I think that APS Online is scalable to any organization. It's a wonderful product and I have had so many managers that work with me that feel the same way. We haven't been with them quite a year yet but since we've started it has made a world of difference for us. Things to ask about- 1- Do they specialize in or can they accommodate states that you are working in and their various rules?2- What type of customer service? Do they have a call center or do they have a designated person like APS?3- How long do your reports stay in the system? (ADP "archived" theirs after a year so we couldn't reach them)

Great for teams needing a stop-start timer. Integration with task-based systems like Asana is very intuitive. Great for designers and developers. May encounter some difficulty if using independently from Asana, particularly if there are a large quantity of projects and tasks, as time tracking within Everhour uses a dynamic search field which can populate with a lot of extraneous results if you don't recall the exact naming conventions of the item you're trying to track to. The search functionality is strong, it just requires a couple of steps to get to the task you're looking for. Our company has 60+ open/active projects at a time, but much of the navigation between those items occurs within the Asana interface.Clients on retainer solutions can be tracked, but require some creative use of budget settings for monitoring retainer usage. The system may also be difficult to use for team members who are working remotely / traveling without regular access to internet, as there is no desktop app or offline functionality.

Pros

  • CUSTOMER SERVICE. They are so helpful and you get a really quick response. You don't ever sit on hold for hours on end and you get the RIGHT answer or resolution to your problem. We previously had ADP which was a nightmare so APS Online customer service has made our bi-weekly payroll runs a breeze.
  • Customizable - we were able to make any adjustments as needed to our different departments, types of rates, types of vacation accruals etc. With the great customer service we can explain exactly what needs to change and they take care of it right away.
  • Transition from your old provider - APS Online worked with us and pulled in all of our old information. It made our workload a lot easier. They even helped pull reports for us to use from our old system which has helped us complete various workers comp audits.
  • Reporting - through APS Online you can create SO many custom reports. Its easy to use and very intuitive.

  • Integration with GitHub let's you log time directly from GitHub dashboard.
  • Browser extension is super useful since it's a quick way to start logging time on some task.
  • Mobile app is also particularly useful as it let's you log time when you are not sitting at your desktop.

Cons

  • A lot of items are manually entered especially in the time and attendance system. If the payroll system could automatically pull from time and attendance that would be great.
  • It would help if the Tab or Enter key would take you to the next entry where you could begin typing without having to backspace the keys to the beginning of the box.

There is one primary account representative that we contact on a regular basis. If she is unavailable, there are others on her team. It does seem that our implementation was more complex than others that have been installed, so fixes are not as easily remedied.

Alternatives Considered

APS OnLine is a cost-effective solution compared to the other big name timekeeping/payroll software options on the market today. A quick demo will show the benefits of this simple, easy-to-use yet powerful solution. They are also quick to address issues and to work with the customer to create custom reports. Overall, a great choice

Generally found the Everhour integration with Asana to be much easier to use, scalable, and valuable in terms of reporting insights than the competition. Mavenlink was too much of a lift to manage; Harvest's integration and reporting functions just weren't as clean or streamlined as Everhour's (though I haven't checked if Harvest has updated since a couple years ago).
