Asana

Asana functions particularly well in scenarios with well-established teams with well-established processes and a mature SDLC. The reason is that Asana can be configured to do many, many different things, and be used in many, many different ways, and with that power comes a lot of responsibility to figure out your process before you try and automate it. It's software, not magic.

Freshsales CRM

Freshsales is great for a CRM with integrated telephony, where users are of an entirely Inside Sales team. It is also very strong if you value a CRM that allows you to customise fields, descriptions, and displayed information for all of your Leads/Customers/Accounts/Deals.It is also great if your users have technical backgrounds, as the customisation and manual configuration of automation steps can be somewhat cumbersome. It isn't great if you are not happy to use their webapp to replace your email client (It works well for sending and receiving emails, but if you switch back to Gmail and open a sent message it is marked as read by the recipient, so it is important to only stay within the Freshsales client for reviewing sent emails - at the time of writing). For those who rely on outside sales teams, or want a solution that plays nice 'out of the box', I imagine you might find Freshsales to be a little difficult to use.

Pros

  • Report of tasks added to tasks completed to see how productive the team has been with a particular project.
  • Individual tasks so you can see how swamped/not others on the team are.
  • Adding a project/task to multiple projects is awesome. We have a general ALL marketing projects in one project and then separate them out in another (email, social media, etc.).

  • Phone and Email integration
  • Ability to fully customise the platform, fields, and workflows
  • Value for money

Cons

  • I wish Asana had more customizable reporting. One of the benefits of using Asana is that you can track tasks and actually use those tasks to build repeatable processes, but decoding reports can be challenging.
  • Asana's printing functionality needs improvement. You can use Asana tasks to create agendas, for example, but it's not possible to print a clean agenda to share with a group who's not on Asana and/or doesn't have their computer at a meeting.

  • The interface can get complex and it is not very intuitive in the beginning in understanding the difference between leads and contacts and accounts.
  • Trying to label your pipelines or do a customization for you dropdown views can be painful and if you accidentally delete it, there is no button to recover from it.

I had a positive experience with it. It was easy to learn and my team really enjoyed collaborating it and assigning projects through this tool. If I could get all staff involved and provide incentives for all of us to use the tool, we would be probably 2x more efficient with our productivity. Everyone has their own tools to manage projects but we should stick to just one tool like Asana.

Lots of useful features, if you can learn how to use them and actually implement it across enough of the team to adapt it

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

Alternatives Considered

Outlook Outlook can track tasks. However, it's not very collaborative; you can send tasks to other people but you can see what them after that. This feature as part of Outlook was a disaster. The only benefit that currently exists is that it was free; it never really fit in with what we wanted.Wunderlist When we looked at this, it was a better application for tasks than Outlook. However, it still was really hard to use as a team (it seemed better suited for an individual). It was simpler to use (and lacked some of the depth of objects) that was a positive but we couldn't figure out how to get the mobile app and the desktop app to sync really well. TodoTXT This was the simplest product to use. It also meant that it lacked all the nice features of the other application.

Close.io has less features, costs more, and equally has an inside sales team focus, rather than being just as suitable for both inside and outside sales.Having said this, Close.io has important features and smart automations, a cleaner interface (easier for non-techs to use), and has very strong integrations using Zapier, plus SMS-based support.Where Freshsales won for us is that it ended up being nearly half the cost of Close.io, as well as included telephony support for our local country (Australia), whereas Close.io comes with USA/Canada numbers and requires the top pricing tier to include calls to other countries. We needed a telephony system that worked well for making and receiving from Australia.Freshsales won for us because their pricing is at a good point, had the telephony requirements we needed, and all the features that we required were good enough, or we found a workaround.

Return on Investment

  • Productivity was greatly improved; the average person was able to manage and communicate their workload extremely quickly.
  • Average response time from product management to our account management team went went from an average of 3 hours to an average of 35 minutes (team was better managing it's workload).
  • Average response time for customer inquiries went from 2 hours to 15 minutes (team was better managing it's workload).

  • Freshsales has saved us at least 50% of the time to store and retrieve leads data for future marketing.
