We transformed a paper-intensive operation, child support enforcement, to an almost completely electronic environment. Our child support case managers can now easily find all case file documentation (no longer searching through the file room or on someone's desk) and have access to these files from any secure location, including the court room where we need these documents during the hearings.

Your organisation has to support the type of document and records management needed for this to work. In an organisation that only needs to store documents and maybe share with many different parties, this might not be the best-suited software. In a large organisation with stringent document and records management policies, this suite is well suited. It makes management of documents across business units easy to manage and control.

  • Easy to add content in a user friendly manner.
  • Provides significant control over of the notification and workflow process.
  • Enables document access from just about anywhere.
  • Integrates with a significant number of modern systems.

OpenText ECM

  • Secure storage of billions of documents using precise ACLs to control access across multiple tenants, groups, users, etc. No other system I know of can do this as well for as large of systems. Security can be refined from one person to the entire enterprise OTB.
  • Integration with other EMC/OT solutions. Assuming this is still true post-OT acquisition, Documentum has over a 100 add-ons that integrate with the core solution to expand the solution to include scanning, document processing, forms, email, etc.
  • Searching. xPlore is one of the best FTI tools on the market and it is integrated well with the Documentum solution. Other systems use excellent search tools, Elastic/Lucene/ being good examples of that, but their integration is questionable. Older systems, like WCC, are still using antique search tools OTB and require integration with the newer search tools.

  • WDK framework has been the biggest drawbacks from the application speed point of view, as well as client complexity and not so natural look and feel. Yes, with the latest releases much of these features are improved.
  • EMC is very expensive to buy, own and support, where some products require many dependent Docuemntum products to be installed to work at its best.

Stability is a key factor as well as its flexibility. Also, any organization that deploys Documentum will have made a significant investment in terms of time and money, so not renewing its commitment can come with a significant cost. That said, the decision to deploy Documentum initially should come only after extensive evaluation, knowing that once deployed it will likely remain the platform of choice.

OpenText ECM

OpenText is stronger in the management of high volume and secure information. However, SharePoint, while less functional from a document management perspective, provides a much stronger user interface which eases user adoption and the presentation of content. SharePoint also has a significantly larger ecosystem of developers and partners that makes solutions more available.

  • We scaled down our file room size and cut our leasing costs.
  • We transformed several processes from iterative physical hand-offs to being completely done within MaxxVault workflow. The turnaround for a few of these processes went from days to minutes.
