APS

They are more suited to growing, nimble companies. They are soon adding employee approval to time cards and checkin by facial recognition. Additions and changes to improve functionality might not work for a very large company like GE.

Everhour

Great for teams needing a stop-start timer. Integration with task-based systems like Asana is very intuitive. Great for designers and developers. May encounter some difficulty if using independently from Asana, particularly if there are a large quantity of projects and tasks, as time tracking within Everhour uses a dynamic search field which can populate with a lot of extraneous results if you don't recall the exact naming conventions of the item you're trying to track to. The search functionality is strong, it just requires a couple of steps to get to the task you're looking for. Our company has 60+ open/active projects at a time, but much of the navigation between those items occurs within the Asana interface.Clients on retainer solutions can be tracked, but require some creative use of budget settings for monitoring retainer usage. The system may also be difficult to use for team members who are working remotely / traveling without regular access to internet, as there is no desktop app or offline functionality.

Pros

  • Ease of use of software
  • Intuitive step by step process for processing payroll
  • Reporting is easily customized
John Bellini III profile photo
  • Start-stop timer — the ability to add notes / additional details and edit those details from both Everhour and within Asana
  • Integration with QuickBooks Online — bi-directional sync means I can continue to send invoices through QBO while still preparing & syncing hourly invoices with Everhour (without messing up my QBO records with weird extra account listings or service items)
  • Integration with Asana — allows for consistency and streamlines processes for my team, reducing the need for duplicate efforts
  • Report filtering — great, unique options for grouping and displaying time data, plus well-designed layouts
  • Budgeting — clearly displays project status in Everhour and Asana, and you can customize the email notification to ensure you're notifying the clients / team early, settings for budgeting are flexible and allow for different time / duration variables

Cons

  • Their tax department is the weakest department. They are quick to respond but are not always right.
  • The benefit administration still needs works. It will not accommodate all of our benefits right now or special enrollments.
  • Some of the reporting can be inaccurate.
Lynn Hooper, PHR profile photo
  • An integration with the desktop version of Asana would be useful, as many of our employees use that version.
  • A reminder when a task has been running for a while would be useful too, as the user could have forgotten to turn off the timer
  • Multiple tasks running simultaneously would be useful, as many times we solve some problems while we are reunited or complete some tasks while other processes are running.

I have been using the system for over a year now and feel more comfortable with the functionality of it. I have just recently implemented the benefit administration portion.

Support

There is one primary account representative that we contact on a regular basis. If she is unavailable, there are others on her team. It does seem that our implementation was more complex than others that have been installed, so fixes are not as easily remedied.

Implementation

APS8.7
Based on 4 answers
It would have been helpful to understand the phases of the implementation up front so I could have prepared differently for enrollments, billing, and transfer of information to payroll. At the end of the day, I'm happy with the selection and the system and anticipate I will like it better as we go along. We have done a number of other system implementations in the past few years, and this has been pretty painless, however, I've had a few surprises.

Alternatives Considered

I selected APS because of the way they responded when I initially reached out to them. I honestly don't remember all of the payroll companies that I contacted. APS was quick to answer my question with straight forward answers. They were very pleasant and always seemed to genuinely happy to help.

For a cheaper price Everhour gives you a better integration with GitHub, and more features. We've been early adopters of Everhour, and have seen the tool rapidly grow over time in term of offered features

Return on Investment

  • The switch to APS has been a positive one. It saves us a lot of time compared to our previous system.
Lynn Hooper, PHR profile photo
  • Improved accuracy and profitability of proposals, by allowing me to see specifically where we were blowing our estimates during projects (or beating them)
  • Enabled a clearer picture of what non-billable tasks were chewing up significant amounts of employee time
  • Established how many billable hours we could reasonably expect any given employee to complete in a particular time frame, improving overall time & workload management across all projects
