Overall Satisfaction with Insightly

We are a self -employed couple, with a number of income streams, some involving personal services, some involving sales. We use Insightly for all the businesses, to organize our database of current and potential client contacts, emails and notes, and to manage calendars, tasks and events.
  • Email and task integration - excellent at matching and providing easy access to forwarded emails and tasks
  • Efficient use of screen space - the various "modules" you're looking for (e.g. notes, emails, tasks) are all accessible from the main contact screen on the browser version (not so much on the mobile version, but screen space is tight, so I get it)
  • Easy and straightforward organizational and contact entry
  • Relatively easy to get started with - pretty intuitive, particularly if you're familiar with CRM programs
  • Records carry a premium on Insightly, the free version limits the number of records, and in paid versions I believe you also pay for number of records. Unfortunately, a "record" in Insightly is every field - every first name is a record, every last name is a record, etc., so you can burn through your records allotment quickly.
  • I'm not fond of the app version for anything other than data lookup - it takes multiple screens oftentimes to find what you need, but again, screen space is limited on smartphones so I get it.
  • There are probably good and logical reasons why tasks can't be assigned across multiple users, but there are times when it would be more convenient than bouncing a task back and forth.

I've mentioned efficiency and organization previously, and using Insightly's records management functions has allowed us to greatly increase the number of contacts we can manage - more potentials, more conversions! In retrospect, it is extraordinary how much time we wasted "trying" to keep customer contacts and tasks organized, or retrieving a piece of information or email.
We actually do also use Bitrix, as we ran out of records in Insightly. Bitrix24 is very comprehensive, but not nearly as well-integrated (particular problems with email). We did look at a couple of others whose names escape me, but not very seriously, as no other product we saw had the features Insightly had in the free version.
If you do any marketing or have any clients, no matter how small you are, you will be surprised at how easy it is to get all that information organized and at your fingertips (and how good it feels to know, every time, where that email or note you made can be retrieved). You will not go back to a haphazard system once you've experienced how efficient you can be with a really good CRM product such as Insightly! It might not have the integration with "incoming channels" (LinkedIn or Facebook inquiries, for instance - at least not in the version I'm using) but if that's not a critical function, Insightly is a really powerful, well-integrated, easy to use entree to CRM.
