Workday Adaptive Planning is being used by our entire company. The admins of the system are on the financial planning and analysis team. Each budget owner goes in to fill out their department's budget first, which is then reviewed by the FP&A team/CFO and there are typically three iterations of going back and forth on the requested options. This is way better than how we previously budgeted, which was on an Excel spreadsheet.
  • Forecasts very easily
  • Setting up formulas to auto populate certain areas makes it much easier for budget owners to fill it out.
  • Collaboration between the FP&A team as well as the budget owners is all done within Workday Adaptive Planning rather than through team messages or emails. Much more efficient.
  • There have been some issues with the mapping between Workday Adaptive Planning and our accounting system, Intacct, that has required additional support beyond what we were able to do in house.
  • Some of the formulas break due to budget owners not knowing what they are doing. This has been fixated with updates to Workday Adaptive Planning over the years but it still pops up every once in a while.
  • Better reporting functionalities.
I think the system has come a long way in the 4+ years we have used it and it continues to get better and better with each update that comes out. I think there are still some areas for improvement (reporting, locking down cells, etc.), but overall I would recommend this to colleagues.

  • This allows us to be more future focused
  • The reporting using Microsoft Excel is useful at times but also breaks regularly due to formula errors and updated CoA on the G/L.
  • Allows more timely feedback through the system to the users
Workday is the only software system (outside of Excel) that has been used by Vera to do our planning and analysis. We have just opted to move to Workday Adaptive Planning for our accounting system, payroll, and supply chain with the hopes that it will make our planning that much better and more precise.
We were able to implement a company wide requirement to answer any questions related to variances directly within the Adaptive platform for ease of use by budget owners as well as the FP&A department. Additionally, we were able to use Office Connect to build out reports and analytics for our board to easily see how we have done against prior months.
Adaptive made our planning process much more automated as well as easy to use. Budget owners are able to see expenses against their budgets in real time as we have our accounting ERP directly connected. The ability to directly input comments related to variances has streamlined the monthly review process for all budget owners.
Cross Country Consulting was great to work with. They are very knowledgeable of Adaptive Planning and how the system can work to its customers benefits. They were very easy to get in touch with and very communicative along the entire process. If going with a third party vendor, I would highly recommend using Cross Country.
We transitioned to a new accounting ERP that we were able to seamlessly connect to the new ERP (WorkDay). Adaptive Planning regularly updates its platforms so one area of concern is the systems that are connected to it. At times, any updates to AP can impact the connections so being cognizant of that is crucial.
Implementing new systems is always a difficult task but third party implementers are nice to use and they have extensive knowledge on the impacts each system it is integrated with and the business needs to ensure a seamless integration. As noted previously, be cautious when updating the AP system as it may cause issues with other systems that are connected.
Previously, we were utilizing spreadsheets to perform our annual budget. Utilizing Adaptive Planning has vastly streamlined our old process of using excel only and limited the chances of user errors.

We have the head of each department (budget unit) with access to Adaptive. This access allows them to see in real time their data as well as add notes to any outliers in the differences between budget vs. actuals. We are able to see those notes in real time on the finance side and update our information accordingly, or follow up directly with the budget owner if additional information is needed.
4
Our entire FP&A department has access from this capacity. Each of them analyze their own areas of the budget (some are assigned to clinics, field support, business units, etc) depending on their role and function. Each of these individuals regularly contribute to the analysis of the budget on a monthly basis.
  • Real time information
  • Allows budget owners to enter notes directly into the areas where expenses are not in line with the budget
  • Easy to pull into office connect for board reporting.
  • Locked certain areas of the budget to specific individuals
  • Formulas we were able to create
Adaptive Planning has been a great tool for our organization and we now have department heads who are also very comfortable with the system. This allows our budget to be maintained and updated regularly by all those involved and makes reporting to the board a whiz.
  • Third-party professional services
Cross Country Consulting
Yes
There were a lot of phases related to set up and integration as well as the chart of accounts. We implemented Adaptive first and then our accounting system. We ended up having to change up the chart of accounts in Adaptive due to changes needed in the accounting structure in our new accounting system. During the initial build out phase, there were multiple steps around getting our information into Adaptive and then designing the different functions and analyses we needed to have performed where we started building that into the platform.
Change management was a minor issue with the implementation
Getting department heads on board with the change in our budgeting process was the greatest impact on change management and early adaptation. Once we were able to start including comments directly into the system, made department heads buy into the process change big time. That was the biggest factor in getting other departments buy in to the new process for reviewing your expenses on a monthly basis.
  • Chart of accounts
  • Determining the proper work streams to include in Adaptive. This was all done from scratch.

We use Workday Adaptive Planning for budget and forecast planning, reporting (utilizing both web and office connect excel reports), and analytics. The system is primarily used by finance now, until we role it out to other departments in our business; which we’ve already begun to do. With Workday Adaptive Planning we are able to compile large amounts of data from the bottoms up but also have the flexibility of modeling at a high level. The system is versatile and can be used for not only financials, but headcount, and performance data as well.
  • Creation of Versions.
  • Reporting and Dashboarding.
  • Model Flexibility.
  • Web reports within Dashboard would be great.
  • Version to Version referencing within model formulas.
  • Calculations within reports that allow you to add data across different versions.
Workday Adaptive Planning is well suited for building plans from the bottom up and involving other departments within your business. You can set up processes that allow you to track from within the system, the progress of the departments and imputing the data that’s required. The system is less appropriate for static planning, as the system is suited to be used for active planning and forecasting.

  • Streamlined planning process.
  • Reduced time in reporting through automation.
  • The ability to create versions.
I have not used these tools in depth. AI and ML are two areas that Workday is focusing a lot on in the past releases of new functionality. I think our organization will start to use them in the near future. We expect that the tools will help catch errors and improve our review.
Workday Adaptive Planning is centrally used in FP&A at this time. Therefore it hasn't hit many business processes outside of finance. As it relates to finance, Adaptive has helped improve processes around inputting data and reporting on that data efficiently for both budgets and forecasts. The review process for reporting and forecasting has also greatly improved.
Workday Adaptive Planning is overall very versatile and easy to use. The formula writing and syntax takes some getting used to but if you are intentional about how the system is set up then learning how to read and digest complex formulas can be straightforward. It’s also easy to navigate the system through sheets and assumptions, some systems aren’t that way.
I haven't used a separate planning tool in great depth like Adaptive. Our company used Host Analytics prior to Adaptive but I didn't have a lot of experience with it. The other software I've used for planning is Excel. Excel is obviously capable of a lot of complex lookups and calculations but it comes with plently of limitations.
We focus on a centralized planning team, so others outside of finance don't use Adaptive. I believe Adaptive has great tools to allow enterprise-wide planning, but I can't speak on how well it works. The tools we use for workforce, revenue, and operational planning do work really well for our purposes.
We perform a monthly reforecast using Adaptive and it works well for our strategy. We generate the forecast using different types of sheets and at times use planning dashboards to streamline that process. We are then able to publish the plans to workday to allow those forecasts to reach the business.
We regretted trying to integrate massive amounts of operational data. We wish we would've integrated our data at a higher, more simple level. The data that we tried to integrate was our inventory detaisl report which is a lot of information. It is better suited in Workday's other product called Prism Analytics.
I think there's a lot options for scaling Adaptive with your busiess. There's a way to do this with levels or dimension in a single instance. Or you can structure your model by creating multiple instances of Adaptive and then integrate your results to a parent instance. I think it's feasible to use the tool for a large organization.
The UI is easy to follow and understand. The integration has helped us move and validate data in new ways that saves time and energy. Our business changes regularly and we need to be able to pivot for that change timely and efficiently. The Adaptive integration, after having been set up and at times with the help of IT to connect with our systems, is finance owned and modified as we see fit. Having the integration understood by administrators of Adaptive is a valuable tool for solving complex reporting and planning needs. We find the integration to be very important to how we report and plan on our business.
We used Miscrosoft Excel prior to Adaptive Planning. The transition has improved our processes massively. We're able to plan TOGETHER instead of in silos. This makes it easier to communicate on the same page. The reporting functionality has been hugely impacted as well. It takes a matter of minutes to generate a deck where it took hours prior to having Adaptive.

Data-driven, problem-solver, general curiosity about finance systems, accounting and finance knowledge base are all valuable skill sets to keep in mind when supporting Adaptive.
  • Using the tool to be able to generate ad-hoc forecasts and plans
  • Using Adaptive for monthly reporting and budget deck preparation
  • Ability to generate flexible plans and change assumptions on the fly if needed
  • We've started to use it to generate a statement of cash flow
  • We use it to store a lot of our debt information to feed reporting and our plan
  • We've utilized dimensionality in unique ways to assist in easy planning/maintenance
  • Forecasted Cash Flow
  • Improved Tracking of CapEx
  • More in depth modeling of Personnel
For one we're in way too deep to not move forward with Adaptive. We're integrated with Workday, we do a ton of reporting with Adaptive, and it's working very well for planning and forecasting. No reason to look back or change course.
  • Implemented in-house
No
Change management was a big part of the implementation and was well-handled
We learned that extra communication about the changes that were taking place was necessary. With all of our department keeping very busy, it was essential to take extra steps to make sure the changes taking place were understood by all.
  • Integrating the data with Workday was time-consuming simply based on how different the two systems were at the time of our implementation.
  • Recognizing that some of our Workday data was messy made it difficult to complete work timely.
  • Integrating with large databases ended up failing because it was slowing down Adaptive. Adaptive planners will tell you that Adaptive is a planning tool, not a database.
The online support for Workday Adaptive Planning is very helpful. I go there at least once a week to find answers to questions and they’re usually very easy to find. If i’m unsuccessful in finding the answer, I email Workday Adaptive Planning support and they’re quick to answer, willing to help, and provide great clarity on the answer if you need it.
We did not purchase premium support. The support we receive from the Adaptive support team has been solid!
No
I won't list any specific examples, but generally when I reach out to support they do a great job of doing research if they don't know the answer off-hand. I always feel valued when reaching out to support and the service has been fantastic.
  • Workday
  • RAMCO
  • Sabre
  • Adaptive
  • Spreadsheets
The integration of Workday to Adaptive and vice versa was straight-forward to set up through Adaptive's user-friendly interface. It took careful following of documentation produced by Workday. The Workday integration was setup and owned by finance which allows us to easily make changes as needed. RAMCO and Sabre required the help of our IT integration group, but from an Adaptive set up perspective it was still owned by finance. We also user boomerang logic to have the Adaptive integration bring in data from Adaptive and then send it back in. Lastly we use spreadsheets to upload data to the integration. Both Adaptive and spreadsheet data sources were easy to achieve.
  • PowerBI
To my knowledge, PowerBI is not supported.
  • File import/export
  • Single Signon
  • API (e.g. SOAP or REST)
  • Javascript widgets
  • ETL tools
To my knowledge, the list is complete.
From the perspective of a person with finance and accounting background, my advice would be to not get freaked out when hearing the word integration if you're going to be someone who helps manage this product (assuming you purchase it). The integration framework is logical and makes sense. Building out tables and loaders actually become an enjoyable task after you have the data connection working as it should. Have fun with it!

  • It helped us streamline several different software packages into one solid platform
  • Being that its cloud-based it helped us eliminate the need to upgrade older servers and allowed us to retire them altogether
From our initial findings, Workday Adaptive seemed like it was going to be easier to get up and running out of the box and fit the needs of our company more.
It helped us significantly reduce the different types of software and platforms we used to run many aspects of our business in the past. It's nice having all these features and areas of the business under one roof finally.
This has helped us see into the future more than ever before. We continue to incorporate more and more of our organization into Workday. From goal planning throughout the year and year after year for the entire company to recognizing great performance and bringing all our benefits into one place for everyone.
We've been super happy with Workday Adaptive planning and it has helped to continue to streamline operations within the company down to the individual. Highly recommend it.
So far we have not hit any use cases that we have not been able to apply this to or reduce work that we had to do in the past.
Although Workday is complex integrated with popular programs and methods was straight forward and was simple to setup internally with little help needed.
We've transitioned several on-prem solutions to Workdays cloud based solution which has helped us achieve our overall goal of shutting down data centers that we no longer need as we transition many aspects of our business to the cloud.
