Asana

Asana functions particularly well in scenarios with well-established teams with well-established processes and a mature SDLC. The reason is that Asana can be configured to do many, many different things, and be used in many, many different ways, and with that power comes a lot of responsibility to figure out your process before you try and automate it. It's software, not magic.

Pros

  • Multiple users can access the program at once without stepping on each other's toes or having to wait until someone is out a project to add something. It is definitely a group friendly program.
  • We like how visually pleasing it is. It is not at all intimidating to first-time users as it is very user-friendly. You can quickly find what you need and become comfortable with its features and functions.
  • I personally like being able to assign different tasks to different employees and be able to receive feedback and progress directly from that assigned person as well as view it myself.

Cons

  • I hate that Asana does not have time keeping functionality inbuilt. I use Asana with lot of contractors and I would love if there was a time keeping function.
  • Asana sends me a lot of notifications. Sometimes it is super helpful but often I opt out of notifications. I would love to see if Asana can optimize or change the notification frequency in a unique way.
  • Asana does not allow me to chat if the other user or team members are online. I would love to have that feature instead of just commenting.

  • Some UX issues that could be improved
  • Some architecture decisions don't make complete sense to me (though that's just one man's opinion)

Asana is adding more useful features and it makes the work of their entire team more organized and more efficient. It really helps us in achieving greater achievements as a team. It helps us to earn more revenue since we have more satisfied clients, simply because we are able to finish their project on time or even before the due date.

This rating has a caveat - there is always room for improvement, and this team gets it.You always learn from customers how to do things better and easier, so it is a constant learning of how people use the site. Although the search engine is exceptional, most people do not use it as their first line of research.Much of the usability has to do with layout - and is not just a software usability item, so the rating is severely dependent up on the layout/options you choose for your usage. And their team will do anything in their power to get the results and layout you want. The areas that need improvement - and acknowledged by the team - are the administrative tools. There are a ton of options, and it takes a little to learn some of those. For most people, however, this won't be an issue, because the support team will always help you. This is always the case with more power. If there were fewer options it would no doubt be easier, but they give you the keys to all of the cars in the lot; so a little more to learn.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

Alternatives Considered

Trello - great but a bit young. Good integration points. I think it could be a good too to integrate with. Some people enjoy the KanBan type view and Asana doesn't have that currently. Basecamp - more project manager focused but also a good integration point. JIRA - Better for support and bug management than task management on a project/enterprise level

The customer service from Communifire was what initially hooked us - quick, honest and reliable. With the others mentioned above we did receive some good service, some poor service and at times virtually no service at all. As we progressed with trial accounts of each system Communifire was the fastest to respond to our questions and continued to effectively highlight the solutions within their system for what we were describing as our needs. The others may have been able to meet our needs somewhat, but we were not clearly shown how. After the good customer service, it wasn't long until we talked prices - which were great, custom work requests were going to be achievable and accomplished in a good time frame and we had progressed so far with them and were enjoying the product which made our decision in the end easy.
