTR, which at the end of the day, helps us as an organization monitor and follow up with the customers we have invited to make sure they plan to attend. This could attribute to higher ROI numbers.
  • The financial reporting has helped us be more accurate with our full financial roll up to corporate in terms of budgeting. Because of that, we can easily track expenses and calculate total return on investment at the end of the year. We had a conversion rate at our events of 63% this year! Amazing!
  • The integrations with Marketo & SFDC have been crucial for us in triggering automated alerts to our sales org, ultimately allowing them to easily follow up with customers to close the loop on the event attendees' experience, thus furthering the sale and gaining revenue.
