It is used by our bookkeeping department (one person) and by others in the organization. We use it for client accounting, bookkeeping, payroll and financial reports. There are others in the organization that are "expert users".

We use QuickBooks Pro for our general ledger, for the whole company. This is our primary source of accounting reports. We do not use it for time and billing or for payroll. We use cash disbursements and cash receipts; reconcile bank accounts, and track cash basis profit and loss. These reports are reconciled to our time and billing system.
  • Easy to use - most users can figure out how to write and record a check.
  • It prompts for accurate reconciliation of bank accounts.
  • It has a useful credit card expenditure tracking system.
  • The ability to easily change cash transactions after reconciliation is a problem.
  • The ability to enter an incorrect date w/o notice or prompting that the date is outside the accounting period.
  • Ability to add vendors wtihout proper 1099 set up.
More appropriate: fairly simple business, used to track and reconcile bank and credit card activity; user understands the need for periodic reconciliations and consistent input. In this scenario, QuickBooks works really well.
Inappropriate: someone who makes a lot of input errors with dates - I specifically recommended a more complex program to a client because this client is dyslexic - QuickBooks would not work for him as the dates and amounts are just accepted without a logical check. He needs a program that limits dates to the current accounting period and doesn't allow changes to reconciled data.

We use QuickBooks Pro for our own accounting as well as accounting for many of our clients.
  • Keeping transactions organized. We use it for multiple bank and credit card accounts to create organized financial statements.

We use the product to support our clients' accounting as most of our small business clients use a QuickBooks product. It provides consistency in our service offerings; is easy to learn and facilitates our sending accounting entries we make back to our clients. It is also competitively priced. We are essentially teaching accounting to non-accountants and it is relatively easy with the QuickBooks product line. Our main issue is that sometimes the client will correct an entry that changes a prior year's data.
  • Tracking the detail of client invoicing and receivables.
  • It simplifies the payroll process of our clients as, once set up, most of what is needed, is automatically provided.
  • The reporting function is very flexible and can be tailored to the individual client's needs. It is intuitive to use.
  • It is a relatively simple system to learn and use.
  • One of our biggest issues is that when an entry such as an invoice is changed, it can impact a prior period without the knowledge of the user. We would like to see this strengthened.
  • We would like to see the online payment process improved when receiving payments from customers. There are limits to the amount of invoices that can be paid simultaneously/. We often see a client pay for the invoices of a related party and they have to have a separate account for each client on pay the bill through the system.
  • We would like to have our clients be able to print the adjusting entries we send to them before they are accepted so they can review them first.
QuickBooks is the go to solution for most of our small business clients. There are some industry specific situations where their needs are not met by QuickBooks but they are the exceptions.

Various clients maintain their books on QuickBooks. We obtain either backups of the client or accountant copies. We will assist them in recording adjusting entries, analyzing accounts, preparing financial statements and use the data for their income tax return.
  • Very flexible reporting.
  • Drill down to detail.
  • Good historical reporting.
  • Alerting clients when they are changing something in a prior period. For example, if they void an old check, it changes their financials since the date they issued the original check.
  • Make the use of credit card entries easier. Most clients don't understand how to use it.
  • Better options on class reporting.
If they are doing too many transactions a month, the software gets bogged down and they need to go to an enterprise version. The software does not work the best for property managers when they are collecting money from a tenant as an agent and need to remit to an owner and take back their share. Also, an area where I would not recommend is in a small hotel because it doesn't handle reservations etc., very well.

We use it internally for our accounting, billing and payroll.

We have 50 or more clients who use it for their business needs, and assist them with any problems they encounter.

  • We recommend small business to use this system since it is so easy to use. We can also obtain copies of data and be able to analze the year to year data and quickly find errors or be able to raise questions. Clients are comfortable using this system.
  • Medium sized companes find it easy to use, especially the ability to track billings, cash receipts and give them quick month to month pictures of their financial status.
  • Contractors use it to kept track of jobs. We have shown them how to segregate jobs and track profitability by job and then they can quickly see if ther are cost over-runs.
  • Payroll processing seems expensive to many clients and they decide to move that function to outside providers.
Best for small contractors and general business. We recommend it for companies up to about $15,000,000 in gross receipts. For non-accountants it is sometimes confusing and we tell all of them that they will make several mistakes, the first time through, but we know what to look for and try to advise them up front of the common errors.

I use QuickBooks Pro to keep track of my clients' invoices and payments. It helps me to stay organized and lets me know who has paid and who hasn't. At the start of each month, I generate both paper and PDF invoices to send out for remittance. Also, I tend to use it to view client payment history over a long period of time.
  • Generating Invoices - QuickBooks Pro makes this process very easy.
  • Client Contact Information - This allows you to have one place where you can access all of your clients' information.
  • Unpaid Invoices - Looking through the Customer Center listings, you can see which invoices haven't been paid yet and how many days late they are.
  • Vendors - You can easily keep track of your vendors and what you have paid them.
  • Company Snapshot - Provides useful revenue/expense numbers and a list of who owes you payments.
  • Ads - My goodness, they really want you to upgrade and aren't shy about showing ads. Gets annoying very quickly. Same for their payment processing solution.
  • Keyboard Shortcuts - I often find some standard keyboard shortcuts (like CTRL-A) behave differently in QuickBooks Pro and make certain tasks more of a pain.
  • Performance - Sometimes, even on a relatively fast computer, the software runs a bit on the slow side.
QuickBooks Pro is great for any small business who needs to keep track of payments, vendors, revenue, etc. Obviously, there are many online services these days that will do the same thing. But I still find QuickBooks Pro to be a viable option. This particular edition may be best suited to those who don't necessarily need to access their data via a mobile device. I work at home and rarely leave the office, so this suits me just fine.

The Quickbooks is used by the Finance Department. It is used for banking, vendor billing and payments, Inventory tracking for assets primarily, Income banking, Customers deposits, Financial Reports and Costing Analysis. We load our customer billing summaries into the income module using AR Codes tied to GL Codes and the Vendor billings into the AP with specific expense sub-categories. This is then used for costing analysis.
Separately I've set up a different company to use Quickbooks as a simple to use data base program and I load monthly income breakouts into that module and analyse it by state and month for our state reports.
  • Banking, bank reconciliations and Credit Card Reconciliations. Quickbooks allows for detailed breakdowns of all expenses and types and a very flexible bank/credit card programming that allows me to manage all my accounts in the least amount of time.
  • General Ledger data entry and analysis is easy to do with unlimited GL entry forms and other customizations possible using the GL entry screens and tracking.
  • Quickbooks also has a background audit trail function that allows you to review any changes made to the data in any amount of time and to also recover data on deleted transactions.
  • Quickbooks data base grows and grows. Our data file is now 2 Gig. I have tried to shrink it many times but the program is cumbersome and so far I have had little success. My only real complaint.
I would review the customer's business model and their actual financial flow lines. Look for how many users need to upload or enter data in to the program. How many different functions needs to be tracked and entered? There is now a cloud hosted version with Right Networks that we have found is more stable and easier to access than a local server version. It isn't very expensive for a company at all. Right Networks has a great customer service background.

Our company uses QuickBooks Pro to create and track purchase orders. It was really easy to set up. We also used the reporting tool to track financials. You can create reports with one click or using advanced settings and create one specifically for your company's needs.
  • When creating purchase orders QuickBooks allows you to fill in as much or as little vendor information that you would like. You can add as many columns as you would like, and it automatically gives you a grand total without having to enter any formulas. It saves time.
  • The reporting tool allows you to track jobs, cost, vendors and everything related to them. You can generate a detailed report or a summary report. You can click on an item on the report and it will show you everything related to that. Maneuvering is very easy.
  • There were a few instances where an invoice and credit memo had to be created and it was easy as pie to do. It was really simple to connect it to the original invoice. It helps immensely when tracking finances.
  • More functionality with the reporting would make generating reports in certain instances a lot easier.
  • Job, PO and finance linking needs to be tweaked. It took a few unneeded steps to get to where we needed it to be.
  • Editing new job entry, errors and job tree needs to be less complicated.
Some key questions would be:

  • How detailed are the reports?
  • Will I be able to access all related entries from the report?
  • Can I get heavily detailed reports with little or no issues when selecting the required options?

Our company has used Quickbooks Pro since 2008 for its basic accounting functions. With Quickbooks Pro, we are able to create purchase orders and process bills, create invoices, pull sales and financial reports. Working with government agencies that frequently like to audit, it is helpful to pull these comprehensive reports. These reports provide a top level view of the company and show insight into future financial decisions.

Quickbooks Pro lacks in the inventory department - we use it only for financial information.

For what Quickbooks Pro offers, it is highly intuitive and organized well. It has been easy to teach to others and I seldom run into issues. In the past, customer service has been stellar but the past few times I've reached out it seems they've moved to a foreign call center that offers little help. Their wonderful customer service was what compelled me to refer others to the software, but now I do so with hesitation.
  • Organize expenses.
  • Pay vendors.
  • Create Financial Statements.
  • Easy to reconcile bank statements.
  • Inventory!
  • Need capability to input sales orders.
  • Customer service.
First I would ask, what does the company provide? If it does manufacturing I would almost immediately say no. Tracking inventory is too crucial and this software only makes it more difficult. Then I would ask what size is the company? This really seems tailored more to small companies that do not have a lot of information that needs to be input. I would also ask if the employees are local or work remotely? Quickbooks Pro is desktop that can be shared through a connected network. If workers are remote, QuickBooks Online would be the next obvious option but I do not have much good to say about the online program.

I have a small start up recruiting business, which has some initial balance sheet set entries and then a low volume of monthly activities. I was looking for a general ledger and reporting application to meet this need.
  • The ability to attach documents and files to transaction is great. IT is nice to have all of the relevant documentation in one place. This eases subsequent review, such as in an audit.
  • The ability to easily download reports into excel, either new or existing files is simple and effective. It facilitates having information is more than one place, which goes against the goal of having everything resident within QuickBooks, but I may be overthinking the situation.
  • I had used QuickBooks about 7 years ago when I was accounting for the wind-down of multi-million dollar corporation after a merger, and it easily met all of the ledger and reporting needs in that case. I'm an accountant by training, and am experienced setting up closing routines, schedules, entries etc. The ability to initiate, track, summarize and report on recurring and adjusting journal entries in QuickBooks Pro is confusing at best. I didn't have this issue with the previous version.
  • The downloading and updating of bank data especially, I use the free version of interface with PNC, is more confusing than seems necessary. I have used Quicken since it was introduced in the late 90's and the ability to load transaction data from banks/credit card systems is critical, and Quicken's interface is much more straightforward.
  • It is more of a bookkeeping product than an accounting product. Maybe that is all I really need, but its flows are not intuitive to me.
I suspect that if you are looking for a basic bookkeeping solution, and don't have any background in accounting, it is probably a fine product. My concern is that if the business grows in size and complexity it may soon run out of capabilities, at which time you will have to convert to a more robust system.

We use QuickBooks Pro with many of our clients. Our staff members are Certified QuickBooks ProAdvisors. QuickBooks Pro is a great program to use when you need extensive job costing. We offer monthly bookkeeping services for clients on QuickBooks Pro, set clients books up on QuickBooks Pro, and troubleshoot when clients have problems with their accounting in QuickBooks Pro.
  • Job Costing - The job costing in QuickBooks Pro is robust. Especially if you use one of the QuickBooks payroll service offerings that work within the program.
  • Reports - You have the ability to customize reports in QuickBooks Pro. You can get a report for almost anything you may need.
  • Find - I tell clients that the Find Feature (Ctrl-F) can be their best friend in QuickBooks Pro. You can search with whatever criteria you choose.
  • User Roles - There are a handful of options when setting up a new user role. It would be nice if you could limit a user within an area in QuickBooks so that they could see specific bank accounts, for example.
  • Most of our QuickBooks Pro users are using the program on a hosted server. Oftentimes a client will be working in QuickBooks Pro in single-user mode and we cannot log in. It would be nice if we could have the ability to log them out.
  • It is a desktop software program. This ties the data to a specific computer or server.
Some questions we ask are: Do you need job costing? Do you have inventory? How many users need to access the data? Are you using a PC or a Mac? How will you process your payroll? We will recommend QuickBooks Pro when their is a need for job costing.

QuickBooks Pro is currently being used in an altered state by our organization. Instead of using one account, we use multiple accounts to track individual grant funds. Each grant has its own account. We do not use the time tracking/payroll feature within it. We strictly use it for the reports and to track expenses. It functions very well for this, however there was a lot of report customization that needed to be done to get it to match our needs.

  • Report customization is an awesome feature, however it is very cumbersome to use at times.
  • Entering data into the budget is not the smoothest. It takes some time to learn how to navigate the entering functionality.
I believe QuickBooks Pro offers a good foundation in order to customize it to match the functionality of most businesses or non-profits. Even if using a very small portion of the software's functionality, it is worth the purchase. However, prior knowledge of the software is beneficial if purchasing the software to use other than for the intended purpose.

I used QuickBooks Pro 2012 version for about 5 years at two previous companies I worked for. I also got certified in QuickBooks by Intuit training in 2012. I found the program to be great for both small and larger size businesses (one of the companies had about 400 employees nationwide, and the other only had 15). QuickBooks has many different features essential to any corporation's financial procedures: quick financial reports, easy-to-navigate home screen, online banking option that makes it easy to make sure the books are always up to date, easy invoicing and PO creation options, various payroll options that allow the company to run their own payroll or outsource it and import it into the system, just to name a few functions of the program. I would definitely recommend it.

It is used by the Finance Team as our only bookkeeping and accounting tool.
  • Automated invoicing - being able to import our transactions to generate invoices saves us days of work each month.
  • Importing bank transactions - greatly helps with bank reconciliation each month.
  • Very user friendly interface - it is a very intuitive product, training coworkers that have not used it before is very straightforward.
  • Reports - I found the reports very comprehensive and customizable.
  • The online backup of the company file has not been successful for us. This is in my experience a very important function and should work well. I had been in touch with customer service on that issue and they consistently said it 'should' be working, but it wasn't.
I find it difficult to not recommend QuickBooks, however I don't have any experience with any competitors, so I can't in all honesty award it a 10.

QuickBooks Pro is being used to track expenses, income and tax liabilities for my small business. I also use it to track time spent on jobs.
  • QuickBooks Pro makes payroll and tax liabilities payments painless. The key lies in proper set up. Once the software is set up according to your business needs and rules, payroll and tax payments are as simple as a few clicks.
  • Tracking and invoicing time and materials based jobs is completely painless with QuickBooks Pro. Associate purchases with jobs and pass the marked-up costs along to your customers. Record time spent on jobs and use the data for invoicing your customers as well as paying your employees.
  • QuickBooks Pro's ability to tie all transactions together makes a business owner's life easy. Create estimates, turn it into an invoice for the customer, track job costs and time and in the end, check if the job was profitable or not.
  • The only thing that could be improved is the version for Mac computers. I am a Windows based computer user but have clients who are on Macs, which I perform bookkeeping services for. I've noticed the functionality for the Mac version is lacking a little bit.
I cannot think of an industry or business size that will not benefit from purchasing QuickBooks Pro. By making a habit of using QuickBooks Pro on a daily basis and recording all business transactions, the end of year tax reporting is far less scary!

QuickBooks Pro is at the heart of the organization, but it is not directly accessible to folks outside of the accounting department. It is the only accounting / banking software in use and the only financial reporting software in use.
  • Connecting to Banks for Easy Download of Transaction Detail. QB is the leader in bank integration, and the "DIRECT CONNECT" feature is worth every penny that your bank will charge you (Typically $10/month).
  • Connecting to other Apps from Intuit and 3rd Parties. Intuit leads the way in getting 3rd party software companies to write apps that integrate into and/or synch with QBooks.
  • Eliminating Stupid Mistakes. QB Pro has built-in intelligence that can save you hours of heart-ache. Because it is a full-featured accounting software package, you can do nearly all accounting functions with it -- which also presents the opportunities for mistakes. But QB does a pretty good job of not letting you screw up some of the most important tasks.
  • Inventory -- no inventory functions are offered on PRO... you'll need PREMIER
  • Multi-currency -- again, not available
  • More than 3 simultaneous users -- not possible, sorry!
  • No Sales Orders, Estimates, Job Costing, Progress Invoices, or Change Orders
QuickBooks Pro is never my first choice. Even when inventory and multi-currency are not an issue, you'll find that the reporting and management tools available from the QuickBooks ACCOUNTANT version are far superior. You'll spend a bit more now, but you'll save 100 times more by having faster, more efficient tools, reports, and insights for managing your data.

  • You do not have to be an accountant to use this software, although a basic understanding of the principles of accounting will keep you from making some mistakes, the software does a very good job of notifying you when you do something non standard or wrong. Just about anything you do can be undone fairly easily.
  • Intuit has done an amazing job of opening the software up for third party developers, there are few accounting packages that have anywhere near the number of addons that can tailor the software the way you want.
  • A properly setup and used system will make it very easy to and less costly to do taxes. In some cases you may not need a tax accountant to do your taxes, although I prefer it as a check and balance to my work.
  • The ability to send notices such as Invoices, Statements, etc and also integrate with Microsoft Office make it easier to handle collections and stay on top of maintaining cash flow.
  • The attachment of scanned or other documents types makes it easy to check the work of others and puts everything in one place so you don't have to go searching through mounds of paper for that odd invoice you need to pay.
  • Out of the box some vertical applications such as Construction accounting are lacking. Some of the Job Cost Reports are not in a format that will work for a larger construction company. Third party applications though quickly make up for this discrepancy, but you may find yourself paying more for the application than the original QuickBooks.
  • You must implement workarounds for collection and reporting of "Usage Tax" (required in my state - North Carolina, for purchase of products bought online).
  • Handling of a bounced check has always been cumbersome and confusing in QuickBooks but it was fixed in the 2013 version.
  • I have run into many clients that do not understand how to clear some of the batch printing of forms such as Invoices and Statements and as a result they can build up hundreds of pending documents. It would be nice if Intuit provided an easy one step process to clear such problems.
I strongly recommend you work with a knowledgeable professional when you are first setting up your accounting system, it will save you countless hours in the future.

  • Provides all accounting needs, including revenues (donations and fees) and expenses tracking, financial reporting, scheduled project donation tracking, and interfaces to support functions, such as Simpleport which interfaces Paypal (donations) to Quickbooks.
  • Set up could be easier, especially for non-financial folks. Report views could also be more intuitive.
Quickbook's class system (providing the ability to create classes for each project that our non-profit funds) is ideal for our needs. Partnered with Simpleport for Paypal, automates this otherwise highly manual process. Reporting by Class is also highly valuable, as we track how much each of our projects is owed at any point in time.
