Overall Satisfaction with Ziflow

At Princess Auto, we use Ziflow to proof the various documents our design team creates. In the past, we used pdfs on a common server, and it was a mess. Every person reviewing the proof would have to create their own copy so they could put their own comments on it. This meant we had to look at dozens of documents, many of which would have the same comments over and over. Then, the process would start all over again once we finished addressing the comments. With Ziflow, everyone is commenting on the same document, and everyone can see what comments others are leaving so we can have discussions about them inside the proof itself, the proofs are saved online rather than on the server so people can look at them even if they're at home, and new versions of the proofs replace the old ones so even if we go through six rounds of revisions, we're still just dealing with "one" proof.

  • Time saved - designers only have to open 1 proof and go through the comments within.
  • Efficiency - when you open a proof on Ziflow, you can easily see if someone else has already noticed the issue you want to comment on and if there's a disagreement, you can have conversations within Ziflow itself with other people.
  • Clarity - Ziflow has multiple ways of making comments, and you can even attach screenshots so it's easy to communicate what changes you want to others.
It had never dawned on me before we used Ziflow, but a big problem with the way we used to get people to review our documents was the deadlines. We would save the documents in a common folder and tell people they had to review them by this date, but there was nothing stopping people from making a copy of the pdf on their desktop and then emailing it to us whenever they wanted to. Now, not only is the proof in one central location, but we can clearly see who has opened it, who has commented on it, and who has approved it and you can set the proof to automatically lock once a deadline is reached, forcing people to follow the deadlines we give them. With everyone in one place, it's much easier for us to address everyone's concerns and then move on to the next stage in the process.
With a single proof saved online, Ziflow has everyone involved in all of our projects working and looking at the same document at all times. No one is accidentally grabbing an old version and wondering why their suggestions haven't been addressed, there's no need to send requests through emails that could easily be missed and might be sent to the wrong person, everyone is always involved in the right document, and the tools within Ziflow make it much easier to communicate what changes need to be made, who agrees with those choices, what the alternatives are, etc.

We still use Adobe Acrobat, but only to view pdfs and to create editable forms. Anything proofing-related, we use Ziflow now, and I don't ever see us going back.
Ziflow is best suited for medium to large organizations, the kind where 5 or more people from different departments will be commenting on a proof, projects are created via briefs/dockets that are then assigned to another department, projects are likely to go through multiple revisions because the people who initially assigned the work are not graphically inclined, etc. For freelance designers who are dealing with just one client at a time, it would be overkill.

Using Ziflow

Considering how clumsy our proofing process was in the past and how much of an improvement we've seen since adopting Ziflow, I don't see us going back - or changing our software - any time soon.
