Well-suited for strategic release planning and internal stakeholder communication. I would not recommend it for day to day task tracking (although I don't think its intended to be used for that).

Project is great for any team completing any type of initiative, whether large or small. Establishing a timeline and milestones prior to beginning work is key in holding your team responsible and accountable for what is to be delivered. Project is the best tool to accomplish that. Although Project is built for Waterfall projects, Agile projects work well too

Pros

  • The UI is incredibly simple and intuitive - I picked it up with no particular training.
  • I like how you can sort or filter your boards and tasks into different styles of display until you find the one that works best for you.
  • The internal naming system is really natural, even for people who haven't used a kanban board, sprints, or agile before.
  • The little side features, like linking to external documentation or tying cards together into groups, are all really well handled and easy to use.

  • I love how easy it is to plot milestones and tasks, and who is responsible for those tasks. Being able to quickly see the scope of work, start and finish dates, along with the resources scheduled to perform those tasks, is such a time and productivity saver.
  • Changes to the project due to scope or duration due to lack of resources are easy to make with Project. I can easily adjust my schedule, add new tasks, and move milestones and finish dates with ease.
  • The reporting tools are great. I can see what percentage of milestones have been completed in real time and share that with sponsors and management.

Cons

  • Some people fuss about it being overly simplistic, but I find that I prefer it.
  • We never took much advantage of the integrations - it'd be nice to push a task from Slack to my board.
  • The board-to-board functionality between peer boards (ie: not two of my own, but my boss's board to mine) was a little rickety.
  • I'd like to see a cleaner archive function.

  • There is a little training needed since this will act like a spreadsheet, but really has a full relational database behind the scenes.
  • Many people think this has just a waterfall scheduling approach, but we found this to be very effective with Agile and SCRUM. Again a little knowledge on the tool's capabilities pay dividends for end user productivity

It's so easy to use and I'm able to make it look however I want it to. It allows me to communicate to my team on exactly what needs to be done and when.

Support always answered in 24 hours for any inquiry-- a reasonable timeframe for most of our requests. The PM team participated actively in supporting their features, keeping them close to the product.

Self-directed help is usually just frustrating. Help Desks don't seem to be knowledgeable enough to provide good answers. There doesn't appear to be a way to get immediate help without great expense.

Alternatives Considered

Aha! is a better fit for the specific type of strategic planning that I do. The other tools are more intended for other grains of planning and/or execution.

Primavera is more complex to use and not compatible with the commonly used MS office applications such as Excel. The cost of a Primavera license exceeds that of MS project by multiple times. Primavera is preferred in construction projects, though.

Return on Investment

  • My stakeholders are more informed with the expected delivery dates of certain features.
  • My users seem to appreciate the interaction on the idea bank.
  • The idea bank gives me an easy way to communicate the value our feature releases are providing (number of ideas/votes responded to).
