For a small employer, with very little turnover and few benefit options, ADP may be too costly for the benefit. There are many affordable payroll providers available for small organizations.For large employers with many benefits options, employees in multiple locations, multiple tax jurisdictions and varied pay types (salary, hourly, commission, etc), ADP is ideal. The extended customer service hours, extensive resources for international pay, and capability for multi state taxation is crucial for an international employer.

Fieldglass VMS is well suited for a large and high-volume recruitment team. At our organization, we are recruiting for sites opening across the globe at such a high volume due to it being in real estate. With such high turnover, the efficiency of a tool such as this one is key. We are able to view candidate information and submit candidates quickly and efficiently. I would say this would be less appropriate for a smaller team that might not be doing as much recruitment using agencies.

Pros

  • Highly trained customer service representatives. When calling, wait times are usually short. All representatives have a broad base of training so most questions are resolved right away. There is an extensive 'back office' of more experienced team members to address the more complex issues and anomalies. Recent training updates including the common sharing of representative email address for ongoing follow up access.
  • Learning opportunities are available through videos, webcasts, PDFs , conferences and virtual conferences. I have found the quarter and year end videos to be especially helpful. I am appreciative of emails with links to articles with payroll relevance, saving me the time to research.
  • Reporting capabilities are extensive. There are many standard reports that provide the base report with opportunity to customize fields, sorting, etc. And they can be saved for future use, with additional edit capabilities. Also available are fully custom reports, built by the the user, with the option of guidance from an ADP report writer. My experience includes a completely custom created report that I now use on a regular basis. The personal attention and investment of time to get my report exactly as needed was much appreciated.

  • The email that is automatically sent out following a submission, withdraw or revision allows for easy and fast communication between submitter, reviewers and approvers.
  • Very easy to train others on and great customer service team when questions do arise.
  • Finding and reviewing candidates through this software is extremely easy as the information you would like is found within one section of the candidates profile.

Cons

  • The time and attendance portion could be more robust. If you have employees with multiple pay rates, pay types, and pay additions this may be a task to setup. My current company is driven by cost numbers and I we had to partner with another company that is another part of ADP called IDI in order to make things work.
  • Sometimes when working with records it is difficult to manipulate historical data. I guess maybe this is a good and bad thing because you don't want it to be easy for people to manipulate data, but if terminating an employee was a mistake I would like to easily be able to delete that record instead of rehiring.
  • The accrual setup is one of the biggest issues I have had with ADP. From the setup to execution this is a project that requires constant review even after the process has been completed.

  • Scheduling interviews can be simple but adding all the times and dates of availability can become tedious, specially if you are scheduling several interviews.
  • The process of entering time and allocate the time can take some trainin and getting used to.

Again, Fieldglass is a strong contender but Fieldglass can be difficult at times to work with and not as supportive as I'd like. As so, I'd be willing to try Beeline or other top competitors

The instructions from the recruiting agency on how to use the system was pretty straightforward. It provided step-by-step procedures on where you would need to log in your hours as well as what you would need to highlight (i.e. regular, overtime, etc.) detailing the type of hours that were worked overall. The handout also provided some pictures of the application

Implementation

Either assign more than one specialist to the implementation process, or assign less clients to the implementation specialist. The process requires attention to detail and the ability to test and re-test as well as verify the information. It also requires a lot of back and forth between the client ant the implementation specialist, so they need to be readily available during the whole implementation process.

Alternatives Considered

Our company used ADP prior to Workforce Now. We tried PayChex for one year 11 years ago, however did not like the functionality and time required to process a payroll. We returned to ADP, then tried Paylocity...that lasted one small payroll, as our payroll clerk was extremely dissatisfied with the product. I was on the telephone with our ADP representative asking what ADP could do to help us remedy our error in moving to paylocity. ADP was great, they explained the ADP Workforce Now product. Helped us return to ADP in time to do a full payroll the following week, and helped to collect the information from Paylocity in time to do the first quarter report in a timely manner. This was a difficult task as Paylocity was less than forthcoming with the reports we needed to provide. The Paylocity support team finally admitted they could not do the what they claimed in the demo. Waste of time and a lot of money. ADP Workforce Now has proven to us they will be there when we need them.

Fieldglass is much more seamless than other VMS that we have looked into. We chose this tool due to its ease of use and organizatoin at all levels. This is so easy to train other employees on and with such a high volume of recruitment being done within our organization, a seamless tool was imperative. This is much clearer to use and submit candidates to.

Return on Investment

  • It's given me a lot more time for other things. Payroll takes significantly less time than it used to, managing requisitions is a smooth process so hiring is more transparent and takes less time, and employees are able to view their own information and make changes. In general, I have gotten several hours back a week just from using ADP, which allows me to focus on our strategic goals.

  • The recruitment pipeline has become great and easier to manage on a daily basis.
  • Reporting for contractors through agencies has become much more organized such as with timesheets.
  • Locating a job posting and uploading candidates is a breeze; it makes proposing a candidate to a client very simple as opposed to other VMS tools.
