Overall Satisfaction with Exclaimer

Exclaimer lets us set up custom signatures that pull data from Exchange Online/Azure AD. We'd been using Exchange transport rules which work great in a way but also have some limitations. Exclaimer is a lot easier to manage than these rules, and the signatures are vastly more versatile. You can even include the user picture from Azure AD if you want. You can have multiple different signatures that apply in different situations, and it solves the problem of conditional separators, where for example if a user didn't have a physical address set on their account, they would still get a couple of commas in the signature where the address should be. Exclaimer comes with a decent signature viewer which will let you put in the sender and recipient and see which signature would be applied to that mail, what it looks like, and why that particular signature was chosen.

  • Apply in the cloud or with Outlook plugin (if users need to choose/see the signature)
  • It's hard to keep track of so many signatures and who gets what, although the folder system does help (and so does the sig tester/troubleshooter)
  • I had some trouble getting the sync set up to tell it which emails to send through Exclaimer and which just go out of Exchange directly
  • Versatile signature editor takes a little while to get your head around
  • Signature settings for each signature and each folder - sometimes possible to assign a user to just one of these and they then don't get the signature because they need 'permission' for both the containing folder and sig. This is OK, but can be tricky.
  • Simplified signature management/allowed us to do some things we just couldn't do without it
  • Given us more options for future improvement, when we can collaborate with our branding team and set up signatures for the whole org
  • Greater exposure to local social media links without everyone having to create messy manual signatures
We've used the different templates for different user types and specific individuals. We've not yet used the time-specific ones although we occasionally do have specific banner ads that we could run separately using that feature, it's just not happened yet. We haven't added appointment/survey links as I think these are add-on licensed options and we haven't really needed that functionality. But the general flexibility is one reason we wanted to use this, most of our signatures fit into one template but we have a fair number of specific cases that need their own totally different structure and this lets us do that.
I'm assuming that the sync of the user attributes as well as the mail flow are secured; I haven't really got any info on how we have benefitted from their security other than as far as I know we haven't been in a position where this has been an issue, which I think is exactly as it should be.
To be honest we could have gone either way with this decision. Our cloud partner happened to be reselling Exclaimer and we were expecting a slight discount but that didn't actually happen. I don't quite remember whether there was anything in particular that would have pushed us one way or the other, but I could have seen us using either one of these two choices.

We're still a little early in the process actually, although it's been a year - the intention was to move more people onto it than we initially have. It's been very useful for the few exec members we have as they were harder to set up individual sigs for in Exchange; this way it's a lot easier to get them totally customised sigs with the right social media setup and so on. We also have a set of shop managers who share a signature template, and in fact the rules for how parameters are used are versatile enough that we can have the social media links use a common root URL with a custom attribute that tags on the end to provide the shop's local social media links. So we have 2 or 3 groups of signatures, and it's not been too hard to keep track of them.
