I would not recommend this product to anyone. This product is hard to manage, requires development in house which becomes expensive. The tool itself is extremely expensive for the features it delivers. And ultimately, the sales "bait and Switch" will occur on you, which will require you to buy more licenses or add-ins that were not planned on to get the desired feature set.

Oracle CPQ Cloud

Our primary use case, that we feel it's well-suited for, is sitting on top of Oracle Commerce Cloud to allow more variants and easier quoting in our e-commerce platform. So long as it isn't a fully custom job, this allows us to offer more products and more variants that are easier to automatically price, saving us time and needed manpower (thus increasing profits). However, setup is a bit cumbersome and not always necessary - it's not cost always effective for even a few dozen products with two or three variables each - so we're implementing in stages to allow ramp-up to greater complexity. This allows us greater speed-to-market while building up capabilities. However, without a CPQ, we wouldn't be able to offer our full product line without either wrecking the consumer experience and/or a great amount of manual effort, including greater maintenance time and costs.

Pros

  • Apttus CPQ handles complex pricing rules with ease. We have tiered pricing, user based pricing, and quantity pricing discounts. Apttus CPQ allows us to easily provide correct pricing based on attributes of the sales rep, the customer and the product.
  • Apttus CPQ administration is easy compared to similar products. As a product available on the Force.com platform, we were able to cross train our Salesforce administrators and take on the additional administrative overhead without significantly increasing our sales operations team size.
  • Apttus CPQ is flexible. We are able to rapidly test and deploy new pricing models and offers using the Apttus model.

  • Maintenance does not necessarily require hard programming knowledge, so marketing communications can help maintain

Cons

  • The GUI design of Apttus is configurable but prescriptive. If you want a very specific look and feel, it will take some effort to do so. There have been some modern design updates recently using AngularJS. Check it out to see if it works for you.

  • Significant setup time, cost, and maintenance. We have to use an implementation partner
  • Does not always play well with other software, even Oracle software. While this is improved and being further improved, that it was a third party acquisition means things sometimes require a little extra care
  • Additional setup documentation and first walkthroughs would be helpful, especially if it was all in one place

Overall, it is a robust software that we have made work through dedicated time, resource training, and process work-arounds. I think the speed to train and the strict production deployment requirements are playing a large factor in the business's decision to explore other potential vendors and alternatives

The software UI can be as complex or as simple as you need it to be (depending on the business). It does require training others on quote configuration and the order in which to build out order positions prior to configuring a quote. Once users are trained;however, it is fairly straight-forward. The UI is still more static than other new wizard/drag-and-drop models, but it get's the job done

Tier1/tier 2 support can only handle native functionality. Customizations have to be escalated to developers which aren’t included in the support program.

I go ahead and copy the people I directly worked with on implementation for assistance. I would rate them an 8 for support assistance.

They have pretty good training. Our business analysts have been able to go to entry and advanced level training. They have a train the trainer model. Our business analyst attended training, then trained the rest of our staff.

Implementation

Be iterative. Take the opportunity to build a catalog based on how Apttus works well. Learn the tool yourself or use an SI. Take the time to build a configuration / pricing migration tool with X-Author for Excel or roll your own. Stick with OOTB Apttus as any customization will cost you every time a new version is released

It was a much more technical implementation than we thought. It involved much more code.

Future releases have made and will make administering the tool easier.

EDL consulting had one good developer, but when he was moved off, they were horrible to work with.

The BMI sales team does a “BOA” or a “Business Operation Assessment” which is extremely valuable, not only for them to scope an implementation and get more reach within the organization, but it is also a documentation of business process that most organizations don’t have. It highlights inefficiencies and allows for correction during implementation.

Having a dedicated team (in-house) for implementation is key

Alternatives Considered

At the time of selection, we assessed other configuration tools to include Selectica and Big Machine. We decided on Apttus because of it configuration flexibility and the fact that it was built on the Salesforce.com platform. That allowed us to configure and customize for our specific use case. It also gave us other capabilities such as integration to the CRM and ability to generate reports and dashboards

Our shortlist beyond Big Machines was:
1) Apptus – Their biggest downfall was their lack of responsiveness in the sales cycle. It made us very nervous about their ability to be responsive post sale.
2) Using the Salesforce.com Opportunity Products feature. Salesforce.com native functionality falls short in the following areas: a) Its ability to handle complex pricing bundles; b) no logic for workflow/approvals, e.g. defining which SKUs must go together; c )invoice structure; output to contract/proposal does not exist i.e. creation of Word or PDF file.

We picked BigMachines because of its ability to handle:
a) Integration with Salesforce.com
b) Product Configuration
c) Complex invoice structured
d) Bundled offers
e) Custom SOWs
e) Ability to use “Guided Selling”
f) Ability to generate document outputs (vs on screen pricing)
g)Ability to customize workflow/approvals

Return on Investment

  • The ability to generate engineered configurations that is right by construction has reduced the cycle time of the customer engagement. The fact that we are able to guide the process and end up with a validated bill of material reduces the iterations with the customers.
  • As long as the validations rules are correct the generated bill of material is accurate. We are now looking at using Apttus to perform quality checks in our product rules since the tool is able to test different configurations quickly and efficiently.
  • Configuration that use to take weeks and consumed valuable engineering resources has been transformed to become a customer facing application that is simple enough for customer to self-service.

  • BigMachines has provided us with a configuration tool that is scalable, accessible and useable by our international sales staff, and through the configuration rules, has increased the accuracy of the quotes being generated for a very complex product.
  • BigMachines has allowed us to integrate CPQ with our CRM tool (Salesforce.com), thus putting more information at the fingertips of our executive team.
  • BigMachines has allowed us to put more structure and control around our product pricing.
