Overall Satisfaction with Webexpenses

We use it to track expenses for receipts and mileage. As we are often carrying out client meetings, booking trains and transport and taking out clients to events, etc we needed software that makes it easy to claim expenses and have it authorized by the relevant person. Rather than it being a complicated process of passing things through HR and payroll etc, Webexpenses makes it really simple to pass it through to the correct person who can sign it off and then the money can be paid quickly.

Overall it is easy to use and quick to upload any claims. However a little complicated in setting up a claim initially. But once you've done it a few times it's quite easy. Also, the map function is great but sometimes goes a little crazy when you use the drag function.
Easy to submit all claims and it is sent to the director for approval which makes it much quicker and faster to get paid back for expenses. Rather than it being a huge back-end process that ends up being passed through tons of people, it's a nice easy process that is almost automatic.
Must be easy to use and simple for everyone to log all expenses. Ideally well automated so it makes the signing-off process easy so it saves time and confusion. Needed to be all in one place and easy to access. Great to have mobile access too via the app.

Good for companies that need to claim expenses. Especially useful for companies that need to claim mileage and track why people are submitting claims. We are often visiting clients, claiming back travel expenses, and putting through any marketing or meeting expenses. This makes it really simple and easy to claim everything back and track it all in one place.

Using Webexpenses

Everything from CEO's and MD's through to management and through to individual consultants.
It is used for everyone in the organisation.
2 - I believe we have two in our section of the business and I imagine there will be more across the group of companies.
  • Tracking carbon emissions
  • Tracking and expensing mileage
  • Claiming back receipts and expenses for client visits.
  • Using it to track our carbon footprint based on the vehicles used by the business and the mileage they do.
  • It would be good to use it for all travel as we currently use another system for booking trains, planes etc
I think it is a part of our company now and used by all so unless there were some major issues or major changes we would likely keep using Webexpenses.

Making sure the system could be used by everyone was key.
Also that is had the key features we required for the business.
The only change might be if it could include the booking of train tickets, plane tickets and other travel.
This is currently done on another system.

  • Tracking mileage can be difficult using the map function. It is slow and doesn't necessarily use the obvious route from point to point.
Yes - The app is really useful and even easier than the desktop application for tracking and adding reciepts.
