Overall Satisfaction with Webexpenses

Webexpenses has been a really useful way as an employee to stay on top of the expenses occurred when out on events or media days without the worry of stock piling endless receipts to attach to a paper form once back in the office.

Being able to simply take a picture in the app when on the go and later assign this to the full claim with a short description in the portal has helped improve the efficiency of what can be a dreaded task.
  • The app for on the go receipt recording.
  • Assigning to relevant budget pots.
  • Online management portal - no paperwork and easy to revisit.
  • It does require those administrating to have set up all the relevant budget pots for submission of a claim - so if this isn't in place as an employee you have to flag externally to the portal system.
  • If your not familiar with how to attach receipts this can sometimes end up with adding to a claim without a receipt, then re-adding separately with the receipt due to button positioning - easily fixed however by deleting the duplicate!
  • Efficiency of processing expenses.
  • Reduced paper waste with offline forms.
It's usability is very good, and once you know your way around the system the integration between mobile app and website is brilliant for recording and tracking all receipts and submitting in a timely fashion.
I've not required the need to contact the support team so am unable to comment beyond saying that it's a good sign if support isn't needed!
Claims submissions has reduced in time dramatically as the recording of receipts on the go make it so easy to safely back them up. Whilst the whole claim can be done through the app I prefer to access the portal via laptop and assign the receipts to the claim with it being easy to assign with a short note for the finance team along with categorising and submission to the appropriate approver.
I did not purchase Webexpenses, but as an employee that uses the system it is easy to use and time efficient which would be the main requirements desired.
Only classic internal pen and paper systems - web expenses has been revolutionary from that process!
From an employee point of view it is really well suited to jobs that you find yourself picking up receipts on the move (i.e. lunch, train tickets) as the app creates a place to record this on the go without filling up your wallet with paper and running the risk of loosing the evidence the finance team require.
