Concur Travel and Expense

I feel Concur Travel and Expense is a very mature product that works well - especially from the computer interface. The mobile app is pretty good - but you do not have all the same functionality as the computer. Things like changes to your profile have to be done from the computer. Also, I feel that the easiest way to create an expense report is to actually use dual monitoring - especially for things like complex itemized receipts. Employees who need to work from the mobile app will struggle with not being able to see their information as easily.

Cons

Concur Travel and Expense

  • I still have trouble dividing up restaurant checks in which a spouse is included (and thus not reimbursable). It's possible I'm missing something, but some way to more easily separate restaurant expenses could be beneficial.
  • I'm not sure the currency exchange calculator is always up to date. On a recent trip to Israel, I received a much better exchange rate at the airport than I did within Concur Travel and Expense. (And checked online to make sure the better rate was accurate.)
  • I've had trouble actually submitting reports from my mobile app. The receipt capture function of the app is great, but I wonder if the app itself could be more robust.

  • Because the application is working globally, it sometimes hangs and the connection is dropped.
  • It should have more shortcuts to make it easier to develop macros. I create many macros and use the "sendkeys" command in VBA, due to the lack of these shortcuts, it is not possible to automate the process.
  • For now I can not think of other areas that require improvement.

ITs not ERP software. It's T/E software. I believe that the thing to point out here is this: The software is supposed to be simple and easy. The software is going to be used by every person in the company. It has to be easy for adoption to remain high. Concur does this. I think that the competitors do this as well but with out all of the functionality that Concur offers

In prior years I would have given them a 9.5 for availability. Unfortunately in 2015 so far this rating has dropped to a 7 overall.
We have experienced far too many interruptions - from admins to employees who rely on it for day to day booking of travel and submission of expense reports. Server errors, slow system response time and spinning wheels are too common place. Those things should be a rare occurrence, not a daily interruption.

While Conur still has great product offerings overall, they are currently not offering world class or best in class product (and customer service) availability. Remaining hopeful they step up and get their A game going again soon.

The performance of the product is very good. Given the transactional nature of the system one of the key focus areas for IT is to make sure performance is not affected for internal reasons. This can also depend on the server configuration and setup. For example, performance on Exadata machine is far superior to other Linux custom systems that companies choose to deploy. In general though, as already pointed out, the platform is now very stable and has few bugs. Whenever there are any issues, the cause is usually customizations that we have made to the platform, rather than out-of-the-box standard functionality.

If I were being asked to rate each section of support, different department would get different ratings. My Service Administrator is the best - always fairly quick to respond to my cases and for pressing matters I can contact him directly. It is my understanding that some of the User Support Desk employees do not have the level of knowledge needed for some the calls and questions they receive. Clients look forward to improvements in this area by Concur.

In general, support has not been great - particularly standard (non premium) support . The main issue is that our IT staff has been using this platform for years and is very knowledgeable Whenever something goes wrong, we usually have a very precise idea of what the problem is. We are skilled at problem diagnosis. But the Oracle support process is very rigid and slow. Typically, we are required to go through a lengthy diagnosis process where they ask us multiple questions sometimes over several days and we are obliged to talk to different people with differing levels of knowledge. Since we already know what the problem is, we really just want a patch or a bug fix, but it takes days to get there instead of minutes. This can be very frustrating. This is a big part of the reason why we pay for premium support. But it's still a bit disappointing.

There are different implementation teams for each module of the product you purchase, so implementation is not a 'one size fits all' environment. Also, the different implementation teams have different ways of doing things, so Concur could stand some standardization and streamlining in this area.A Project Manager can make or break an implementation so don't be scared to ask for a new one if things are rocky.

The key success factors for the implementation was project management, in-house expertise in IT and time. The implementation process started with the initial evaluation with the initial upgrade on a test system and mapping out the gaps and requirements. We did work with Oracle to understand the new functionality R12 had to offer and did another upgrade and researched solutions. With the use of software development cycle procedures there were conference room pilots with IT, business users. We then refined the project plan to the core key details, performed mock go-live implementations and finally upgraded the software.Overall, this was a very successful process.

Although Certify is more user-friendly, Concur provides much more robust features. The main reason we chose Concur was the audit history and the ability to set reimbursement limits and options for a 2nd manager approval if the requested amount met certain thresholds. There was much more customization based on organizational needs

We explored Coupa, SAP, PeopleSoft, Salesforce. We chose Oracle based on value for money, features it offers and the easy availability of vast talent pool in the market. There are many trained Oracle product specialists readily available in the market. This helps us to tap experts when needed easily.
Coupa does not have a Project Accounting module. SAP was too expensive. PeopleSoft is more catered towards to human resources software, while Salesforce is for CRM.
Oracle has better financials and project portfolio management suite when compared to the competition and this what we needed.

  • Once the end user has suffered through the tortures of Concur's horrific user interface, it looks like the back end links are robust enough to aggregate the data and take them to payroll reliably.
  • The real danger of this tool is that it is probably even more expensive to remove after you make the mistake of bringing it into your company. "Accountants check in, but end users can't check out."
