Use Cases and Deployment Scope

Use it for all of our Credit Card reconciliations and all of our out of pocket/mileage claims.

Saves time for us all - with the easiness of just taking a photo and uploading this to the app, where the cost is already sat after being imported from our bank directly.

Employees can submit expenses quick and easily compared to the old paper based methods.

Usability

Easy to use - photos are easy to upload and attach to receipts. Claims are easy to process and submit to your approver.

As an administrator, the reports are easy to create and edit - they can easily be updated and re-run if required. Easy to then pass onto payroll providers and/or post into our accounting system.

Support Rating

Always been able to assist with creating reports, setting up users, setting up profiles.

They usually reply to queries and deal with our requests in a very timely manner - which is perfect for our company that is in a fast moving industry.

I have found that staff who have had problems have submitted queries and had responses quickly also.

Time Savings

Used in expenses approval, out of pocket claims, credit card reconciliations.

Requirements

Paperless, Linking in with credit cards so they could see live transactions, making it easier to track and follow, good customer service when we were looking into it.

Alternatives Considered

SAP Business One

We had a demo with SAP and meetings with their staff.

It was found that the use of the system, the customer service team, the team in general, the design of the system, the direct integration was all much much better with Webexpenses.

The costing/pricing structure was easier to understand and generally what we wanted to pay.

For lots of staff who travel a lot, have a variety of expenses this is a great product that saves them having to collate lots of paper. It reduces the risk of lost receipts and unknown items. I think, for companies who want a quick easy way to view expenditure, track credit cards and deal with out of pocket claims easily this is perfect.
