Mailchimp

Mailchimp is well suited to a situation where you have a stable or known set of recipients to whom you will be sending email updates on a regular basis. Mailchimp is well suited to situations where a lot of information needs to be sent to a lot of different people and organizations at specified times in the future.Mailchimp is not appropriate for one-to-one communication - the higher the scale of interactions from 1 to many the better the software performs.

Sugar Sell (SugarCRM)

If your organization has needs or requirements that it seems cannot be met by the industry leaders in CRM, I would urge you to talk to Sugar Sell (SugarCRM). They bent over backwards to work with different groups of people within our company to prove to them how committed they were to making the product work for us. It seamlessly integrates with our email and other applications we use frequently. And they helped us configure detailed reporting for our very complex sales territories and organizational structure. If you are looking for a very basic CRM tool that doesn't require much configuration, Sugar will still work for you, but you certainly have other options.

Pros

Mailchimp

  • Easy to use and updates to application have been very customer focused.
  • Love the amount of services you receive from them at absolutely no cost to you. You can add up to 2,000 subscribers for free.
  • Compatibility with our CRM and Hubspot which enables us to target our email marketing efforts.
  • Great customer service. Any time issues arose or questions needed to be addressed, their customer service team was very responsive and helpful.
  • Outstanding email analytics which allows us to measure many metrics for our email marketing campaign.

Sugar Sell (SugarCRM)

  • Very easy to set up and configure reports among teams. Very customizable and allows me to build reports that illustrate how the team is performing.
  • Exporting granular reports into excel for in depth analysis and actionable measures.
  • Ability to mass upload lots of information and leads. Important for our team to import lots of information on prospecting clients.

Cons

Mailchimp

  • Phone support. While the chat function is extremely effective, it can be helpful with certain questions to speak with someone over the phone.
  • I'd like the ability to unsubscribe someone to all campaigns. Currently, if someone unsubscribes to a campaign, they will never receive that exact campaign again. But if their email address is on multiple lists or gets added on another list by someone who is unaware that they unsubscribed, that person will receive another email. Many recipients have been angered by this, telling me that the unsubscribed - which they did - but I have to explain that the process is not universal, and sometimes we forget to include the "exclude" list.
  • The payment structure goes by the number of email addresses that are stored on Mailchimp, so to stay below a certain billing threshold, I have to periodically delete lists of stored email addresses. This gets to be cumbersome because I regularly need to delete and re-upload many of the same lists of people.

Sugar Sell (SugarCRM)

  • The back-end programming (logical hooks) for advanced customizations could benefit from a more user-friendly interface
  • General layout could be improved by the addition of modern templates to customize the standard look and feel
  • Support communities could be further improved with the addition of videos on how to do specific configuration, modules.

Our organization will continue to use Sugar as long as it remains cost effective and it addresses the majority of our needs. I will, however, recommend looking into other options once our needs increase and there is additional budget for some bigger named and more robust platform options. I feel if the application was friendlier to end users we would get better productivity as well.

The interface is really easy to use. The email editor works great and helps smooth out the issues you have when creating emails for the many different email clients out there. It's also easy to schedule and deploy emails within the platform. Email reporting is also great.

There's a learning curve associated with Sugar. Right away, it's not as easy as an out-of-the-box CRM. Once you learn how to use Sugar, the system fits what your needs are. With any other CRM, you'd be trying to figure out how your company can best fit the CRM. You don't want to change your business cycle for your CRM, the CRM should fit your business cycle.

I have, in the 4+ years that I've used Mailchimp, never seen an issue that restricted the use of their software/tools. I don't know of a single time when they're system crashed or went down. I could be wrong, but I honestly haven't experienced any issues with outages, errors or unplanned downtime

I haven't noticed any slow speeds from Mailchimp or their tools. I think the landing pages load quickly and look nice. The email reports and editing operates smoothly and doesn't take time to load. Additionally, when I use Mailchimp in conjunction with Zapier + Hubspot I don't notice any drag between any of these tools

The customer support clients really know about their tool and they were able to help my with all of my questions and problems, which over the years were quite a few. They're even motivated enough to drop a funny line here and there which perfectly matches their corporate language on the website.

Most of our support comes from the documentation on the SugarCRM web site. There is lots of documentation available, but sometimes, it takes a little time to find the piece that pertains to your system. The SugarCRM software has changed a lot over the years and documentation for all of the versions is still available on the web.

Study, study, and study. Be prepared to train everyday until all processes are flowing nicely. The CRM is the elephant and figuring out where to take the first bite can be a challenge. But there is only one way to eat this elephant, one bite at a time. Systematic planning is very important.

Alternatives Considered

Mailchimp

The automation features in Mailchimp vastly outrank any other mail service I've tried so far, and seeing as we often try and teach our clients how to utilize it, I also really appreciate their deep and constantly updated tutorials and documentation. Whenever I've had an issue or problem their support staff, whether over chat or phone have been really helpful and invested in helping solve the issue.

GoldMine was an archaic platform. Adding custom fields was difficult. Reporting was horrible. Sugar CRM blows it out of the water. It's also easier to use and navigate. Having all of the data available from any browser is also a tremendous advantage compared to our private installation of GoldMine which required their software and a VPN connection.

Mailchimp over the years I've used it has grown in leaps and bounds. They have added so many additional features than were previously available. They are truly an all-in-one marketing platform now.If you're a small operation and just want to add email to your marketing efforts, they're there for you. If you're a larger operation and want to start sending postcard advertisements, they can do that. If you'd good with that and want to kick up your marketing by going social, you can do that on their platform. They are truly able to be as small as you need, but also get quite large in whatever it is you'd like to do through their system.

Return on Investment

Mailchimp

  • Its affordability keeps campaign expenditures low. For the first year of the campaign, we were able to utilize the free service which saved us about $400 on administrative costs. We have just recently upgraded to a payment plan.
  • The ease of using saved templates cuts down on staff time, and even if we decide to use a new template, customizing a template is pretty simple.
  • We have been able to raise $5,000+ from our email campaigns, and that was during the time when we weren't paying for the service.
Fredrick Doss, M.A. | TrustRadius Reviewer

Sugar Sell (SugarCRM)

  • Just one of our customized modules allowed us to automate multiple processes and saves us on average 500 man hours a year.
  • It allows each user to have a 360-degree view point of our databases at any given point.
  • Incorporating some of our onsite operational pieces within SugarCRM has given us the opportunity to reduce the number of places information is stored to one.
