At Florida International University, we are currently using EMS to manage non-academic spaces. After 2 years implementations, the Phase I went live on August university-wide this year with 9 units. Phase II will start soon in the target to onboard all other units within the university as well as academic spaces.

  • Streamlining the lifecycle of reservation
  • Great involvement from different teams to ensure the success of customer's implementation
  • Much more APIs to provide the integration in the 21st-century trending
  • Transforming Desktop client to the web-based application

It is easy to use in small-scale aspect and no need to deal with the segregation of duties;
It is difficult to integrate with other systems; it is impossible to implement the segregation of duties for System Administration items.

I use EMS in the Dept. of Athletics, PE and Recreation at MIT (DAPER). It is also used for Campus Activities and a few other departments.

DAPER uses EMS to schedule Intercollegiate Athletics, PE Classes, Intramurals, Club Sports, Institute Events and recreational use. We also rent space to non-MIT users for large events.
  • Ease of use. Many reports. Complex reservations with billing and invoicing
  • The Web App is used by student groups and other Departments to request space for both casual use and large events.
  • We use the Academic Import Utility for both classes and Intercollegiate contests and practices.
  • We recently got an upgrade, but now the system seems to have slowed down and is sometimes unresponsive.
  • Entering building hours and holidays for a year can be time consuming.
  • I would like to be able to edit text within the Comments section.

EMS can be used for casual users or for complex rental events. At this point, we are not using it for any "automatic" reservations.

The wide variety of available reports is very helpful for our staff.

EMS is being used across the university. I specifically use it in my department for facility reservations/management and billing. The system helps in providing weekly information on events scheduled in our 180,000 square feet facility.

We started using EMS in our student union in 1998. In 2017 we upgraded to professional plus and added the web app for our customers. This year we have now implemented EMS Campus and will go live with it November 1.

EMS is being used campus-wide and is now going system-wide. It makes it possible for multiple departments to see what is happening in a room.

  • Blocks meeting/event space so double bookings don't occur.
  • Provides current setup information to custodial services.
  • Provides accurate reservation time and location to catering

We are currently using EMS for booking room reservations on campus and booking other events on campus as well. That is the extent, but we are preparing to use EMS for academic scheduling purposes.

  • Collect room usage information in one space.
  • Easy to use interface.
  • Evaluate and analyze room usage to optimize scheduling in specific places.
  • Data analytics. We would love to see the software help us to make decisions about our academic scheduling needs.
  • Workflow. [Would like] oversight in how to best develop a process for academic scheduling depending on specific qualities of an institution? If the institution is set up like this, then this approach typically works best for developing a schedule.
  • Unsure at this point because I am quite new to EMS.
EMS is well-suited to help with scheduling when you know what sort of schedule you would like to offer. The software is less appropriate for use in determining what that schedule should look like.

We use EMS for all room scheduling, all AV scheduling, all setup, security, housekeeping and other details for all events and classes at our organization. It solves efficiency issues and reporting issues. I am very happy with the product, specifically the end user experience and the reports.

EMS is used for scheduling five different facilities on campus that are non-academic spaces. Our main use is for scheduling event spaces for students, campus, non-profit organization as well as corporate events.
  • EMS helps us to utilize the space we have available to the max capacity.
  • Quick and effective on line scheduling.
  • Reports are easily obtained and reviewed providing valuable data.
  • They have grown so fast that I don’t feel like I connect with my customer representative. So I don’t always feel that I am up to date on their current product.
  • I am excited to see what they do with customer service as they have acknowledged this is an area of improvement.
It is user-friendly from the get-go. Obviously, it's room scheduling software and it ROCKS. Also, inventory control is great as well.

I use EMS Software for academic classroom scheduling and external group meetings. We do not use EMS across our whole organization. We actually underutilize EMS.

We use EMS to reserve and manage space at the UA College of Law. We have a lot of events and want to be sure the different events don’t compete for space and/or audience.
  • I love the way I can drag and drop to alter reservations easily—-makes changing things on the fly very easy!
  • The fact that the full reservation has two visually distinct components, the event time as well as the set up and tear down times, is very helpful to get a full picture of a reservation at a glance.
  • I hate that I cannot search for an event by key word. Sometimes all I know is that a person came, or is coming, but I don’t have the date, reservation number, or any other detail. It is frustrating that I can’t find that reservation unless I have the full name as entered.
  • I think the visuals are somewhat outdated.
  • I would like to see dates lit on the calendar showing me where pending requests are sitting, so I don’t always have to go back to the dashboard.
EMS is probably more product than we need—-I manage about 30 rooms used by 600 people, and it has much more capability than we use. That said, we are pleased with the purchase and have integrated it into our campus culture, so no regrets.

EMS is used by my office to manage 4500 event and meeting bookings a year. It assists us in managing the organization of campus-wide reservations, invoicing, building opening/closing schedules, as well as inventory. The technical support for EMS has always been readily available and we cannot imagine using another software to plan events.
  • It can document your inventory, letting event planners know what resources they have at their disposal for specific meeting and event rooms.
  • EMS can also track invoicing, which can lead to generating revenue reports that help with showcasing what your unit's workload.
  • I would like to see a way of being able to eliminate users that have not logged in/may not be employed by/attending the university anymore.
  • Would like to know what other programs EMS can "speak to" (including 25 Live, Crestron, etc)
I would recommend using EMS Software when your campus has more than 1 space to manage. Having campus-wide buy-in is also crucial, especially if there are other reservation entities on campus. If your bookings require more detail than the basic furnishings, I would also recommend using EMS especially if there are other campus entities your office works with to coordinate events. This allows you to document everything about the event, including campus partner commitments to ensuring the event runs smoothly.

EMS is being used by my whole organization. It provides a link to our academic database to room scheduling; offers end users self-service options; consolidates event planning to a one-stop shop environment; offers students an opportunity to schedule assessments; increases productivity in service departments

  • Room Scheduling - there are no questions about what rooms are being used on our campus! Great product to provide data for utilization and change management.
  • EMS Support - Each time I've called the team, they have been responsive and helped us problem solve small and large issues.
  • Communicating the company road map. They help our organize goals for the future; however, are also great in working with clients at various editions of the program.
  • Connecting clients in regions. Love the regional meetings. Would like to see more or assistance in connecting more with people in my region. Willing to talk up the product!
  • Master Calendar training/user guides. I feel this is a weak link. Hard to make progress if you don't have a computer programming/html/CSS background.
  • Frustrated that the 1st contact (AKA faculty member) that comes over from either an academic import utility or our academic planning sync does not list this person automatically as the web user. Tied to overall group "Registrar" instead. Blocks us from having faculty do self service for categories unless we manually enter all of the web users.
I think it's well suited for higher education. Less appropriate and frustrating for campuses who do not adopt it as a whole right away. I also find it a challenge for groups who want to take online payments through the web application. Also challenging for those who want to take care of other event planning details like registration.

Several instances of EMS are being used across the university. We use it to schedule events, courses, and final exams. It gives us the ability to monitor and control use of space on campus.
  • EMS provides tools to see the big pictures of space and its use.
  • EMS also provides a useful level of detail on events and courses.
  • EMS provides tools to control permissions to view, add, edit, or delete events and courses.
  • EMS improves the schedule building process by providing a way for units to communicate changes and details of a term schedule electronically.
  • The CPI needs to be more user-friendly and more appealing for non-technical end users.

It is being used across the main university campus as well as part of the medical school campus. Not all departments and spaces have onboarded, but it has created a centralized location to reserve space instead of all department managed.
  • EMS is a great way to manage an event. It is very versatile and offers multiple ways to use, customize and report.
  • We use the confirmation tool to creat an initial room confirmation and then add event details as the time gets closer and send an event estimate. Post event this is the basis of the event invoice.
  • Query Builder is a great way to build custom reports and automated reports are really handy.
  • EMS is great because it allows for so many different avenues to get information into and out of the system. It can be easily customized by the system admin as well as the individual user.
  • The reporting functionality is great. A lot of canned reports and the query builder is a very user friendly way to develop custom reports. Automating the reports is also easy to schedule and modify if needed.
  • We use the confirmation tool for every reservation. We send a room confirmation to the client and then as the event gets closer, we send another confirmation that we title event estimate. After the event concludes, ems essentially turns this confirmation into the invoice.
EMS is not an accounting system. Gross revenue can be determined easily, but net revenue is not in the scope. EMS is a great management tool. We use it as a one-stop shop for our clients they can book all aspects of their event in one location.

We use EMS to manage all scheduling at the university (both events and academics) as well as resource and service allocation for items like A/V, parking and catering. Moving to EMS was crucial for us in order to centralize university scheduling, get real-time utilization data, and provide a user-friendly interface for end users to get the services and spaces they need.
  • EMS has great reporting capabilities both in standard reports but also the ability to create and customize your own.
  • The system is both customizable and adaptable. The company is constantly updating the software and providing enhancements.
  • The notification and automatic report features are a great way to increase communication in your organization.
  • The system can integrate and communicate with other campus applications.
  • Integration with Banner needs to be improved.
  • The parameters section can be really confusing.
  • We have wanted to customize the software with university branding but have had a hard time getting assitance from OIT. Having a service through EMS for this would be awesome!
EMS is great for managing/scheduling space and the associated services for that space.

We have had users try to manage housing through the program and while there is always a work around it really isn't meant to do so from my perspective.

We use it for event and classroom scheduling. It is being used by our three campuses. It is helping us to evaluate and review the efficiency of how our meeting space and classrooms are used. We are also hoping that, through the use of the Optimizing feature, that we will be able to schedule our courses more effectively.
  • There is a central location to reserve rooms. No more having to track down an admin to inquire as to the availability of the space.
  • The EMS Master Calendar feature also provides a central location for our Academic, Alumni, Student Activities, and Community calendars. We are hoping to reduce the number of calendars that are produced--I personally produce or maintain 5 different calendars.
  • It has saved time in our day by utilizing the EMS scheduling application.
  • The Optimization option will allow the schedulers to set up preferences for classroom choices.
  • Provide additional local/regional training. Once a year is not enough!
Our campus and facilities are used for many community events, and EMS has provided an optimal way to reserve our space for those events.
And as I mentioned previously, to have a central place to request a space has been a time saver for many staff and faculty members.
It has been a challenge to get everyone "on board" as we have some folks that have been working on campus for 20 plus years and they like the way things are being done. Change has been difficult for them. We're working on them though!

I work in the hospitality department and use EMS software to plan and manage event space and events on campus. Departments request space through our department and we approve and assign coordinators to assist the client from start to finish. We are working on convincing other partners on campus to use EMS as well and provide their services to our internal and external clients via EMS
  • I love that there is no perfect way of doing things. EMS is unique and customizable for each user, and institution. We can decide how we want it to work for our environment, and we can customize processes and procedures and EMS supports us in every way.
  • It is very detailed and helps provide all of the services needed to best manage an event from start to finish
  • Customer support team is AMAZING. Always willing to dig a little deeper to find ways for us to best utilize the system and software
  • More integration with other systems: FAMIS, Banner, Active Net, etc.
  • Turn around and configuration time. Quicker implementation
  • Using the same account manage through each phase. It is great to build that trust and relationship with the same person through the entire implementation process
Event management!! It is amazing Less appropriate for hotel/short stay accommodations, however that would be extremely useful.

We use EMS in our Event Planning Office within the Student Engagement & Campus Life Department. We are looking at other Departments using EMS as well.
  • I am particularly happy with the overall system.
  • Reminders and notifications work great!
  • When you have many different events happening on a large campus it’s hard to keep up with everything so the reminders and notifications work great to keep things in order and on track.
  • It would be great to have have more options available for Invoicing and billing options.
  • It would be great to have the option to have more than 2 emails listed for end users.
It’s well suited for event planning and most aspects of that.

EMS is currently being used to schedule academic courses and it is also used to schedule events for most venues on campus.
  • Manages events on campus.
  • Keeps all campus service providers in the loop in regards to events on campus.
  • HR Toolkit. We struggle with the import process because we are no longer receiving detailed error reports. Without these reports, we are unable to correct any issues on our own. We have to reach out to EMS support and it could be a few days before issues are resolved.
EMS Software is well suited in allowing departments to set preferences to where their courses are located. The optimization process honors the preferences set and allows departments to feel more secure in the optimization process.

We, for the most part, use it across the campus for room reservations and bookings. I use also to generate contracts and create invoices.

  • Room reservations. It eliminates double bookings and brings attention to conflicts.
  • Billing / Invoicing. Generating bills based on the information for the booking is really simple.
  • Contact information. It organizes every contact and company we receive via inquires.
  • Services: I am able to notify other departments of needs I have for my clients. A/V, catering, transportation, bar, etc.
  • Managing weddings, my final guarantees tend to change last minute. If I generate an invoice and create an invoice number, I am unable to go back and make simple edits. I must void the entire invoice and start from scratch.
  • I would like there to be an option to log every inquiry regardless of if it leads to a booking. The ability to do so will enable me to track all of my contacts in one database
  • Contract writing. I need a resource to create templates that can pull information from my bookings to generates different contracts
It is well suited for a college with a lot of internal and external event planning and room scheduling.

Within the Blackburn University Center, EMS Software is used to reserve space within our facility. Currently it is being used by three departments; the Blackburn University Center, Burr Gymnasium (Athletics), and Cramton Auditorium. EMS Software addresses a number of things such as room reservations, invoicing, facility reporting, and revenue reporting just to name a few. EMS allows us to manage spaces within our facility to better serve the needs of students, staff/faculty, and external clients.
  • Invoicing
  • Facility and room utilization reporting
  • Producing viewable calendars
  • Facilitating a better end user experience
  • Being able to delete inactive users although they still may be tied to past reservations
  • A better plan for the number of users a university can have
  • Webinars for step by step tutoring on various EMS topics
From my experience EMS Software is well suited for University entities that deal with meeting space scheduling. To me it is an all in one experience where the software can perform multiple duties based on a customer’s needs.
