If you do not have a large budget and are a large organization, I would steer clear of Actuate. If you are looking to do very complex washboarding, I would not use them. Your developers have to be very skilled to work with this. Plan to bring in consultants if necessary to help your process. Adhoc reporting is weak. If your pricing is user based and you expand, this could be very expensive.

Tableau Online

Tableau is very well suited for large organizations because of its cost. It has a great visual design. It is particularly useful when there is data integration with other software required. Dashboards come out very well in such cases and help make sense out of data. These dashboards are used on a frequent basis once a baseline or a parameter is defined. Trend analysis and forecasting are a key to using this software and this is where it comes in very handy.

Pros

  • End user ability to customize Business Intelligence Reporting Tools (BIRT)
  • Actuate Support is usually prompt and helpful.
  • Ability to embed in other applications, has extendable code for authenticating/authorizing users.

  • What I love about Tableau is that I can filter items by SKU performance. We have tons of items that feature different colors and designs and I am able to see which option is selling the best and provide that information to our buying team.
  • Being able to see the currently available units, excess and inventory projections has saved me the time when it comes to picking which item I should feature when I am merchandising.
  • There are many filtering options within the tool so it is easy to personalize data and export results that you need.

Cons

  • The debug tool that came with the Actuate 8 developer was poorly written in my opinion; compiling a report could be very difficult when a number of functions were being called.
  • There wasn't any reporting that could be run to download Actuate utilization statistics. Analytics had to be done by manually reviewing who had been running reports.
  • At times when the Actuate Server would become overloaded the only solution was to restart it. There wasn't a way to clear up the list of pending report requests.

  • Online zooming into small data gets very hard to see and very grainy
  • Viewing raw data sources
  • Explanations of calculations

We have invested much into the software and hardware that supports our reporting platform - Actuate is a staple in our environment.

Breadth of Deployment

Actuate is used extensively as a developemnt tool and by 10s of thousands of end users. Virtually every line of business in our large financial institution uses Actuate - many who are unaware because the components are built into our home grown applications.

Alternatives Considered

I've used JReports and Actuate is very similar but seems to have a lot more customization features for the end user of BIRT reports.

Tableau Online is much faster to get data sets integrated and being used, accordingly. From almost day one, we were able to integrate our data warehouse and pull data directly into Tableau Online. This made us aware of some of the data details that we had been missing and were able to provide clear insight into our audience's behaviors.

Collaboration and Sharing

LDAP and Active Directory can be integrated. Access control can be extended with web services but it can be complicated. Different types of users can have different permissions and reports can be hidden from some users. Reports can be exported in a lot of formats including microsoft formats, and pdf. Interactive viewer is very powerful.

What I've found, when I need to get the details and share them, is that I have to download the image, then put it into a PDF or other format, to then share. I know that there is the embed feature, but that doesn't help much when trying to provide quick information, that's confidential, to the management team that doesn't have always have a login to Tableau Online, but they need the information that I'm providing.

Data Integration

OpenText Analytics7.7

This was a feature of Actuate I almost forgot. You could connect to number of different data sources across the organization from Oracle to MySQL and just about everything in between. Also if you have multiple environments of the same system (DEV,QA,PROD) you can change the connection string each time you compile the same report to promote changes. This was easier then changing the connections in alternative software like Crystal Reports

Tableau Online fulfils the basic data source connectivity needs that one would require. You can source data from multiple sources at the same time, for the same report. Tableau supports drill-down feature for data, allowing you to dig deeper within your own query results. To support real-time data monitoring, Tableau has a feature called Live Connections, allowing you to automatically import changes in your database triggered by changes in the data source. While this can be a useful feature, it limits the overall performance based on how well your back-end warehouse or database performs

Return on Investment

  • Actuate can handle 50 to 60 sub reports inside a report very well.
  • Dynamically creating the datasource, chart, graph, reports are the main advantages. We can do any level of drilling, and can create a performance matrix dashboard efficiently.
