Concur Travel and Expense

I think Concur Travel and Expense works well for what it does. It's a pain to manage expenses, especially in a timely manner, and Concur does a really good job making that easier. I like being able to use the iPhone app as well. That's the best way to scan receipts. I like that it integrates with my purchasing card really easily. Booking travel can be kind of a pain on Concur, because I would rather just go to the airline's app or website, but it's required by my company, and it works pretty well. This might be a problem related to our travel agent as well.

Esker On Demand is great for Sales Order Processing order creation. We use it with web services. It can make table read calls, test order creations (simulate order), and help with order creation. They are also working on change order management, but if you have multiple order entry methods or touch points, this feature may not be usable for your company.

Pros

Concur Travel and Expense

  • Travel Library is awesome showing what is upcoming. I really like how it shows the date the travel was booked along with when the actual date of the itinerary item is. Also, it tells you if an expense has been submitted for reimbursement.
  • The expense list is neat in that it is attached to the corporate card and automatically creates the report submission for you, with the required details already completed to save time.

  • Camera Quality - the camera is a bit poor, it struggles to generate a clear receipt when there is a lot of text. It's not a great system when compared to the inbuilt camera app. I suggest improving this, or that users take photos using their inbuilt camera app and then upload to Concur.
  • Analysis Bug - When uploading receipts, they are often caught in an "analyzing receipt" loop that requires you to restart the app. No a HUGE deal, but if you have users that aren't overly tech-savvy you'll have issues.

  • Would have been harder and more expensive to implement had we not had experienced ABAPers and users of the old version on our end.
  • It can’t use web services to place multiple orders with one call. It's not a need of ours but might be a drawback for some.
  • There is no out of the box way to automate user management with an external system.

Now that we are fully on Concur, switching is not an option. Concur has become ingrained in our expense reporting process. Furthermore, Concur continues to improve its offering. Each month, they release updates and changes, many of which were client requested. Concur's constant evolution means it is adapting with my business

It is easy to use, the expense types are expansive and easily searchable, and the totals are immediately calculated. I also like the feature that allows you to track an expense that is not re-imburseable for the employee, but still needs to be accounted for. Recent updates in itemizing the hotel stays have been helpful as well.

Esker does everything that it promises to do, but it is very hard to figure out. I am a very tech-savvy person, but I needed extensive training to be able to use the basic functions of Esker. Once you know what you're doing, it's not too hard, but I don't understand why they couldn't make it easier to use.

In prior years I would have given them a 9.5 for availability. Unfortunately in 2015 so far this rating has dropped to a 7 overall.
We have experienced far too many interruptions - from admins to employees who rely on it for day to day booking of travel and submission of expense reports. Server errors, slow system response time and spinning wheels are too common place. Those things should be a rare occurrence, not a daily interruption.

While Conur still has great product offerings overall, they are currently not offering world class or best in class product (and customer service) availability. Remaining hopeful they step up and get their A game going again soon.

I have never had to use customer support when using Concur Expense - the UX could be a bit nicer on the eyes or easier to understand, but there have never been any problems when using Concur Expense that I have had to ask or reach out to customer support to help me with anything.

There are different implementation teams for each module of the product you purchase, so implementation is not a 'one size fits all' environment. Also, the different implementation teams have different ways of doing things, so Concur could stand some standardization and streamlining in this area.A Project Manager can make or break an implementation so don't be scared to ask for a new one if things are rocky.

Divvy, while working in a similar space doesn't work well for larger enterprise roll out. Divvy requires a very hands on approach from manager to employee - for instance, each Divvy card limit is set by the manager. The employee can request an increase on the fly if they need it and the manager can approve the increase. However, with the volume of business and spending we conduct, managers wouldn't be able to "manage" this level of data and would likely opt for really high credit limits with limited oversight. Since this is the case for us, having a corporate credit card program with set limits and rules enabled in Concur is much more functional.

We investigated Readsoft early in our exploration of upgrade options. We were on Esker DeliveryWare, but the UI for Readsoft, at the time, seemed to be a little convoluted and geared towards exception handling and required tiered users. Also, Readsoft was more cost prohibitive and did not have a solution for our faxing. Though, as I understand it, they may have since found a solution for this issue

  • The largest return has been the added productive time that has been given back to payroll and financial professionals within the organization. They can now go back to more important work for the organization rather than spending hours every week performing administrative data entry tasks.
  • Team members feel more empowered by having access to updates and statuses of their reimbursement requests. Again, this has given more time back to the team members (no longer having to follow-up with payroll), and this awards more time back where teams aren’t fielding dozens of questions.
  • Managers have more comprehensive access to review reimbursement requests, and to evaluate accuracy and justification at the click of a button. More time for leaders equals more proactive work and productive time for them.

  • I believe that TermSync has added to our overall bottom line by ensuring we are collecting all balances in a timely manner
  • We don't have to spend near as much time reviewing dealers accounts because it is all displayed in Termsync.
