Overall Satisfaction with ADP Workforce Now

Our company uses ADP Workforce Now to manage our employees' time, benefits, and payroll. Having one place to keep up with everything to do with our 130+ employees really makes all of our jobs so much easier. Right now we only have payroll clerks, department supervisors, and the HR manager accessing Workforce Now, but that has worked well for us for 4-5 years. It allows the department supervisors to address time clock and attendance issues within their own departments and takes the burden away from the payroll department.

  • Communication within ADP when problems or issues arise. It seems like we never keep the same Account Manager for very long and it's difficult to know who to speak to when we need to have a voice on the phone.
  • ADP should offer more options for companies that do not wish to utilize their full tax filer service. We elect to file and pay our own payroll taxes, which means they don't file our W-2s at year-end. This should be an option we could choose.
  • Using ADP has allowed us more free time to devote to other tasks. We were able to reduce the staff number and save money as a result.
  • Before switching to ADP we were using another time card and attendance application and processing payroll in-house. Having one application that handles both of those, as well as benefits management has helped streamline our process.
Although our company still does not utilize all of the attributes that ADP Workforce now offers, we still see the benefit of being able to in the future as our company grows. Coming from a company that is still a little old-school, we are taking baby steps to bring us into the 21st century and ADP allows us to do that at our own pace. We have gone from 2 payroll clerks reviewing all time issues at first, to now having the supervisors review and approve the time for their departments. We don't currently allow employee access to anything other than pay statements, but we know that in the future we will be able to allow employees to manage their personal information, benefits, and request time off for themselves.

All three of the the systems/areas listed were previously tracked separately with different software. It took some time getting all 3 units up and running with ADP, as each particular one required working with someone from a different department within ADP. You don't realize how much detail is involved with each of these until you start breaking it down individually. The ADP experts that we dealt with while going through these different setups were all very helpful and knowledgeable about their module. Although is took several months, I did feel that the transition went quite smoothly.
We used Corporate Business Solutions (CBS) along with Gorrie-Regan Attendance on Demand prior to ADP. We had to keep our time records with Gorrie-Regan and transfer the time file over to CBS for PR processing. We found the ADP Workforce Now to be much easier to work with for multiple reasons. First, we no longer had to keep time in one place and payroll in another. Second, we found the ADP application to be much more user friendly. Lastly, we have been able to build and run so many more useful and necessary reports with ADP Workforce Now. Without a doubt, switching to ADP was a great decision.

Overall, we have been able to get prompt responses to our support requests. Also, the representatives seem to be knowledgeable and willing to help. The reason why I didn't give an even higher rating is because there have been occasions when we have reached out to our company representative only to discover that this person is no longer our representative.
ADP Workforce Now is a great time saver for any company that has, probably, more than about 25 employees. Having the ability to track time, transfer to payroll, and manage benefits and time-off for employees, all in one place, makes the job much easier. Having the ability to build and run an assortment of reports, previous pay statements, and the like, is a big plus. I don't really know that a smaller company, with less employees would be able to appreciate all of these time saving aspects of using ADP Workforce Now.

COVID-19 Response

ADP offered multiple informational webinars with new COVID-19 information as soon as there were changes that affected payroll processing. These webinars proved to be a valuable source of information as we navigated through the Cares Act changes.
We didn't really utilize their services when we were applying for the PPP loan, but we did utilize the reports that they provided when it came time to apply for loan forgiveness. This made that process so simple.
The webinars were the resource that we used for guidance the most and they were extremely helpful.
We don't utilize this offering.

Using ADP Workforce Now

8 - The Human Resource Manager, the Payroll Administrator, a Payroll Clerk, Mill Superintendent, and 4 Department Supervisors.
2 - We have 2 people that assist with setting up Supervisor's logins and access. No special skills are required, only a general knowledge of the security aspects and general requirements for setup.

Overall, we have been happy with ADP Workforce Now for 4+ years. Although it isn't 100% smooth all of the time, we are very comfortable with our day-to-day and week-to-week process of time management, payroll processing and human resource management. The fact that ADP is constantly working to improve the usability and functionality of their product is a huge plus as well.

Evaluating ADP Workforce Now and Competitors

Yes - We replaced Gorrie-Regan's Attendance on Demand for time keeping and Corporate Business Solutions for payroll processing because it made the entire process much easier being able to use one product instead of 2. ADP was a company that we were familiar with because of our affiliation with another company that had been using ADP for several years.

It was very important to us that the product be easy to understand and easy to use, but we didn't want to pay a great deal more than what we were previously paying for two products combined. ADP worked with us to build the product and units that met our needs and requirements and stay within our budget.
I probably would not change anything at all. ADP was a known and proven company and we didn't have any second thoughts about switching to them for our company.

ADP Workforce Now Implementation

Yes - The first phase implemented was the Payroll. We had to move our time file over from our old system to run payroll until we could get the ADP time clocks up and running. Once those were installed, we setup the Time and Attendance function. Then we started working on the Time Off tracking and the last part was the Benefits tracking. It took a few months overall to get every aspect set up and running.

ADP Workforce Now Training

We took several classes that were conducted on the phone where we could actively participate, ask questions, discuss, etc. and that helped us better understand the what, how and why of each subject. Some classes we did online and were able to complete at our own pace. It was nice to be able to pick extra subjects that you wanted to learn about other than just the ones that ADP required us to complete before our implementation.

Configuring ADP Workforce Now

It seems like we have had fairly good success with getting ADP to configure to our needs. There have been one or two times when they were unable to do what we wanted.
After your learn your way around within the ADP system, many of the configurations can be done in house without having to contact an ADP representative. When you do need to contact them for assistance, be prepared to cover all the points in one phone call for the most success.
Some - we have done small customizations to the interface - It was not that difficult to do. We really only did ours to change it up a bit and to see if we could do it whenever the time comes that it is necessary for us to.
Some - we have added small pieces of custom code - We had to add in some special codes for shift differential and trip pays. We did it with the assistance of ADP. It was kind of tricky and took some trial and error to get it to work correctly, but we were eventually successful.

I don't know whether or not it is available, but I don't believe that we would pay extra for it because we rarely have a need for it anyway.
I know that there have been multiple times that this has happened, but it is difficult for me to recall any one time that just stands out more than the others. Almost every time that I have called for support, I have gotten the solution to the problem at hand.

ADP Workforce Now Reliability

ADP Workforce now is practically always available when we need it. There have been only a few instances when they were down or there were issues with the system when an update was underway. It has been a pretty long time since that has happened though.
In my judgement, any reports that I have run have loaded in a fairly short time. We have not had issues with our weekly payroll processing final reports being ready in a timely manner except for a few occasions.

We really haven't done enough of this in order for me to form much of an opinion on it.

Relationship with ADP

Our sales representative stayed in touch with us during the process and kept us abreast of the schedules for training and the initial setup procedures. She even stayed in touch to make sure we were still happy with everything one year into our product use.
They stayed in touch with us pretty regularly for the first year when we were still working out everything to suit our needs.
They customized the package for us to only charge for services that we would be utilizing. They also offered us 2 free months a year for the first two months, which amounted to a nice cost savings.
Just be prepared to know what you need and don't need before you go in.

Upgrading ADP Workforce Now

Yes - The updates are usually performed on the weekends when we are not in the office using the system. They do this regularly and it has been a pretty good while since we have had any issues related to an upgrade.
